Train

Jobs, finance, files and email, in one place your team can ask.

Right now the business is spread across the job system, the finance system, the shared drives and everyone's inbox, so engineers wait on the office and the same details get typed in twice. Train connects it all in one place and tailors Centrus to your business, so it answers from your jobs, your prices and your procedures.

Training Centrus is simple. Connect the job and finance systems once, point Train at your cloud storage folders, and forward anything else to your Centrus knowledge address. Folders re-sync on their own and the systems stay live, so everyone works from the same version. Then you decide who can see what, and who can do what.

Upload PDF, Word, Excel, CSV, text or audio files. Sync folders from SharePoint, OneDrive, Google Drive or Dropbox, and channels from Microsoft Teams, as often as every hour. Add pages from your website, or forward mail to knowledge@kb.centrus.ai and the attachments are added as if you had uploaded them.

BigChange, Joblogic, Simpro, Xero, Sage Intacct, Outlook and Gmail connect live. The record stays in those systems and Centrus checks it when someone asks, so the answer is today's. Where you allow it, it can raise the quote, the PO or the job.

Give each source a tag, then give the tag to a person or a team. Nobody else can ask about it. Parent tags group the rest, so one Fire and security tag covers every tag beneath it. On BigChange you can also set who raises quotes and who only looks jobs up.

Chat

Answers from your own business, on WhatsApp, Teams or the web.

Chat is your company's own AI assistant. It answers from the files in Train and from the live job, finance and inbox records: the job history, the drawings, the rate card and the procedures. Every reply shows where it came from, and nobody gets an answer from knowledge they are not cleared for.

Then it does the next bit. An engineer asks for a part and it raises the PO. The office asks for a price and the quote is built from your rate card. A voice note from site comes back as a written worksheet.

On the web app, pick up to two tags and start a thread. On WhatsApp, engineers message one number from the van, voice notes included. On Teams, they message Centrus like a colleague. Permissions are the same on all three, and a default tag starts each chat in the right place.

Answers come from Train and the live job system: site history, RAMS, contract rates, the last visit. Each one names the document or record it used, so the office can check a reply before it goes to a customer. Shared chats let a manager read the thread for themselves.

It can raise a purchase order, build a quote from your rate card, write the RAMS or the spreadsheet, turn a voice note into a worksheet and create the job. Anything you build in Agent Builder can also be published as a tool and run straight from the chat.

Agent Builder

Describe the admin once. It runs every time after that.

Most office admin is the same task on a different day: the Friday report, the portal email, the Monday chase. Open Agent Builder and describe it the way you would brief a colleague. It asks a follow-up if it needs one, then lays the steps out on a canvas you can read. To change something, ask.

Publish it and it runs on a schedule, when an email lands or when a job updates in BigChange. Every run is logged, and an approval step holds anything a person should check before it goes.

An example that works: every Friday at 17:00, find the quotes we sent in BigChange this week and email the pack from Outlook. The assistant asks the odd follow-up, then puts the trigger, the steps and the send on the canvas. You can add a step by hand, but you never have to learn an automation tool.

On a schedule, from every five minutes to monthly. When mail lands in Outlook or Gmail, or a BigChange job updates. When you press run, or when someone asks for it in chat. Steps work in your job system, Xero, Outlook, Gmail, Excel and OneDrive, and in client portals with no API, through browser use.

An approval step pauses the run until someone signs it off, in the Runs panel or by replying to an email. Every run is logged, so you can see what it did and when. The hours go back to the people you hired for their judgement.

Front Desk

Customers get an answer, even when the office is closed.

Add the assistant to your website with one line of code. Match it to your colours, set guided options for the questions you get most, and choose what it can answer from. When a person is needed, it takes the details or hands the chat to your team.

Give a voice agent a phone number and it answers as your receptionist or your technical helpline, then books the visit with the job system tools you attach to it. Another agent texts customers as the job moves: booked, on the way, finished.

One script on your site. Guided options such as Report a fault or Get a quote keep visitors on a path. It only answers from the tags you choose, so internal pricing and the job system stay out of reach. Out of hours, a lead form takes the enquiry.

Claim a number in Agent Builder and describe the call. The agent says it is an AI, speaks British English, looks up the site or the manual, books the visit with the tools you give it, and reads the reference back before the caller hangs up.

Job updates to UK mobiles: booked, on the way, finished. They go out from an agent you build, for example when a job changes status in BigChange. They are never marketing, and staff Chat stays on its own WhatsApp number, apart from anything a customer sees.

control

You decide who sees what

The engineer in the van never sees director rates, and HR files stay with HR. Set it once and it follows each person onto WhatsApp and Teams.

Roles

A few people set it up. Everyone else just asks.

Everyone is an admin or a user. Train access lets someone upload knowledge and manage tags. Agent access opens Agent Builder, and it is on unless you turn it off.

The tags on each person decide what they can ask about. A default tag starts their chats in the right place, on the web and on WhatsApp.

Tags

Only the people with the tag can ask about it.

Every upload, synced folder and website page carries a tag. Give that tag to a person or a team and they can ask about it. Nobody else can.

Parent tags group the children, so Fire and security can sit over panels, alarms and extinguishers without holding documents itself. A tag can also always search the web, so product specs come from the manufacturer's live site, even on WhatsApp.

Read the guide to tags

Teams

Assign the tags once. New starters inherit them.

Set up a team, pick a leader and give the team the tags it needs. Add someone to the fire team and they get the fire tags, not pricing.

On BigChange, Simpro and Joblogic, a team can also carry the actions its members are allowed to take, such as raising quotes or purchase orders. If a person's own setting differs from their team's, the person's setting wins.

Contexts

The house rules sit above every answer

Organisation context is how you price, how you write and what you do not send a client. Tag context holds the rules for that kind of work.

Personal context is how each person wants their answers: short, technical or commercial. They stack, so an engineer still gets the company voice, just shorter.

Lessons

Correct it once. An admin approves it.

A thumbs up or down on a real answer can become a lesson, scoped to one person, one tag or the whole company.

It waits for an admin to accept it. After that, Centrus applies it in chat and on WhatsApp.

White label

Your logo, your colours, your WhatsApp number

Swap the Centrus mark for your own logo, colours and AI name. The sign-in page sits on your own subdomain, so it looks like yours before anyone logs in.

Engineers message a dedicated WhatsApp number with your profile picture, not the shared Centrus one.

integrations

It sits on the systems you already run

Your job system stays the record. Centrus reads it, writes back when you allow it, and starts an agent when a job changes. Xero, Outlook and Gmail connect live too, and your shared drives re-sync into Train on their own.

questions

Questions people ask before they book

No. Centrus sits on the job system you already run. It reads the live record, writes back when you let it, and starts an agent when a job updates. You keep the system the engineers already know.

That AI only sees what lives inside one system. It does not see your finance system, your client portals, your shared files or anything else running the business day to day. Centrus sits across everything you use, so it is not limited by what one vendor decided to build.

ChatGPT and other general AI tools have no official connection to your job system, so they cannot see your jobs or act on them. Left alone, they become shadow AI: different tools, old copies of documents and nobody accountable. Centrus answers from your live records and from Train, within each person's tags, and can raise a quote, a PO or a job. Every customer can have a data processing agreement on request, and otherwise our standard terms of service apply.

Another administrator adds a salary and still re-keys the same records by hand. Centrus takes the repeat work, such as the Friday report, the invoice chase and the quote from your rate card, and an approval step holds anything a person should check. The team you have keeps the calls that need judgement.

Your team can be asking questions on day one. Most customers have their job system connected and their first agents running within the first month, with UK-based onboarding throughout. Folders re-sync on their own after that, so nobody has to keep uploading.

Only the people you give the tag to. Every file, folder and page in Train carries a tag, and a person or team can only ask about the tags they hold, on the web, WhatsApp and Teams alike. The website assistant only answers from the tags you choose for it. On BigChange you can also limit which actions each person or team can take.

Yes. Data is encrypted in transit and at rest, access is controlled per person through tags and roles, and Centrus follows UK GDPR. Every customer can have a data processing agreement on request. How we protect your data

It doesn't book a time. It answers from the knowledge you choose, takes the visitor's details and raises the job, and out of hours adds it to the desk's morning email so someone rings to book it in. Booking a visit on a call is a voice agent in Agent Builder, with the job-system tools you attach to it.

No. You describe the task the way you would brief a colleague. Agent Builder lays out the steps on a canvas you can read. Change it by asking again. Approval steps hold anything a person should sign off first, and every run is logged.

No. Plans run month to month unless you choose annual. Cancel before the next renewal and you will not be charged again.
