Organise your chats
The chat list grows with every question you ask. This guide covers naming, pinning and archiving chats, grouping them in folders, finding them again with search and sort, changing several at once, and downloading a chat to keep.

What is the response time for a priority 1 fault at Riverside House, and what will the call-out cost us?
Under the Riverside House SLA, a priority 1 fault needs an engineer on site within 4 hours, at any time of day. A standard call-out is £95.00 and an out of hours call-out is £145.00, each covering the first hour on site.

Centrus may make mistakes. Check important info.
- 1Search the chats in the list you are looking at.
- 2The archive button, which swaps the list to your archived chats and back.
- 3Folders, for grouping chats. Click a folder to show only its chats.
- 4Sort by and Bulk Actions, for changing the order and for changing several chats at once.
- 5A pinned chat. Pinned chats stay at the top of the list, whatever the sort order.
- 6The archive button on a chat, which moves it out of the main list.
- 7The pin button on a chat.
Folders and pins are personal. Nobody else sees your folders, and pinning a chat that has been shared with you only changes your own list. Names and archiving belong to the chat itself, so only the person who started a chat can rename or archive it.
Chat names
You do not have to name a chat. When you send the first message, Centrus writes a short name from it and puts that name in the list and in the chat's header a few seconds later.

Zone 3 is showing a fault on detector 14 at Riverside House. Where do I start?
Detector 14 at Riverside House sits on loop 2 of the main panel. Check the head is seated in its base, then look for a loose wire at the base terminals before replacing the head.

Thread name updated successfully appears once the name is saved. A name left empty, or unchanged, is not saved.
You can also rename the chat you have open. Click the gear at the top right of the chat, choose Rename, type the name in the Rename Chat window and click OK. The name changes in the list and the header straight away.

Rename Chat
Pin a chat
Pin the chats you come back to every day so they stay at the top of the list. Click the pin at the right of the chat's row, and Thread pinned successfully appears at the top of the page.
Your personal chat history, excluding agent-generated threads.

- 1The pin button. Click it to pin the chat.
- 2The arrows on a pinned chat move it up or down among your pinned chats.
- 3A pinned chat's pin is filled in blue. Click it to unpin the chat.
A newly pinned chat goes to the bottom of your pinned chats. Use its arrows to move it higher. Pinned chats stay above every other chat however you sort the list, and stay pinned if you archive them.
Archive a chat
Archiving moves a chat out of the main list without losing it. Chats cannot be deleted, so archiving is the way to clear out the ones you have finished with.
- In the list, click the archive button at the right of the chat's row. Centrus confirms with Thread archived successfully.
- With the chat open, click the gear and choose Archive. Centrus confirms with Archived.
The archive button only appears on chats you started. To see your archived chats, click the archive button beside the search box. It turns blue while the list shows archived chats, and the list reads No archived chats. if there are none. Click it again to go back to the main list.
Your personal chat history, excluding agent-generated threads.

- 1The archive button turns blue while the list shows archived chats. Click it to go back.
- 2On an archived chat, the blue archive button unarchives it.
To bring a chat back, click its blue archive button in the archived list, or open it and choose Unarchive from the gear. The chat returns to the main list.

What should go in the handover pack for the new boiler at Kingsway Depot?
The handover pack should include the commissioning sheet, the Benchmark checklist, the manufacturer's manuals and the first service date, which is 12/09/2027.

Centrus may make mistakes. Check important info.
- 1Unarchive, in place of Archive. Rename is not offered while the chat is archived.
- 2Send looks ready once you type, but nothing is sent and your text stays in the box.
- 3Voice mode still works, and what you say is added to the chat.
An archived chat looks the same as any other once it is open. The message box still takes typing and Send turns blue, but pressing it does nothing and Enter only starts a new line. Voice mode is the exception: it still works, and the conversation is added to the archived chat. Choose Unarchive from the gear before carrying on with an archived chat.
Group chats in folders
Folders group chats by site, customer, job type or anything else that suits the way you work. The Folders section starts closed each time you open Chat. Click it to open it.

Zone 3 is showing a fault on detector 14 at Riverside House. Where do I start?
- 1The + creates a folder.
- 2The arrow beside a folder lists its chats underneath it.
- 3Click a folder's name to show only its chats in the list. The folder turns light blue.
- 4The red minus takes a chat out of the folder. The chat stays in your list.
- 5The bin and pencil appear when the pointer rests on a folder.
- 6Clear folder filter shows all your chats again.
- 1Click the + beside Folders. You do not need to open the section first.
- 2Type a name of up to 30 characters in Folder Name.
- 3Pick one of the eight colours.
- 4Click Create Folder. The new folder appears under Folders.

Create New Folder
Folder Name
Folder Color
A chat can sit in more than one folder, and adding it to a folder does not take it out of the main list. Folders cannot be put inside other folders.
Add chats to a folder
Drag a chat from the list and drop it on a folder. The folder is outlined while the chat is over it, and Thread successfully added to folder. appears when you let go. The Folders section must be open to drop on a folder.
Your personal chat history, excluding agent-generated threads.

- To add several chats at once, use Bulk Actions, covered below.
- To move a chat from one folder to another, open the first folder with its arrow and drag the chat from there onto the second folder. It leaves the first folder.
- To take a chat out of a folder, open the folder with its arrow and click the red minus beside the chat.
Rename, recolour or delete a folder
Rest the pointer on a folder to show its bin and pencil. They only appear on folders you created.
Folder Options
Folder Name
Riverside HouseDelete Folder
This will not delete your chats.
Folder contains 4 chats.
- 1The pencil opens Folder Options. Change the name or the colour, then click Update.
- 2The bin asks you to confirm. Click OK to delete the folder.
After Update, the message Folder updated successfully shows the change has been saved. Deleting a folder never deletes the chats in it. They stay in your list, and if you were looking at that folder the list goes back to showing all your chats.
Search and sort
Type in the search box to narrow the list as you type. Capital letters make no difference. Search looks at:
- the chat's name
- the most recent message in the chat
- the chat's first tag
- the name and email address of the person who started it.
Search works within what the list is already showing: the tab you are on, your archived chats if they are showing, and the folder you have chosen. Clear the folder filter, or switch back from archived chats, to search everything.
Your personal chat history, excluding agent-generated threads.

- 1The search box.
- 2Sort by: first what to sort by, which is Date, Chat Name, User or Tag, then which way round, which is Newest or Oldest for dates and A-Z or Z-A for the rest.
- 3Found by its latest message, which mentions Riverside House.
The list starts sorted by Date, Newest first, where date means the last time the chat changed. Tag sorts by each chat's first tag. Your choice lasts until you reload the page. When you switch what to sort by, the direction carries over, so Newest becomes Z-A. If nothing matches the search, the list is empty and the Sort by row disappears until you change the search.
Chat history and Agent history
The tabs above the chats split them by where they came from. Chat history holds the chats you started yourself, here or on WhatsApp or Microsoft Teams. Agent history holds chats created by agent runs: runs you started, and scheduled runs of agents you built. The line under the tabs describes it as every agent-generated thread for your organisation, but it only lists the runs described here. Runs that colleagues start are not included. A Shared tab appears once someone shares a chat with you.
All agent-generated threads for your organisation.

Chats created by your team members, excluding agent-generated threads.
Team leaders see All, Personal, Team, Shared and Agents instead, and the Sort by row only appears on Personal. See Share a chat and see team history.
Change several chats at once
Bulk Actions adds the same chats to a folder, or archives, pins or unpins them, in one go.
- 1Click Bulk Actions beside Sort by. Each chat gets a tick box.
- 2Click the chats you want. Select All ticks every chat in the list, pinned ones included.
- 3Open Actions and choose Add to folder and then a folder, or Archive, Pin or Unpin. In archived chats, Archive becomes Unarchive.
- 4Click Cancel when you have finished.
Your personal chat history, excluding agent-generated threads.

- 1Bulk Actions turns on the tick boxes.
- 2How many chats are ticked.
- 3Actions, with Add to folder open at its list of folders.
Centrus confirms how many chats changed, for example 3 threads added to folder. Chats that are already in the folder are skipped, and so are chats that are already pinned or unpinned. Only the person who started a chat can archive it, so archiving chats that were shared with you fails with Failed to update threads. Please try again.
Bulk Actions does not ask you to confirm, and ticks stay in place when you search, open a folder or switch to archived chats. A chat you ticked earlier and can no longer see is still changed. Click Cancel and start again whenever you change what the list is showing.
Download a chat
To keep a copy of a conversation, open the chat, click the gear and choose Download chat. Centrus confirms with Chat downloaded and saves a text file named after the chat's owner, the chat and the date and time.

Thread tag deleted, Unable to send new messages
Summarise the fire door survey for Kingsway Depot.
Doors 3 and 7 need new intumescent strips, and door 5 needs its closer adjusted so that it latches.

You can still read, pin, archive, download and add the chat to folders. To carry on, start a new chat with a current tag. See Tags and who sees what.

Limits and things to know
After the archive button on a chat in the list.
Add to folder, when some of the chats are in that folder already.
Straight after, once the other chats have been added.
Pin, when every chat you ticked is pinned already.
Add to folder, when the change could not be saved.
After OK on Delete Folder. The chats stay in your list.
- Chats cannot be deleted, one at a time or in bulk. Archive them instead.
- 30 characters at most in a folder name.
- Folders are flat. A folder cannot hold other folders.
- The list holds the 1,000 chats you started most recently, plus chats shared with you. Older chats are not listed, and search only covers the chats in the list.
- Search reads the most recent message in each chat only, so a word from earlier in a long conversation will not find it.
- If you rename a chat before sending its first message, Centrus replaces your name with one written from that message. Rename it again afterwards.
- Only the person who started a chat can rename it. On a chat shared with you, double-clicking the name still opens it for editing, but the new name is not saved.
- Clicking directly on a chat's name does not open the chat. Click elsewhere on the row.
- The arrows on a pinned chat can move it to the wrong place while other pinned chats are hidden by a search, a folder, a different tab or the archived view. Reorder pinned chats from the main list with the search box empty and no folder chosen.
- Chats in an open folder show their dates as month and day, for example Oct 9.
- The sort order, the open Folders section and Bulk Actions all reset when you reload the page.
