Google Docs in chat

Sign in with your own Google account, then ask Centrus to find and read the Google Docs in that Drive, or to create one and add headings, text, lists and tables. A new document is saved at the top of that Drive.

What it does

Google Docs connects Centrus chat to the Google account you sign in with. Once the card says Connected, you can ask which documents were changed recently, what a site survey says, or where a clause sits in a contract, and Centrus reads that document while you wait. It can also create a document, add text, mark a heading, apply bold, italic, underline, a font size or a colour, and append headings, paragraphs, bullets, numbered steps and tables. A new document is a real Google Doc at the top of your My Drive, and the result includes a link to open it.

A letter or a PDF you want as a download inside the chat is a different path. That file is built in the chat, which is covered in Files Centrus makes for you. Asking for a Google Doc, or naming Google Docs, uses this connection. A spreadsheet belongs on Google Sheets in chat. Each person signs in with their own Google account. John Martin's Drive is not available in Sarah Price's chat, and an administrator cannot connect one Drive for the whole organisation. This card is the chat connection. An agent holds its own Google Docs connection on its step: see Google Docs in Agent Builder. The wider picture of how connections differ is in the Integrations overview.

Before you start

  • A Google account you can sign in to. Any Centrus user can click Connect. It is not reserved for administrators. Centrus only sees the account you pick on Google's screen. Chat keeps one Google Docs sign-in per person. Connecting again replaces that sign-in. It does not add a second account beside it.
  • Permission, from Google, for that account. Google asks you to allow three things: see, edit, create and delete all your Google Docs documents; see, edit, create and delete all of your Google Drive files; and see your primary Google Account email address. The eight chat tools do less than the Drive line. They read and change Google Docs. They do not delete a document, and they do not delete other files in Drive. The wider Drive permission is also what lets you save a file from the chat into a Drive folder.
  • A few minutes at the screen. The sign-in link Centrus creates expires after 10 minutes. If you leave Google's page and come back later, start again from Connect.

Your own Google account

Any Centrus user signs in. One account at a time. A later Connect replaces the first.

What Google asks you to allow

All your Google Docs, all of your Google Drive files, and the email address on the account.

Ten minutes to finish

The sign-in link expires after 10 minutes. Start again from Connect if it does.

Each person signs in for themselves. Connecting this card does not connect Google Docs on an agent.

You do not paste a password or an API key into Centrus. Connect opens Google in the same window. You pick the account and you allow the three permissions. Centrus then stores the sign-in for your user only, encrypted, with the email address Google returns so the card can show who you connected as.

Chat and Agent Builder are separate. Connecting on this card does not connect an agent, and connecting an agent does not connect chat. If you build an agent that writes documents, it needs its own Google Docs connection. The card itself does not say the two are separate.

Connect Google Docs

  1. 1Open Integrations from the menu on the left and find the Google Docs card. On a wide screen it sits with Gmail and Google Sheets.
  2. 2Click Connect. The button stays dull while Centrus asks Google for the sign-in page, then the same window goes to Google.
  3. 3Choose the Google account. Centrus asks Google to show the account picker and the permission screen, including when you have allowed Docs before.
  4. 4Allow the three permissions: Google Docs, Google Drive, and your Google Account email address. You have 10 minutes from the moment Centrus opened that page. You come back to Integrations. If Google accepted the sign-in, the card reads Connected, with a green line Connected as: and the address.

  2. 2The Google account Centrus will use. Pick the Drive you want new documents saved in.
  3. 3The Drive permission. It covers every file in that Drive, so allow it only for an account you are happy for Centrus to use.
  4. 4Allow, which completes the sign-in. Centrus then returns you to Integrations.

Centrus does not open a document before saving. It exchanges the code Google returns for a token, reads your email address from Google, and saves the connection against your user. The card then shows that address. There is no separate success notice: the badge changing to Connected is the confirmation. The return address can include docs_connected=true, and the page does not explain that either.

If the sign-in does not finish, you land back on Integrations and the card stays Not Connected. The page does not show a message for these cases, so check the address bar if you are unsure why nothing changed:

  • docs_error=missing_params: Google sent Centrus back without a completed sign-in. That includes cancelling, or refusing access.
  • docs_error=invalid_state or docs_error=missing_context: the return from Google did not match the sign-in Centrus started. Start again from Connect.
  • docs_error=true: the sign-in could not be saved. A common cause is waiting more than 10 minutes on Google's page. The link expires, and you start again from Connect.
  • Connect does nothing you can see. The button is disabled while Centrus requests the Google page. If that request fails, the button wakes up again and nothing is shown. Click Connect once more.

Sign in with your own account

There is no Enable button on Google Docs, and no line that says the organisation is already connected. The card has two states for you. Not Connected means this Centrus user has no Google Docs sign-in, and the buttons are Connect and How to Use. Connected means your sign-in is saved. When the address was saved with it, a green line reads Connected as: followed by that address, and the buttons are How to Use and Disconnect. Sarah Price, looking at the same page, still sees Not Connected until she signs in with her own Google account.

While Centrus works, the panel above the answer names the step. A list of documents shows as Finding your Google Docs documents. Opening one shows as Reading the document. Creating one shows as Creating a document in Google Docs. Adding text, adding blocks, or a batch of updates shows as Updating the document. Formatting shows as Formatting the document. Marking a heading shows as Creating a heading in Google Docs. When the answer is ready, the panel folds to Worked with the number of steps. Open it if you want to see what was looked up before the answer.

A question about a named document usually starts with a list, so Centrus can find the file, and then a read. Carry on in the same chat, with “Add a heading for the plant room” or “Draft the customer letter from that summary”, and it can use the document you were just discussing. If the answer includes a link, it is the edit link for that document. Name Google Docs in the question when you want the file in Drive. A request to create a document, with no mention of Google Docs, is treated as a file to download in the chat.

What you can ask

Centrus has 8 Google Docs tools in chat, 2 that read and 6 that change a document, and it picks from what you ask. You never choose a tool yourself. Every one is listed in the reference. They all use the same sign-in. You do not connect Google Drive separately for this.

Recent documents

“What Google Docs have I changed recently?”

“Is the Northgate Housing contract in that list?”

Reading one

“Summarise the Riverside House site survey.”

“What does the access clause say?”

A new document

“Draft a letter to Northgate Housing about Monday's visit.”

“Write a method statement for the boiler isolation.”

Adding to it

“Add numbered steps for isolating the boiler.”

“Put the valve sizes in a table at the end.”

  • Recent documents. Ask what you have changed lately, or ask for one by name. The list is Google Docs only, most recently modified first. The default is 10. Centrus does not fetch a second page, and it does not search Drive by title. A name that is missing from those 10 is not found by asking again with the same list. Give a more specific question once this chat already has the document, or open it from an earlier answer that included its link. Documents in a shared drive are not in this list.
  • One document. Once a list has found the file, Centrus can read it. You get the title, the edit link, and the body as Google Docs stores it: paragraphs, headings and tables, with their positions. That is what a summary or a clause lookup is read from. It is not a separate plain-text copy, and it does not download the file as a PDF or a Word document.
  • A new document. Creating needs a title. The file is a new Google Doc at the top of your My Drive, even when a document of that title already exists. Chat does not look for an existing title first. The result includes the document id and a link of the form https://docs.google.com/document/d/{id}/edit. There is no folder field. A method statement, a customer letter and a survey summary are the sort of document this is for. A sheet of visit rows belongs in Google Sheets.
  • Text at a position. Ask to add a sentence at the start, or at a point you have already read. The start of the document is position 1. Centrus has to name the position. A position past the end is refused by Google, and that call inserts nothing.
  • Headings, lists and tables in one go. Ask for the sections, the bullets, the numbered steps and a table, and name the document. This appends them at the end. Block types are a heading at three levels, a paragraph, a bullet, a numbered step, and a table. A table is rows of text, and you can ask for the first row to be a bold header. You can also ask for bold, italic, underline, a font size in points, or a colour as a CSS name (such as green or navy) or a hex value. This is the call to use when you do not want to track character positions yourself.
  • A heading on text that is already there. Ask for the existing words to become Heading 1, Heading 2 or Heading 3. This styles a range. It does not type the heading. The range has to be there already, from a read or from an insert in the same answer.
  • Bold, italic and colour on a range. Ask for bold, italic, underline, a font size in points, or a text colour. On this older formatting call the colour is red, green and blue as numbers from 0 to 1, not a CSS name. A CSS name or a hex value belongs on the blocks call above.
  • Several updates at once. A batch sends a list of Google Docs updates in one call. Centrus is told this is for more complicated edits, and that it should prefer the blocks call when it is building headings, lists and tables. The batch is not limited to a fixed menu of update types.

Centrus only sees the account on your card. A document in someone else's Drive, or in a shared drive this list does not return, is not this connection. It also cannot delete a document, share it, change who can open it, export it, or add an image. Those stay in Google Docs and in Drive.

How to Use says that headings, bold text and proper structure are applied automatically. The tools that do that work are separate calls, and the shared instructions for a connected account do not add a rule that formatting runs only when you asked for a look. If you want a plain document, say so. A chart, or a grid you will keep adding rows to, is Google Sheets in chat, not one of these tools. Finding an existing document by its exact title, and creating it only when it is missing, is an agent action, described in Google Docs in Agent Builder.

What does the access clause say in the Northgate Housing contract?

10:05
Worked · 4 steps

The contract was in the 10 most recently changed documents, last modified on 03/10/2026. The access clause says: fob from the Riverside House reception, 08:00 to 17:00, and 24 hours' notice for weekend work.

I have left the price schedule and the plant room appendix out of this answer.

Making changes

Six of the 8 tools change a document in your Drive: creating a document, inserting text, inserting blocks, a batch of updates, formatting text, and marking a heading. Creating shows as Creating a document in Google Docs. Inserting text, inserting blocks and a batch all show as Updating the document. Formatting shows as Formatting the document. A heading on an existing range shows as Creating a heading in Google Docs.

Centrus is not told to ask again before it creates a document, inserts text, adds blocks, formats a range, or sends a batch. The question you asked is the instruction. There is no approval button. It asks you first only when the request itself is unclear. If the result matters, name the document and open the link afterwards.

A new document is written to the top of your My Drive under the title you gave. If a document of that name is already there, this create does not replace it and does not refuse. You get a second file with the same title. Check Drive before you ask, or include the date in the title, such as Riverside House method statement 09/10/2026. The link in the result opens that file in Google Docs.

  1. 1Creating a document in Google Docs and Updating the document. Both have already run. There is no confirm step in front of them.

Some of these are awkward to undo from chat:

  • Creating cannot be undone from chat, and there is no delete tool. Move the file to the trash in Drive. A second create with the same title adds another file. It does not overwrite the first.
  • Inserting text writes at the position you named. Position 1 is the start. Centrus is not told to read the old text out first. If you might want it, ask for a read before the insert, and keep that answer.
  • Inserting blocks appends at the end. A table is inserted first, then the cell text is written. If the cell positions cannot be read back, the message is Google Docs inserted the table, but the cell indexes could not be read back. The empty table is already in the document.
  • A batch applies the updates it is given, in one call. There is no menu of allowed update types, and no undo in chat.
  • Formatting changes the look of a range, not the words, except where a style makes a line a heading. It cannot add an image, a border set, or a chart.
  • A heading only changes the style of a range that already exists. Heading levels are 1, 2 and 3.

There is no tool that updates every document in one step. A request such as “add an access note to all of my method statements” is done one document at a time, and a long run is a long run of single steps. The list that finds those documents returns 10 unless you ask for more, and it does not hand back the next page, so “all of them” covers the documents in that result, not the rest of the Drive. A change only happened if a tool step succeeded on this turn. If Worked has no Google Docs step, the file was not written, whatever the sentence sounds like.

While those blocks are written, the step reads Updating the document, which is the same wording as inserting a single sentence or sending a batch. Judge it by the answer: a document title and what was appended means the write ran. A list of document names, with no new text, means it only looked. A downloadable file card under the answer is not this write. That card is covered in the files article.

Who can use Google Docs

Google Docs has no screen for switching individual tools off. Integrations overview describes that screen for BigChange REST and Simpro. It does not appear for Google Docs, and teams have no Google Docs tool list either. If your card says Connected, every Google Docs tool is available in your chats. A colleague's card is their own sign-in, so they cannot use yours, and you cannot use theirs.

Nothing in Settings holds a write back. When you ask for a document or a change to one, Centrus is told to do it, not to repeat the details and wait. The connected integrations note for this sign-in does not add a confirm-first rule. If an answer has already said the document was created or the text was added, and Worked shows the step, the change has been made. Say the document title in the question if more than one file would fit. Sarah Price still has to click Connect on her own card. There is no Enable.

The extra detail on this card is How to Use, not a permissions grid. Open it any time. The lower part lists creating documents, inserting text, bold, italic and underline, headings from H1 to H3, font size and colour, and listing your documents, plus a connection status for the Google account and for document access. That list is shorter than the 8 tools: it does not mention reading a document, appending blocks, or a batch of updates. The connection status reads Connected and Ready once your sign-in is saved, and Not connected and Pending connection before that.

Limits

  • New documents go to the top of your My Drive. There is no folder field on the chat create. A file of the same title is a second document, not a replacement. Shared drives are not a destination for this create.
  • Listing documents returns 10 unless a number is asked for. Only that page comes back, newest modified first, and only Google Docs. There is no title search in the call, and shared drive files are not included. The result does not say how many documents you have in total.
  • Reading a document returns the title, the edit link and the body structure. It does not return a PDF, a Word file, or the images in the document. There is no size cap in this read.
  • Inserting text needs a position. 1 is the start. A position Google rejects inserts nothing.
  • Blocks append. Types are heading 1, heading 2, heading 3, paragraph, bullet, number and table. A table header row is made bold when you ask for a header. Colour on a block is a CSS name or a hex value. An empty table can be left behind if the cell positions cannot be read back.
  • Formatting a range can set bold, italic, underline, font size in points, and a colour as red, green and blue from 0 to 1. Headings on an existing range are levels 1, 2 and 3 only.
  • A batch sends the update list it is given. It is not limited to headings and text styles.
  • The sign-in link lasts 10 minutes. The stored token is refreshed when it is used. That refresh can drop the address from the card even though the badge stays Connected.
  • One account. The connected address is the only Drive. A new Connect replaces the saved sign-in. Chat does not offer a picker for a second Google account.
  • Saving a chat file into a folder uses this sign-in when Google Docs is connected (Google Sheets is the next choice, then a Google Drive knowledge connection if the organisation has one). The name has to match the file in this chat, and the file has to be 100 MB or under. Name the folder if you do not want the file at the top of My Drive. A connection made before Drive saving was added can only read Drive: the message asks you to disconnect and connect again.
  • A file card in the chat is a downloadable file, not a Google Doc created here. See Files Centrus makes for you. Name Google Docs if you wanted it in Drive.
  • Rows you will keep editing belong in a spreadsheet. See Google Sheets in chat.

A document list does not count pages the way a long job search can. The Working line names the step, Finding your Google Docs documents, and then folds into Worked when the answer starts. If it is taking too long, use the stop control and ask for one document by the title already in the chat.

Disconnect

Disconnect on the card removes your chat connection only. It runs straight away, without asking you to confirm, and it does not show a notice. The badge returns to Not Connected, the green address line goes, and Connect comes back. Documents already created stay in Drive. Sarah's card does not change. An agent's own Google Docs connection is a different sign-in and stays until someone disconnects it on the agent.

  1. 1Disconnect, which removes your chat connection without asking you to confirm and without a notice.
  2. 2Connect, to sign in with Google again. The card does not keep the previous address.

Disconnect does not visit Google to withdraw the permission. The grant can remain on the Google account until you remove Centrus there. How to Use says you can revoke access from your Google Account settings, and that is the step that does it. Because the permission covers every file in Drive, removing it there matters more than the card alone.

If you withdraw access at Google and leave the card, the next status check can fail and the badge can drop to Not Connected without deleting the stored sign-in. Chat can still try that sign-in until you click Disconnect. Do that as well, then Connect if you want a fresh one. A new Connect replaces the saved sign-in for your user. It does not reconnect anyone else, and it does not reconnect an agent.

Troubleshooting

  • Centrus answers as though Google Docs is not connected. Check the card says Connected for you, not only for a colleague. If it says Not Connected, click Connect. If it already says Connected, the tools are on. There is no place in Settings that switches them off one by one.
  • You returned from Google and the card is still Not Connected. Look at the address bar for docs_error. Cancel is missing_params. A mismatched return is invalid_state or missing_context. An expired or rejected sign-in is docs_error=true. Click Connect and finish within 10 minutes. There is no message on the page itself.
  • Google Docs not connected. The connection row is gone. Connect again from the card.
  • Google Docs token unavailable. The saved sign-in has no access token after a refresh. Click Disconnect, then Connect, and allow the permissions again.
  • The badge says Connected and the green line has gone. The sign-in was refreshed and the address was not kept. Disconnect and connect again so the card shows the account you mean.
  • The card says Not Connected, but chat still tries Google Docs and then fails. A rejected token makes the card's check fail, and it does not delete the stored sign-in. Click Disconnect, then Connect if you still want the Drive.
  • The named document is not in the answer. The list is the 10 most recently modified Google Docs in My Drive. It does not search by title, and it does not include a shared drive. Ask from a chat that already has the document, or open it from a link in an earlier answer.
  • A new document appeared beside one of the same name. Create always makes a new file. Remove the one you do not want in Drive. Include the date in the title next time.
  • The text landed in the wrong place. Insert uses a character position, and 1 is the start. Ask for the blocks call when you want the new sections at the end.
  • An empty table is sitting at the end. The table was inserted, and the cell text could not be written. The message is Google Docs inserted the table, but the cell indexes could not be read back. Delete that table in Google Docs, then ask again.
  • A document id is required. The write had no document to attach to. Ask for a list or a create first, then the edit.
  • Saving a file to Drive says the connection can only read Drive. Disconnect Google Docs on the Integrations page and connect it again, so the wider Drive permission is granted. The same message can come from a Google Sheets connection. See Files Centrus makes for you.
  • The answer is a file card, not a Drive link. That file was built in the chat. Open it from the card, or see Files Centrus makes for you. Ask for a Google Doc if you wanted it in Drive.
  • You wanted a spreadsheet, a chart, or a frozen header. Chat's Google Docs tools do not do those. See Google Sheets in chat.

The saved sign-in is missing

I could not reach your Google Docs. Centrus returned Google Docs not connected, which means this user has no saved sign-in. On Integrations, click Connect on Google Docs and sign in again.

Tools and endpoints reference

There are 8 Google Docs tools in chat: 2 read and 6 change a document. The names below are short names for the steps you see while Centrus works. Three different writes share the step Updating the document (inserting text, inserting blocks, and a batch). Document calls go to https://docs.googleapis.com. The list goes to Drive at https://www.googleapis.com. Where a path contains {documentId}, Centrus uses the id from an earlier list or from the create. Connecting also calls Google for the email address on the card. That call is not one of the eight tools. Creating, and every other write, still happens when you ask. Chat is not told to wait.
