Files Centrus makes for you
Ask Centrus for a spreadsheet, a slide deck, a PDF, a Word document, a chart or a report, and it builds the file in the chat. This guide covers asking for a file, opening it beside the chat, asking for changes, comparing versions and saving it.

How files work in chat
When you ask for a file, Centrus gathers what it needs from your files, your integrations and anything you attach, builds the document and checks it before it replies. The finished file appears as a card under the answer. Click the card and the file opens beside the chat, where you can read it, ask for changes and save it.

Access was through the loading bay. The plant room key was collected from reception and returned at 12:10.
- 1The file card under Centrus's answer. Click it to open the file beside the chat.
- 2Working on: the file your next message will change.
- 3The divider. Drag it to give the chat or the file more room.
- 4The file's name, type, size and version.
- 5Step between versions of the file. Latest jumps back to the newest.
- 6Changes: what is different from the version before.
- 7Ask about the file, open it in a new tab, save it, or close the pane.
Opening a file puts the page in full view, so the menu, the page heading and the chat list are hidden while you work on it. Closing the file brings them back.

Site, job and visit reports
- Spreadsheets, as Excel workbooks (.xlsx) or CSV files, such as a PPM schedule or a list of overdue jobs.
- Slide decks in PowerPoint (.pptx), such as a quarterly review for a client.
- PDFs, such as a filled-in RAMS or a letter to a customer. If you do not name a format, you get a PDF.
- Word documents (.docx), for anything you want to edit afterwards.
- Charts, saved as PNG pictures.
- Reports of several pages, as a PDF or a Word file, such as a site, job or visit report.
- Data profiles that summarise a table or CSV file already in the chat.
Centrus can also write notes as a Markdown (.md) file, or put several files together in a .zip. One answer can bring back up to 20 files.
What you can get depends on the chat's AI model. GPT-5.2 and every model after it, GPT-6 Astra included, can make all of these. GPT-5, GPT-5.1, GPT-4.1 and GPT-4o, and their Mini and Nano versions, can make spreadsheets, CSV files and PNG charts only. The O1, O3, O3 Mini and O4 Mini models cannot make files. See Choose the AI model.
Ask for a file
Ask in plain words, as you would ask a colleague. Centrus only builds a file when you ask for one. Questions, lookups and summaries are answered in the chat as normal.

Make a PDF visit report for Riverside House from Sarah's notes, attached.
1Include the findings, an actions table with an owner and due date for each, and a sign-off box for the site manager.
2Put our logo on the navy header bar and keep it to two pages.
3- 1What to make, and in which format: PDF, Word, Excel, CSV or PowerPoint.
- 2What goes in it: the sections, the tables and their columns.
- 3How it should look: the header, the logo, the length.
- 4Anything to use, such as your logo, or a photo of a document whose layout you want copied.
Centrus gathers the facts first, from your Train files, your connected systems and anything you attach, and then builds the file. When a list from BigChange, Xero, Freshdesk or Fixflo has more results than fit in the chat, Centrus loads every row into the file, not just the first page.
- Name the format if it matters. Without one, Centrus makes a PDF.
- Name the sites, people and dates you mean, such as Riverside House, Sarah Price or October.
- To have the file sent by email, say so, for example email it to me. This needs Gmail or Outlook connected: see Gmail in chat and Microsoft Outlook in chat. With no other address named, it goes to you.
- To get a file again that Centrus made earlier in the chat, ask for it by name and it is attached to the new answer.
- To change a workbook you already keep in Excel or Google Sheets, ask Centrus to update it there. The Excel and Google Sheets integrations do that, and no new file is made: see Microsoft Excel in chat and Google Sheets in chat.
While Centrus works
Building a file takes longer than an ordinary answer. The Working panel above the answer lists each step as it happens, such as Reading the skill guide, Building the spreadsheet, Writing the report or Rendering the report, with the file's name beside it.

Access was through the loading bay. The plant room key was collected from reception and returned at 12:10.
For a PDF, a deck or a formatted Word document, Centrus renders the pages and looks at them before it replies, and fixes problems it can see, such as overlapping text or a clipped logo. Those page pictures appear in the panel while it is open; click one to look at it beside the chat. To end the answer early, click Stop generating, beside Send.
When Centrus has finished, the panel folds to Worked and the files sit under the answer, above Sources.

Ask for changes
To change a file, open it and say what you want in the chat, for example Move the sign-off box to the end of page 1. While the file is open, a Working on chip above the message bar names it and its version, and your next message goes to that file. The new version takes the old one's place in the pane as soon as it is ready.
Done. Version 2 adds an Actions table after the findings, and a sign-off box for the site manager on page 2.
Click the cross on the chip to ask something unrelated without touching the file. The chip comes back the next time you open a file.
Changes always start from the newest version, and every version is kept, so nothing is lost if a change is not what you wanted. Centrus keeps what each file was built from with the chat, so you can come back later and carry on changing it.
To ask a question about a file rather than change it, click Ask about this file, the speech bubble at the top of the pane. It puts the file's name at the start of a message, such as About Riverside PPM schedule.xlsx:, ready for your question. If you have already typed something, the name is added after it.

- Spreadsheets show the current sheet with changed and added cells in green, and a count of cells changed, rows added and rows removed. Point at a changed cell to see what it said before. A dot on a sheet's tab marks a sheet that changed, and removed rows are listed under the sheet.
- Word documents and text files are compared paragraph by paragraph, or line by line. Long runs of unchanged text fold away, and Show everything unfolds them.
- PDFs and pictures are shown side by side, the previous version on the left and the current one on the right.
- PowerPoint decks are compared through their PDF copies. If a version has none, ask for a PDF copy in the chat.
- Other types cannot be compared. Download both versions and compare them yourself.
Spreadsheet rows are compared by their position, not their content. If a row is added or removed near the top of a sheet, every row below it shows as changed. Formatting is not compared, and only the first 1000 rows and 60 columns of each sheet are checked.
Source shows what a version was built from: a record of what you asked for, the script that builds the file and any template it uses. It is read-only. Most people never need it, but it is there if you want to see exactly how a file was put together.

Done. Version 2 adds an Actions table after the findings, and a sign-off box for the site manager on page 2.
- Save to Downloads downloads the file, as your browser normally does.
- Save as… lets you choose the folder and the name. It is offered in Chrome and Edge only.
- Save to OneDrive… needs Microsoft Excel or Microsoft Word connected to your account. See Microsoft Excel in chat and Microsoft Word in chat.
- Save to Google Drive… needs Google Docs or Google Sheets connected to your account. See Google Docs in chat and Google Sheets in chat.
- Open in a new tab opens the file in your browser.
Without the right connection, the drive is greyed out, and pointing at it tells you which integration to connect. To save to a drive:
- 1Click the chevron on the file card, or the download button at the top of the pane.
- 2Choose Save to OneDrive… or Save to Google Drive….
- 3Type a folder in Folder (optional), such as Riverside House/Reports, or leave it blank to save to the top of your OneDrive or My Drive. Folders that do not exist yet are created.
- 4Click Save. A message at the top of the page confirms where the file went, with an Open link.
Save to OneDrive
Riverside visit report.pdf will be saved to your OneDrive. A file with the same name is never overwritten.
Folder (optional)
Riverside House/ReportsLeave blank for the OneDrive root. Folders are created if they do not exist. Manage the connection under Integrations.
- 1Save to OneDrive, with a folder typed in.
- 2The message once the file is saved. Open takes you to it.
A file with the same name is never overwritten: the new copy gets (1), (2) and so on after its name. Files up to 100 MB can be saved this way. You can also ask in the chat, for example Save it to my OneDrive in Riverside House/Reports, and Centrus saves it for you.
Saving straight to SharePoint or Dropbox is not offered. Download the file and upload it there.
Saving to OneDrive or Google Drive always saves the newest version of a file, even from an older answer's card or while the pane shows an older version. To keep an older version, open it and use Save to Downloads, which saves the version on show.
House styles with skills
Whenever Centrus makes a file, it follows a skill: instructions, and sometimes a template, for one kind of document. Seven Centrus skills cover spreadsheets, slides, PDFs, Word documents, data insights, charts and professional reports. Your organisation can add its own, such as a visit report in your house style with your logo, and Centrus picks the skill that fits your request without being told. When a file comes out the way you want it, you can ask Centrus to save its layout as a skill so the next one matches. See Skills.
The visit report is in Riverside House visit report.pdf below. It uses the riverside-site-report layout, with both repairs listed under Findings and actions and a sign-off block for Dylan Hughes.
Files on WhatsApp and Teams
On WhatsApp, the answer ends with a Files list of links, and each file also arrives as a WhatsApp attachment if it is small enough. See Message Centrus on WhatsApp.
14:07
In Microsoft Teams, the answer ends with the same Files list of links. See Chat on Microsoft Teams.
The links stop working after seven days, so save anything you need to keep. The files are also in the conversation in Chat on the web.
Credits, limits and things to know
Riverside visit pack.zip can be downloaded and opened in the application it was made for.
Download- A message in which Centrus builds in its document sandbox costs two extra message credits on top of the usual charge, once for that message however many steps it takes. The charge applies even if no file comes out. See Credits and browser minutes.
- A message you stop before any of the answer arrives is not charged.
- Up to 20 files come back from one answer. A file over 25 MB, or anything past 40 MB in total, is left out without a warning, so ask for very large exports in parts.
- Saving to OneDrive or Google Drive takes files of up to 100 MB.
- Versions are matched by the file's name. If a changed file comes back under a new name, it starts again at version 1.
- Ask about this file, Changes and Source only appear for files Centrus made, not for files you attached.
- If saving to Google Drive says your connection can only read Drive, disconnect Google Docs or Google Sheets on the Integrations page and connect it again.
- If the pane says This file could not be loaded, use its Download button to get the file instead.
Admins can turn file making off for the whole organisation under Settings, then Organisation, with Enable document sandbox in chat. It is on by default. While it is off, Centrus cannot build files in chat, and lookups in BigChange, Xero, Sage and your other integrations carry on as normal. Centrus also cannot make files if every Centrus skill is switched off and your organisation has no skills of its own. See Organisation settings.
Enable document sandbox in chat
Lets the AI build downloadable Excel, Word, PowerPoint, PDF and chart files in chat using a secure sandbox and the skills managed on the Train page. Turns using the sandbox cost two extra message credits, charged once per turn however many sandbox steps it takes. Integration lookups such as BigChange, Xero and Sage are unaffected either way. On by default.
