Google Sheets in chat
Sign in with your own Google account, then ask Centrus about the spreadsheets in that account's Drive, or ask it to create or update one. A new spreadsheet is saved in My Drive.

What it does
Google Sheets connects Centrus chat to the Google account you sign in with. Once it is connected, you can ask which spreadsheets are there, what a tab contains, and what a range of cells says. Centrus reads that from Google Sheets while you wait. It can also create a spreadsheet, add a tab, write and append rows, update cells, format a range, and send a batch of layout changes such as merged cells or borders. A new spreadsheet is a real Google Sheet in My Drive on that account, and the answer should include a link to open it.

A spreadsheet you want as a download inside the chat is a different path. That file is built in the chat, which is covered in Files Centrus makes for you. Asking for a spreadsheet in Google Drive, or naming Google Sheets, uses this connection. Anyone in the organisation can connect. There is no shared organisation sign-in and no Enable step: Sarah Price's Drive is not available in John Martin's chat, and the other way around. This card stores one Google account. Signing in with a different account replaces it. There is no second slot, and no Add another account. Signing in here does not sign an agent in. An agent holds its own Google Sheets connection, one account, which is described in Google Sheets in Agent Builder. The wider picture of how connections differ is in the Integrations overview.
Before you start
- A Google account you can sign in to. Google Sheets in chat is per person. Any Centrus user can click Connect. It is not reserved for administrators. Use the account whose Drive should hold the spreadsheets. Centrus only sees the account you pick on Google's page.
- Permission, from Google, for that account. Centrus asks to see, edit, create and delete all Google Sheets spreadsheets on the account, to see, edit, create and delete all files in that Google Drive (not only spreadsheets), and to see the email address on the Google account. Google is the place that grants or refuses that. The Drive permission is also what Centrus uses if you later ask to save a file from the chat into a Drive folder. The ten chat tools do less than the delete line on that screen: they do not delete a spreadsheet.
- A few minutes at the screen. The sign-in link Centrus creates expires after 10 minutes. If you leave the Google page and come back later, start again from Connect.
Your own Google account
Any Centrus user signs in. There is no organisation key, and Connect is not reserved for an administrator.
That account’s Drive
Centrus asks for every spreadsheet on the account, and for all of the files in its Drive.
Ten minutes to finish
The sign-in link expires after 10 minutes. Start again from Connect if it does.
You do not paste a password, a client secret or an API key into Centrus. Connect sends you to Google, you pick the account, and you click Allow. Centrus then stores the sign-in for your user only, encrypted, with the address Google returns so the card can show who you connected as.
Chat and Agent Builder are separate. Connecting on this card does not connect an agent, and connecting an agent does not connect chat. If you build an agent that writes spreadsheets, it needs its own Google Sheets connection. That connection is covered in the Agent Builder article. The agent's connect screen does not offer Add another account for Google Sheets. The card itself does not say the two are separate.
Connect Google Sheets
- 1Open Integrations from the menu on the left and find the Google Sheets card. On a wide screen it sits with Google Docs and Microsoft Excel.
- 2Click Connect. The button stays dull while Centrus asks Google for a sign-in address, then the same window goes to Google. It does not open a popup.
- 3On Google's page, pick the account. Centrus asks Google to show the account picker and the permission screen, including when you have allowed Sheets before.
- 4Click Allow. You have 10 minutes from the moment Centrus opened that page. You come back to Integrations. If Google accepted the sign-in, the card reads Connected, with a green line Connected as: and the address.

Centrus wants access to your Google Account
- See, edit, create, and delete all your Google Sheets spreadsheets
- See, edit, create, and delete all of your Google Drive files

- 1Connect on the card. It opens Google in this window, not a Centrus form.
- 2The Google account Centrus will use. John Martin is signing in as john.martin@meridianfm.co.uk.
- 3The Drive permission. It covers every file in that Drive, so allow it only for an account you are happy for Centrus to change.
- 4Allow, which completes the sign-in. Cancel brings you back without connecting.
Centrus does not open a spreadsheet before saving. It exchanges the code Google returns for a token, reads your address from Google, and saves the connection against your user. The card then shows that address. There is no separate success notice: the badge changing to Connected is the confirmation. The return address can include sheets_connected=true, and the page does not explain that either.

- 1The return address includes sheets_error=missing_params. The page does not explain it.
If the sign-in does not complete, you land back on Integrations and the card stays Not Connected. The page does not show a message for these cases, so check the address bar if you are unsure why nothing changed:
- sheets_error=missing_params: Google sent you back without a code, which is what happens if you cancel or refuse access.
- sheets_error=invalid_state or sheets_error=missing_context: the return could not be tied to your Centrus user. Start again from Connect.
- sheets_error=true: the sign-in link had expired (it lasts 10 minutes), the check on it failed, or Google refused the token. Click Connect and allow again.
- Connect itself does nothing visible if Centrus cannot fetch the Google address. The button wakes up again and nothing is shown. Wait a moment and click it again.
Sign in with your own account
Google Sheets does not have an organisation connection for someone else to enable. There is no Enable button, and no line that says the organisation is already connected. The card has two states for you. Not Connected means this Centrus user has no Google Sheets sign-in, and the buttons are Connect and How to Use. Connected means your sign-in is saved, the green line names the account, and the buttons are How to Use and Disconnect. Sarah Price, looking at the same page, still sees Not Connected until she signs in with her own Google account.

Ask your first questions
Open Chat, start a chat and ask the way you would ask a colleague. Google Sheets is available in every chat once the card says Connected for you. How to Use on the card lists the kinds of question the connection is meant for. The examples there are short prompts, including one that says project X. The questions below use a spreadsheet a facilities team would actually keep.
Create Spreadsheets
Say “Create a spreadsheet for tracking tasks” or “Generate a data table for project X”
Manipulate Data
Ask to “add rows”, “update values”, or “read data from range A1:C10”
Format Cells
“Format the header row with bold text and green background”
Professional Tables
AI applies proper structure with headers and organised columns automatically
- 1Example questions under Create Spreadsheets. The window's own wording, including project X.
- “What spreadsheets do I have?”
- “Read the October tab in Riverside PPM schedule.”
- “What visits are on that tab for this week?”
- “Create a spreadsheet called Riverside PPM summary, with a tab named October.”

What visits are on the October tab in Riverside PPM schedule this week?
I read October in Riverside PPM schedule. These three fall in the week of 05/10/2026 to 09/10/2026:
| When | Site | Engineer | Note |
|---|---|---|---|
| 09/10/2026 09:00 | Riverside House | Dylan Hughes | Boiler room |
| 08/10/2026 14:30 | Riverside House | Priya Shah | Access control |
| 07/10/2026 11:00 | 12 High Street | Liam Carter | Leak under the sink |
While Centrus works, the panel above the answer names the step. Listing files shows as Finding your Google Sheets workbooks, even though the files are Google Sheets. Opening one shows as Opening the spreadsheet. A range shows as Reading the spreadsheet. A tab read as records shows as Reading rows from Google Sheets. Creating one shows as Creating a workbook in Google Sheets. Updating cells, appending rows and a batch all show as Updating the spreadsheet. Adding a tab shows as Adding a sheet to the spreadsheet. Formatting shows as Formatting the spreadsheet. When the answer is ready, the panel folds to Worked with the number of steps. Open it if you want to see what was looked up before the answer.
A question about a named spreadsheet usually starts with a list, so Centrus can find the file, and then a read. Carry on in the same chat, with “Add a row for Tom Reed at Harbour View Apartments tomorrow at 10:00” or “What did Dylan write about the boiler room?”, and it can use the spreadsheet you were just discussing. If the answer includes a link, it should be words such as Open spreadsheet, not the raw address on its own.
What you can ask
Centrus has 10 Google Sheets tools in chat, 4 that read and 6 that change a spreadsheet, and it picks from what you ask. You never choose a tool yourself. Every one is listed in the reference. They all use the same sign-in. You do not connect Google Drive separately for this.
Spreadsheets
“What spreadsheets do I have?”
“Create a spreadsheet called Riverside PPM schedule.”
Reading a tab
“Read the October tab.”
“What is in October!A1:D20?”
Adding rows
“Add Friday’s job at Riverside House.”
“Append these three lines.”
A summary tab
“Add a tab called Summary.”
“Make the header row bold with a green fill.”
- Spreadsheets. Ask what spreadsheets you have, or ask for one by name. A list asks Drive for Google Sheets files, and also for Excel files stored in that Drive (.xlsx and .xls), newest modified first. The default is 10. Only that page comes back. Shared drives are not included. The folder shown with each file is the name of its parent folder, or My Drive. Creating a spreadsheet needs a title. The first tab is named Sheet1 unless you name one or more tabs. The file is created in My Drive. There is no folder field on that create, and a file of the same name is not replaced: Drive can hold two spreadsheets with the same title.
- One spreadsheet. Once a list has found the file, Centrus can open it for the title, the tab names and ids, and the link. Opening it does not return the cells. Ask for a tab or a range when you want the contents. The tab id from this step is what formatting needs. Do not assume the first tab is id 0: the instructions Centrus is given still say the first tab is usually 0, and the format tool says not to assume that.
- A range. Ask for cells in A1 notation, and include the tab, such as October!A1:D20. You get a grid of values. Empty rows and columns at the end of that range are dropped. A range that is still over 8 MB after that trim is refused, with the size and the row count, and nothing from that read is returned. That grid does not include the real sheet row numbers. Do not use it to pick a cell to write. Ask for the tab as records when you need the row.
- Rows as a list. Ask for the tab as records when you want one line per row, with the headings as the names. This reads the whole tab, not a smaller range. The heading row defaults to row 1, and the tab defaults to Sheet1 if you do not name one. Blank rows are left out and do not shift the later row numbers. Blank cells stay on their column. Dates and amounts come back as the text the sheet displays, so a date shown as 09/10/2026 stays in that form. Each row includes its real sheet row number and the spreadsheet id, so a later update can name that row. A heading row outside the used area fails and names the rows that do have data.
- Adding and editing. Ask to change a range, or to add rows at the end of a tab. An update replaces the cells you name. The values are entered as you would type them, so a date or a pound amount can be parsed by the sheet. Write one cell or one row against that row number. A tall block of values aimed at a single cell is written downward and changes the rows underneath. Appending adds the new rows after the data already on that tab, and does not overwrite earlier rows. A batch sends a set of Google Sheets changes in one call, which is how merged cells, borders and conditional formatting are done. Anything Google refuses fails that whole call.
- A new tab. Ask for a tab by name on a spreadsheet that already exists. Google refuses a second tab with the same name. A failure of that call leaves the spreadsheet as it was.
- Formatting. Ask in ordinary words: bold, italic, a font size, or a fill such as green. Centrus has to turn a colour into red, green and blue values between 0 and 1. It is not given a list of colour names. Formatting needs the tab id from opening the spreadsheet, and the row numbers from a record read: the start is the row number minus 1, and the end is the row number. The instructions tell Centrus to make headers stand out, with bold or a coloured background, when it builds a table. Freezing panes is not a chat tool. For a frozen header, select the row under the headers in Google Sheets and use View, Freeze, 1 row.
Centrus only sees the account on your card. A spreadsheet in someone else's Drive, or in a shared drive this list does not search, is not this connection. It also cannot delete a spreadsheet, share it, or change who can open it. Those stay in Google Drive.
How to Use says that tables are given headers and organised columns automatically. The instruction Centrus follows does tell it to put clear headers on the first row when it creates a spreadsheet, to start a data table at A1, and to format headers so they stand out. If you want a particular fill, say so. A chart is not one of these chat tools. The agent step is described in Google Sheets in Agent Builder.

Which rows on the Rates tab of Meridian price list are for boiler service?
I read the tab. These three rows are boiler service. I have left the other rates out of the table.
| Row | Item | Rate | Unit |
|---|---|---|---|
| 2 | Annual boiler service | £145.00 | Visit |
| 5 | Boiler part, fan | £62.00 | Each |
| 8 | Out of hours boiler call | £95.00 | Hour |
Access control and plumbing rates are also on the tab.
Making changes
Six of the 10 tools change something in your Drive: creating a spreadsheet, updating cells, appending rows, a batch of changes, adding a tab, and formatting cells. Creating shows as Creating a workbook in Google Sheets. Updating, appending and a batch all show as Updating the spreadsheet. Adding a tab shows as Adding a sheet to the spreadsheet. Formatting shows as Formatting the spreadsheet.
Centrus is not told to ask again before it creates a spreadsheet, updates cells, adds rows, adds a tab, runs a batch, or formats cells. The question you asked is the instruction. There is no approval button. The Sheets instructions also tell it to create a real spreadsheet when you ask for a data table, and to format headers so they stand out. If the result matters, name the spreadsheet, the tab and the cells, and open the file afterwards.
A new spreadsheet is created in My Drive under the title you gave. The create has no folder field, so naming a folder in the question does not move that new file. If a spreadsheet of that name is already there, this create does not replace it. You can end up with two files of the same title, and a later list, which is newest first and only 10 long, can hand back the wrong one. Include the date in the title, such as Riverside PPM summary 09/10/2026, when the name might already exist. The link in the answer opens that file in Google Sheets.

Yes, create a Google Sheet called Riverside PPM summary, tab October, with those three visits.
Created Riverside PPM summary in My Drive, tab October, with headers Date, Site, Engineer and Note, and the three rows. Open it from the link. A file of the same name already in Drive is left as it was.
Some of these are awkward to undo from chat:
- Creating cannot be undone from chat, and there is no delete tool. Remove the file in Google Drive. A second create with the same title adds another file rather than replacing the first.
- Updating cells replaces what was in the range. Centrus is not told to read the old values out first. If you might want them, ask it to read the range before the update, and keep that answer. A block of values written onto one cell continues down the tab and changes those rows too.
- Appending writes after the data already on the tab. It does not replace earlier rows. If the new rows are not where you expected, scroll the tab before you assume they are missing.
- A batch is one call. Merged cells, borders and conditional formatting go through it. If Google refuses the call, that batch is not applied.
- Adding a tab uses the name you give. A duplicate name is refused, and that call leaves the spreadsheet as it was.
- Formatting changes the look of the range, not the values. It cannot freeze the header. A colour is three numbers from 0 to 1, not a name Centrus looks up from a fixed list.
There is no tool that updates every spreadsheet in one step, and no tool that writes a list already fetched from another system in a single pass. A request such as “add these three jobs to the Jobs tab” can be one append, because an append takes several rows at once. A longer run is a run of single steps, and Worked shows Updating the spreadsheet for each. For a tab you cannot afford to replace, ask Centrus to read it first and to create a new spreadsheet rather than update the original. A change only happened if a tool step succeeded on this turn. If Worked has no Google Sheets step, the file was not written, whatever the sentence sounds like.

Add these three jobs to the Jobs tab on Riverside live jobs: Dylan at Riverside House tomorrow 09:00, Priya at 12 High Street on 12/10/2026 14:00, and Tom at Harbour View Apartments on 13/10/2026 10:00.
I added 3 rows to the end of Jobs on Riverside live jobs. Earlier rows were not replaced. There is no separate step that writes a whole fetched list in one go.
When the document sandbox is on, Centrus is also told to prefer a downloadable file in the chat for a new spreadsheet, and to use Google Sheets when you asked to update a spreadsheet you already have. A file card under the answer is that download, covered in the files article. Name Google Sheets, or say you want it in Google Drive, when the file should be a Google Sheet in My Drive.
Who can use it
Google Sheets has no screen for switching individual tools off. The Integrations overview describes that screen for BigChange REST and Simpro. It does not appear for Google Sheets, and teams have no Google Sheets tool list either. If your card says Connected, every Google Sheets tool is available in your chats. A colleague's card is their own sign-in, so they cannot use yours, and you cannot use theirs.
Nothing in Settings holds a write back. When you ask for a spreadsheet or a cell change, Centrus is told to do it, not to repeat the details and wait. The connected integrations note for this sign-in does not add a confirm-first rule, unlike some other systems. If an answer has already said the spreadsheet was created or the cells were updated, and Worked shows the step, the change has been made. Say the spreadsheet, the tab and the cells in the question if more than one file would fit.

Add a row to the Jobs tab for Tom Reed at Harbour View Apartments on 10/10/2026 at 10:00, note: plant room door.
I have written the row. I did not ask again, because the question was the instruction.
| Tab | Row | Engineer | Site | When |
|---|---|---|---|---|
| Jobs | 12 | Tom Reed | Harbour View Apartments | 10/10/2026 10:00 |
- 1The tab and the row, after the write. There is no earlier turn that asks you to confirm.
The extra detail on this card is How to Use, not a permissions grid. Open it any time. It lists creating spreadsheets, reading and updating values, appending rows, formatting cells, creating tabs, and listing spreadsheets, plus a connection status for the Google account and for spreadsheet access. That list is shorter than the 10 tools: it does not mention reading a tab as records, opening a spreadsheet for its tab ids, or a batch. The connection status reads Connected and Ready once your sign-in is saved, and Not connected and Pending connection before that.

Spreadsheets are created in your own Google Drive. You can revoke access anytime from your Google Account settings.
Spreadsheet Capabilities
✓ Create Spreadsheets
✓ Format Cells
✓ Read/Update Values
✓ Create Sheets/Tabs

Connection Status
- 1The capability list on How to Use. It is not the full set of 10 tools.
- 2Connection Status, with the account connected and spreadsheet access ready.
- 3The Drive note. Revoking access in the Google account is separate from Disconnect on the card.
Limits
- New spreadsheets go to My Drive. There is no folder field on the chat create. A file of the same name is not replaced. The title is used as you gave it.
- Listing returns 10 unless a number is asked for. Only that page comes back, newest modified first. The search includes Google Sheets and Excel files (.xlsx and .xls) that are not in the trash. Shared drives are not requested. The folder name is the parent folder, or My Drive, including when the folder name could not be read.
- Reading a range drops empty rows and columns at the end. Above 8 MB after that trim, the read fails and tells you the size and the row count. Ask for fewer columns or a shorter range. The grid has no row numbers.
- Reading rows reads the whole tab. The heading row defaults to 1, and the tab defaults to Sheet1. A heading row outside the used area fails and names the rows that do have data. Values come back as the sheet displays them. Above 8 MB after the trim, the read fails the same way.
- An update replaces the named range and is entered as typed. A tall block aimed at one cell writes downward.
- Appending adds rows after the existing data on that tab. Several rows can go in one append. There is no separate writer for a list already fetched from another system.
- A batch is one call to Google. A refusal applies none of that call.
- Formatting uses a tab id and 0-based row and column indexes, with the end index left out. Colours are red, green and blue from 0 to 1. It cannot freeze panes.
- The sign-in link lasts 10 minutes. Refreshing the saved sign-in can drop the address from the card even though the badge stays Connected.
- Saving a chat file into a folder can use this sign-in. Google Docs is tried first, then Google Sheets, then a Google Drive knowledge connection if one exists. The name has to match the download card, and the file has to be 100 MB or under. Name the folder if you do not want the file in My Drive. Folders are created if they are missing. A connection made before this Drive permission was added can only read Drive, and saving then asks you to disconnect and connect again.
- One account. The connected address is the only Drive. Chat does not offer a picker of several saved Google accounts. Signing in again replaces this one. One account on an agent is covered in the Agent Builder article.
- A file card in the chat is the downloadable spreadsheet, not a Google Sheet created here. See Files Centrus makes for you.

What visits are on the October tab in Riverside PPM schedule this week?
A spreadsheet read does not count pages the way a long list in a job system does. The Working line names the step, Reading rows from Google Sheets, and then folds into Worked when the answer starts. If it is taking too long, use the stop control and ask for a smaller range, or for one tab by name.
Disconnect
Disconnect on the card removes your chat connection only. It runs straight away, without asking you to confirm, and it does not show a notice. The card goes back to Not Connected, the green address line goes, and Connect comes back. Spreadsheets already created stay in Google Drive. Only the link from this Centrus user is removed. Sarah's card does not change.

- Ask “Create a spreadsheet for tracking tasks”
- Generate professional spreadsheets with data and formatting
- Produce data tables, reports, and tracking sheets
- Secure OAuth2 connection
- 1Disconnect, which removes your connection without asking you to confirm and without a notice.
- 2Connect, to sign in again. The card does not keep the previous address.
Disconnect does not visit Google to withdraw the permission. The grant can remain on the Google account until you remove Centrus there. How to Use says you can revoke access from your Google Account settings, and that is the step that does it. Because the permission covers every file in that Drive, removing it there matters more than the card alone.
Other people are not affected. Sarah still has her own sign-in if she connected, and an agent that has its own Google Sheets connection keeps that too. To stop your chat from seeing the Drive, Disconnect is enough. To stop Google from honouring the grant, remove it in the Google account as well. A new Connect replaces the saved sign-in for your user. It does not reconnect anyone else, and it does not reconnect an agent.
Troubleshooting
- Centrus answers as though Google Sheets is not connected. Check the card says Connected for you, not only for a colleague. If it says Not Connected, click Connect. If it already says Connected, the tools are on. There is no place in Settings that switches them off one by one.
- You returned from Google and the card is still Not Connected. Look at the address bar for sheets_error. Cancel or a refused permission is missing_params. An expired or rejected sign-in is sheets_error=true. Click Connect and finish within 10 minutes.
- Google Sheets not connected. The connection row is gone. Connect again from the card.
- The card says Not Connected, but chat still tries Google Sheets and then fails. If Google rejects the saved sign-in, the card's check reports not connected and does not delete the stored row. Click Disconnect, then Connect if you still want the account.
- The badge says Connected and the green line has gone. The sign-in was refreshed and the address was not kept. Disconnect and connect again so the card shows the account you mean.
- Connect seems to do nothing. Wait for the button to wake up, then click it once. If Centrus could not fetch the Google page, it does not tell you.
- Two spreadsheets share a title. Create does not replace. Open the link from the answer, or ask for the newest one and check the modified time. Rename in Google Drive if you need them apart.
- Above the 8 MB per-read limit. The range, or the whole tab on a record read, was too large after empty edges were dropped. The message includes the size and the row count. Ask for a smaller range or fewer columns.
- Header row 5 is outside the used range. The heading is not on the row you named. The message includes the rows that do have data. Ask again with that row, usually row 1.
- New rows landed on top of other rows. The update started at one cell and wrote downward. Ask for the row number from a record read, and for one row.
- A file would not save into a folder. The message can say Google Drive is not available and to connect Google Docs or Google Sheets, or that the connection can only read Drive and should be disconnected and connected again, or that no file of that name was found in this chat, or that the file is larger than the 100 MB limit.
- The answer is a file card, not a Google Sheets link. That spreadsheet was built in the chat. Open it from the card, or see Files Centrus makes for you. Ask for a spreadsheet in Google Drive if you wanted it there.
- You wanted a chart or a frozen header. Chat cannot freeze the header. Freeze it in Google Sheets. The agent step is covered in Google Sheets in Agent Builder.

I could not reach your spreadsheets. Centrus returned Google Sheets not connected, which means this user has no saved sign-in. On Integrations, click Connect on Google Sheets and sign in again.
Tools and endpoints reference
There are 10 Google Sheets tools in chat: 4 read and 6 change a spreadsheet in the connected Google account. The names below are short names for the steps you see while Centrus works. Three different writes share the step Updating the spreadsheet (updating cells, appending rows, and a batch). Listing shows as Finding your Google Sheets workbooks, and creating shows as Creating a workbook in Google Sheets. Spreadsheet calls go to the Google Sheets API at https:/. The list goes to Google Drive at https:/. Where a path contains {spreadsheetId}, Centrus uses the id from an earlier list, from opening the file, or from the create. {range} is A1 notation, including the tab when you name one, such as October!A1:D20.
