Ask

team

New starters, useful from day one, without tapping a senior.

New starters in a field service team ask on Teams or WhatsApp what to do when nobody answers, which form to use or whether to charge. The answer comes from your SOPs, handbook and decisions log, with the document it came from. The senior engineer showing them round gets their week back.

how it runs

Behind the first week.

Tom Akers starts on Mon 05/10. This is how his manager plans it, how he's answered on site and how his first day off goes through.

01

First week, planned

Matt asks for the plan. It's written from your induction pack, with the days Tom shadows Dylan from the diary.

01 / 03

before and after

The same first week, two ways.

Tom Akers's first week at Ridgeway, from Monday's plan to his first day off.

  1. The plan

Without Centrus: Kept in a senior engineer's head, if anywhere

With Centrus: Written from the induction pack before he arrives

  2. No answer

Without Centrus: Rings a senior and waits for a call back

With Centrus: Asks on Teams and gets the no-access procedure

  3. On the doorstep

Without Centrus: Unsure what to say, or what he can offer

With Centrus: What the complaints procedure says, on WhatsApp

  4. A day off

Without Centrus: A text to the office that gets lost

With Centrus: Checked against the handbook and sent to Matt

Other things new starters ask

  • “Which certificate does a landlord gas safety check go on?”
  • “The tenant won't let me in. What do I put on the job?”
  • “How do I book a part out of the van stock?”
  • “Is a Saturday call-out paid at time and a half?”
  • “Who do I ring if I find asbestos on site?”

questions

Questions about onboarding new starters

From the documents you train it on: the induction pack, handbook, SOPs and decisions log, synced from SharePoint, OneDrive, Google Drive, Dropbox or a Teams channel. Each answer shows the document it came from, so a new starter can open it and a manager can check it.

It says so rather than guess. A question nobody has ruled on can go to the manager once, and the ruling is added to the decisions log, so the next new starter gets the same answer without asking again.

No. Tags decide which documents and knowledge each person can use. An engineer's tag can cover the SOPs and site notes and leave out pricing and HR files. Private HR questions stay between the person and HR.

No. Engineers ask on WhatsApp from the van and the office asks in Teams or the web app, all on the same engine. Nothing new goes on their phone, and they ask in their own words.

Train re-syncs your folders on an interval you choose, from every hour to every 48 hours. Put the new version of a procedure in the folder and the answers follow it after the next sync, with the new version's name on the source.
