Microsoft Outlook in chat
Sign in with your own Microsoft account, then ask Centrus about your Outlook mail and calendar, or ask it to send an email or book a meeting once you have confirmed the details.

What it does
Microsoft Outlook connects Centrus chat to the mailbox and calendar you sign in with. Once it is connected, you can ask what arrived overnight, what a particular email said, what is on your calendar, and when you and a colleague are both free. Centrus looks that up in Outlook while you wait. It can also send mail, save a draft, archive or delete a message, and create, move or remove a calendar event, from your own Outlook address.

Anyone in the organisation can connect. There is no shared organisation sign-in and no Enable step: Sarah Price's Outlook is not available in John Martin's chat, and the other way around. Signing in here does not sign an agent in. An agent holds its own Outlook connection, described in Microsoft Outlook in Agent Builder. The wider picture of how connections differ is in the Integrations overview.
Before you start
- A Microsoft account you can sign in to. Outlook in chat is per person. Use the work or school account whose mailbox and calendar you want Centrus to see. A shared mailbox such as info@ or service@ is not included: Centrus only sees the account you pick on Microsoft's page.
- Permission, from Microsoft, for that account. Centrus asks to send mail as you, to read and write your mail, to read and write your calendars, and to read your profile so it can show the address on the card. Microsoft is the place that grants or refuses that.
- A few minutes at the screen. The sign-in link Centrus creates expires after 10 minutes. If you leave the Microsoft page and come back later, start again from Connect.
Your own Microsoft account
A work or school account you can sign in to. Each person uses their own.
Mail and calendar on that account
Centrus asks to send and read mail, and to read and write the calendar.
Ten minutes to finish
The sign-in link expires after 10 minutes. Start again from Connect if it does.
You do not paste a password, a client secret or an API key into Centrus. Connect sends you to Microsoft, you pick the account, and you accept the permissions. Centrus then stores the sign-in for your user only, with the address Microsoft returns (your mail address, or your user principal name if mail is empty).
Chat and Agent Builder are separate. Connecting on this card does not connect an agent, and connecting an agent does not connect chat. If you build an agent that sends mail, it needs its own Outlook connection unless that agent is set to use each person's chat connection. That setting is covered in the Agent Builder article.
Connect Microsoft Outlook
- 1Open Integrations from the menu on the left and find the Microsoft Outlook card.
- 2Click Connect. Centrus asks Microsoft for a sign-in address and opens it in the same window.
- 3On Microsoft's page, pick the account. The request is set so Microsoft shows the account picker rather than skipping it.
- 4Accept the permissions. You come back to Integrations. If Microsoft accepted the sign-in, the card reads Connected, with a green line Connected as: and the address.

John Martin

Centrus is asking to:
- Send mail as you3
- Read and write your mail
- Read and write your calendars
- Sign you in and read your profile
- Keep access until you remove it
- 1Connect on the card. It does not open a Centrus form.
- 2Microsoft's account picker. John Martin is signing in as john.martin@meridianfm.co.uk.
- 3The permissions. Sending mail is one of them, so accept only for an account you are happy to send from.
- 4Accept, which completes the sign-in. Cancel brings you back without connecting.
Centrus does not check the mailbox before saving. It exchanges the code Microsoft returns for a token, reads your address from Microsoft, and saves the connection against your user. The card then shows that address. There is no separate success notice: the badge changing to Connected is the confirmation.

- 1The return address includes outlook_error=true. The page does not explain it.
- 2The card stays Not Connected, which is the only sign that the sign-in did not stick.
If the sign-in does not complete, you land back on Integrations and the card stays Not Connected. The page does not show a message for these cases, so check the address bar if you are unsure why nothing changed:
- outlook_error=missing_params: Microsoft sent you back without a code, which is what happens if you cancel.
- outlook_error=invalid_state or outlook_error=missing_context: the return could not be tied to your Centrus user. Start again from Connect.
- outlook_error=true: the sign-in link had expired (it lasts 10 minutes), the check on it failed, or Microsoft refused the token. Click Connect and accept again.
- Connect itself does nothing visible if Centrus cannot fetch the Microsoft address. Wait a moment and click it again. There is no notice for that failure.
Sign in with your own account
Outlook does not have an organisation connection for someone else to enable. The card has two states for you. Not Connected means this Centrus user has no Outlook sign-in, and the buttons are Connect and How to Use. Connected means your sign-in is saved, the green line names the mailbox, and the buttons are How to Use and Disconnect.

The address on the card is the one mail is sent from. If your Centrus login is a different address, say the Outlook address when you ask Centrus to write to you. A question such as “email me” uses the address on your Centrus user, not the line on this card.
Ask your first questions
Open Chat, start a chat and ask the way you would ask a colleague. Outlook is available in every chat once the card says Connected for you. How to Use on the card lists the kinds of question the connection is meant for. The examples there use placeholder addresses. The questions below use a real mailbox.
All-in-One Integration
Microsoft Outlook provides both email and calendar functionality in a single connection. Connect once to access both capabilities.
Email Capabilities
Send Emails. Ask “Send an email to john@example.com about the project update” or “Email the team about tomorrow’s meeting”
Search Your Emails. Say “Show me emails from Sarah this week” or “Find unread emails about the budget”
Create Drafts. “Create a draft email thanking the client for their feedback”
Calendar Capabilities
View Events. Ask “What meetings do I have this week?” or “Show me my calendar for tomorrow”
Check Availability. “Am I free this afternoon?” or “Check if Sarah is available next Monday at 10am”
- 1Example questions under Email Capabilities. The window's own wording, including the placeholder address.
- “What is on my calendar today?”
- “Show me unread mail from Sarah Price.”
- “Find the email about the Riverside House quote.”
- “When are Dylan Hughes and I both free on Monday morning?”

What is on my calendar today?
You have 3 events today, Friday 09/10/2026, on john.martin@meridianfm.co.uk:
| Time | Subject | Where | With |
|---|---|---|---|
| 09:00 to 10:00 | Site meeting | Riverside House | Dylan Hughes |
| 11:30 to 12:00 | Quote review | Teams | Sarah Price |
| 14:00 to 14:30 | Northgate Housing | Call | Priya Shah |
The site meeting is first. Dylan Hughes is down as attending.
While Centrus works, the panel above the answer names the step, such as Checking your Outlook calendar, Searching your Outlook inbox, Reading your Outlook inbox or Reading an email in Outlook. When the answer is ready, the panel folds to Worked with the number of steps. Open it if you want to see what was looked up before the answer.
If you say “this week” or “next week”, Centrus is told to show the exact dates it used, and to treat times as London time unless you say otherwise. Carry on in the same chat, with “Open the site meeting” or “What did Sarah say about the quote?”, and it can use the event or the message you were just discussing.
What you can ask
Centrus has 17 Outlook tools in chat, 10 for mail and 7 for the calendar, and it picks from what you ask. You never choose a tool yourself. Every one is listed in the reference. Mail and calendar come from the same sign-in. You do not connect them separately.
Recent mail
“What arrived overnight?”
“Show unread mail from Sarah Price.”
Search and threads
“Find the email about the Riverside House quote.”
“Show the whole conversation.”
Calendar
“What is on my calendar tomorrow?”
“When are Dylan and I both free on Monday?”
Drafts, not sends
“Draft a note to Northgate Housing.”
“Do not send it yet.”
- Recent mail. Ask for the latest messages, unread mail, or mail from an address you name. A recent list looks at the inbox and returns the newest first. The default is 10 messages. Centrus is told not to use this list to search by topic. For that, ask it to search.
- Search. Ask in ordinary words, such as the Riverside House quote, or with Outlook search words such as from:, subject: and body:. A search looks at sender, subject and body, and Microsoft returns the newest matches first. The default is 25 messages and the cap is 50. A search phrase can be at most 512 characters.
- One email. Once a search or a list has found the message, Centrus can open it, including the body and whether it has attachments. Opening it marks the message as read in Outlook. If you need it to stay unread, say so before asking Centrus to open it, and check Outlook afterwards, because the mark happens as part of the read.
- Conversations. Ask for recent conversations, or for every message in one thread. A list of conversations is built from the newest messages (three times the number of conversations asked for, 30 when you do not give a number, then cut back to 10 conversations). Reading one conversation returns its messages oldest first. Chat cannot reply inside that conversation. Replying on an existing message is an Agent Builder action, described in the Agent Builder article.
- Calendar. Ask what is on today, tomorrow, or a range you name. Centrus needs a start and an end. A list uses your main calendar unless the question names another calendar's id. A busy week can come back short: the call does not ask for a larger page and does not fetch the next one.
- Free and busy. Ask whether you or someone else is free between two times. Name the person by email address, for example sarah.price@meridianfm.co.uk. Slots are 30 minutes. The result is free/busy, not the titles of the other person's events.
- Other calendars. Centrus can list calendars Microsoft says you can open, including shared and delegated ones, with the name, whether it is the default, and whether you can edit it. Choosing one as the default saves that choice on your Centrus connection. Later questions still use your main calendar unless you name the other calendar in the question, so do not rely on the choice by itself.
A search has three outcomes, and Centrus is told to say which one it got. Exact means messages matched the words you used. Related means nothing matched every word, and the messages it shows matched only some of them. It should tell you that and ask if they are what you meant. None means neither the original search nor one broader try found anything. It may try that one broader search, using up to 5 of the words, and then it should stop rather than keep searching.
Centrus only sees the address on your card. If you ask about a shared inbox, it is told to say which address is connected and that the other mailbox is not this account. It also cannot change Outlook settings, send as someone else, accept or decline a meeting for an attendee, or change notification settings.

Find the email about the Riverside House quote from Sarah.
No email matched every word. These matched some of them, newest first. Is one of these the note you meant?
| From | Subject | Received |
|---|---|---|
| sarah.price@meridianfm.co.uk | Riverside House, revised quote | 02/10/2026 16:40 |
| sarah.price@meridianfm.co.uk | Quote for 12 High Street | 28/09/2026 09:15 |
I have not opened either one, so both are still unread.
Making changes
Nine of the 17 tools change something: sending a message, saving a draft, deleting, marking read, archiving, creating an event, updating an event, deleting an event, and saving a chosen calendar on your connection. Each one shows as its own step, such as Sending an email via Outlook, Drafting an email in Outlook or Adding an event to your Outlook calendar.
Before an email is sent, Centrus is told to confirm the recipient, the subject and the point of the message with you. Before a calendar event is deleted, it is told to ask. There is no separate approval button. The check is that conversation. Creating or moving an event, marking mail as read, archiving, and deleting a message do not have the same instruction. Name the message or the event, and check Outlook if the result matters.
When you agree, the message goes from the address on the card, not from a Centrus address, and a copy is saved in Sent Items. If your email signature is switched on, Centrus adds it under the body of anything it sends or saves as a draft. A file produced in the same chat can be attached by its filename, up to 20 files and 20 MB in total. Centrus does not attach a picture that is only a preview of that file.

Yes, send that to Sarah.
Sent from john.martin@meridianfm.co.uk, and saved in Sent Items.
| To | Subject |
|---|---|
| sarah.price@meridianfm.co.uk | Monday visit at Riverside House |
It says the site meeting moves to Monday 12/10/2026 at 09:00. Your signature was added because it is switched on.
Some of these are awkward to undo from chat:
- Sending cannot be pulled back from chat. If the wording is wrong, send a follow-up, or ask Centrus to save a draft next time and send it yourself from Outlook.
- Deleting an email is described to Centrus as permanent. The call removes that message. Centrus is not told to ask you first, unlike deleting an event. If you might want it, ask for a draft or an archive instead.
- Deleting an event removes it from the calendar. Centrus is told to ask before it does this. Tell it the event by subject and time so it does not remove the wrong one.
- Marking as read and opening an email both leave the message read. There is no tool here to mark it unread again. Change that in Outlook if you need it unread.
- Archiving moves the message into a folder named Archive, or Archives if that is the name. If neither folder exists, the step fails with Archive folder not found and the message stays where it was.
There is no tool that updates many messages or events in one step. A request such as “mark all of yesterday's unread mail as read” is done one message at a time, and a long run is a long run of single steps. For a sensitive email, or one with a long recipient list, Centrus is told to suggest a draft rather than send. The draft sits in your Outlook. You can edit the addresses there, then send it, or come back to the chat and ask Centrus to send that draft's contents once you are happy.

Email every Northgate Housing contact about the new access hours at Riverside House.
That is a long list, so I have saved a draft in your Outlook, to the housing office, and I have not sent it. Open the draft, check the addresses, then send it yourself or ask me to.
A new event needs a subject, a start and an end. You can add a location, notes and attendees. Attendees are invited as required. The event is stored with its time zone set to UTC, while Centrus is told to talk to you in London time, so read the time back and open the event in Outlook before you rely on it. Updating an event can change the subject, the time, the notes, the location or the attendees. It cannot accept the invite on someone else's behalf.
Who can use it
Outlook has no screen for switching individual tools off. The Integrations overview describes that screen for BigChange REST and Simpro. It does not appear for Outlook, and teams have no Outlook tool list either. If your card says Connected, every Outlook tool is available in your chats. A colleague's card is their own sign-in, so they cannot use yours.
What does hold a send back is the instruction to confirm first. When you ask for an email, Centrus should repeat who it is to, the subject, and the point of the message, and wait until you agree. The same applies before it deletes a calendar event. That is not a button in Settings. If an answer has already said the message was sent, or the event was removed, the change has been made.

I have not sent this. Say send if it is right.
| To | Subject | From |

The body says the meeting moves to Monday 12/10/2026 at 09:00, and that Dylan Hughes is invited.
- 1The recipient, subject and From address, repeated before anything is sent.
The extra control on this card is your email signature, not a permissions grid. Open How to Use while the card says Connected and click Manage next to Email signature. The signature is off until you turn Email signature status on and save. Image size is Small, Medium, Large or Original, and an image must be under 5 MB. Save Signature stays disabled until you change something. With the switch on, the signature is added to mail Centrus sends and to drafts it saves.

- 1Email signature status, on, so the signature is appended.
- 2Image size, set to Medium. An image has to be under 5 MB.
- 3Save Signature, which stores the signature on your Outlook connection.
Limits
- Recent mail returns 10 messages unless you ask for a number. It does not apply a mail folder. Asking for Sent Items, or for any named folder, still lists messages the usual way.
- Search returns 25 messages by default and at most 50. One broader try is allowed when nothing matches, then Centrus should stop. It should tell you when the matches are only related.
- Conversations. A list is taken from the newest messages, 30 when you accept the default of 10 conversations. Older threads that are not in that slice do not appear. Search for those instead.
- Opening an email marks it read. The answer can still quote the body. The unread state is already gone in Outlook.
- Calendar lists do not follow a next page. Ask for a shorter range if a week looks incomplete. Events are written with the time zone set to UTC.
- Choosing a calendar stores the id on your connection and does not change which calendar the next question uses. Name the calendar in the question.
- Free and busy uses 30 minute slots. Give an email address. A check that does not name one asks Microsoft about “me”, which is not an address, so name yourself or the colleague.
- Attachments on a send or a draft: at most 20 files, and 20 MB altogether, using the filename shown on the file in the chat.
- The signature image must be an image and at most 5 MB. Save Signature does nothing until the text or the switch has changed.
- The sign-in link lasts 10 minutes. The stored token is refreshed when it is inside 5 minutes of expiry. If the refresh can no longer be done, chat fails until you connect again.
- One account. The connected address is the only mailbox. Centrus cannot open a shared mailbox on this connection.
- No reply in the thread from chat. You can send a new message. Replying on the existing conversation is on the agent, not on this card.

A mail search does not count pages the way a long list in a job system does. The Working line names the step, Searching your Outlook inbox, and then folds into Worked when the answer starts. If it is taking too long, use the stop control and ask for a tighter search, with a sender or a subject.
Disconnect
Disconnect on the card deletes your Outlook connection straight away. It does not ask you to confirm, and it does not show a notice. The card goes back to Not Connected, with Connect again. Mail already sent, drafts already saved and events already created stay in Outlook. Only the link from this Centrus user is removed.

- 1Disconnect, which removes your connection without asking you to confirm.
- 2Connect, to sign in again. The card does not keep the previous address.
Disconnect does not visit Microsoft to withdraw the permission. The grant can remain on the Microsoft account until you remove Centrus there. How to Use says you can revoke access from your Microsoft account settings, and that is the step that does it. Your signature, which is stored with the connection, goes when the connection goes.
Other people are not affected. Sarah still has her own sign-in if she connected, and an agent that has its own Outlook connection keeps that too. To stop your chat from seeing the mailbox, Disconnect is enough. To stop Microsoft from honouring the grant, remove it in the Microsoft account as well.
Troubleshooting
- Centrus answers as though Outlook is not connected. Check the card says Connected for you, not only for a colleague. If it says Not Connected, click Connect. If it already says Connected, the tools are on. There is no place in Settings that switches them off one by one.
- You returned from Microsoft and the card is still Not Connected. Look at the address bar for outlook_error. Cancel is missing_params. An expired or rejected sign-in is outlook_error=true. Click Connect and finish within 10 minutes.
- No refresh token available. The saved sign-in cannot be renewed. Click Disconnect, then Connect, and accept the permissions again, including continued access.
- Microsoft Outlook not connected. The connection row is gone. Connect again from the card.
- Archive folder not found. The mailbox has no folder named Archive or Archives. Archive the message in Outlook, or ask Centrus to delete it only if you mean that.
- A recipient is required. The send or the draft had nobody in To, and the question was not “email me”. Name the address. “Email me” uses your Centrus login, which may not be the Outlook address on the card.
- Could not find the file in this chat, or the attachments are too large (over 20 MB), or there are too many (the limit is 20). Use the filename from the download card, including the extension.
- Outlook search failed, or a message that mentions OData. Ask again in ordinary words, or with from:, subject: or body:. Do not ask Centrus to build a filter expression.
- The calendar time looks an hour out. The event was stored as UTC. Open it in Outlook and correct it, or ask Centrus to update the event and then check the time there.
- A free/busy check is empty. Ask again with the email address, including your own if you meant yourself.
- A message you only wanted to read is now read. Opening it does that. Mark it unread in Outlook. Chat cannot.
- The answer cannot reply on the thread. Send a new email, or use an agent that has the reply action. See Microsoft Outlook in Agent Builder.

Tools and endpoints reference
There are 17 Outlook tools in chat: 8 read and 9 change mail, the calendar, or the calendar choice saved on your connection. Reading a single email is counted as a read, and it also marks that email as read. The names below are the plain-English names for the steps you see while Centrus works, such as Sending an email via Outlook. Every call goes to Microsoft Graph at https:/ unless the table says the choice is only saved in Centrus. Where a path contains {id}, Centrus uses the id from an earlier list or search.
| Tool | What it does | Reads or changes | Endpoint |
|---|---|---|---|
| Send email | Sends from your Outlook address and saves a copy in Sent Items. Adds your signature when that switch is on. Attaches files from this chat by filename. | Changes | POST / |
| List recent emails | Lists the newest messages. The default is 10. A folder name on the request is not applied. | Reads | GET / |
| Search emails | Searches sender, subject and body. The default is 25 and the maximum is 50. Says whether the match was exact, related or none. | Reads | GET / |
| Read an email | Returns one message, including the body. Marks it as read. | Reads | GET / |
| List conversations | Groups the newest messages into conversations. The default is 10, taken from the newest 30 messages. | Reads | GET / |

| Create a draft | Saves a draft and does not send it. Adds your signature when that switch is on. | Changes | POST / |
| Delete an email | Removes one message. Centrus is told to treat this as permanent, and it is not told to ask you first. | Changes | DELETE / |
| Mark as read | Sets one message to read. There is no matching step to mark it unread. | Changes | PATCH / |
| Archive an email | Moves one message into the folder named Archive, or Archives. Fails with Archive folder not found if neither exists. | Changes | POST / |
| Tool | What it does | Reads or changes | Endpoint |
|---|---|---|---|
| List events | Lists events between two times on a calendar. With no calendar named, it uses your main calendar. Only the first page is returned. | Reads | GET / |
| Check availability | Returns free/busy between two times, in 30 minute slots. Pass email addresses. With none, the call sends the word me. | Reads | POST / |
| Create an event | Creates an event with a subject, start and end. Attendees are required. The time zone on the event is UTC. | Changes | POST / |
| Update an event | Changes the subject, time, notes, location or attendees of one event. | Changes | PATCH / |
