Microsoft Word in chat

Sign in with your own Microsoft account, then ask Centrus to create a Word document in your OneDrive, or to add, format or replace text in one you already have. It can list those files and give you the link. It does not read the words inside them back to you.

What it does

Microsoft Word connects Centrus chat to the OneDrive of the Microsoft account you sign in with. Once it is connected, you can ask Centrus to write a new .docx, such as a method statement for a boiler isolation or a letter to a customer, and to add headings, paragraphs, lists and a simple table. You can also ask it to replace a phrase you name, or to change bold, colour and alignment when you ask for that. The file is a real Word document in your OneDrive, and the answer includes a link.

Anyone in the organisation can connect. There is no shared organisation sign-in and no Enable step: Sarah Price's OneDrive is not available in John Martin's chat, and the other way around. Signing in here does not sign an agent in. An agent holds its own Word connection, described in Microsoft Word in Agent Builder. The wider picture of how connections differ is in the Integrations overview.

Before you start

  • A Microsoft account you can sign in to. Word in chat is per person. Use the work or school account whose OneDrive should hold the documents. There is nothing for an administrator to switch on for the rest of the team. Each person clicks Connect on their own Centrus user.
  • Permission, from Microsoft, for that account. Centrus asks to read and write all files you can access, to read your profile so it can show the address on the card, and to keep that access until you remove it. That file permission is wider than Word documents: it is the same consent that later lets a file already in the chat be saved to OneDrive. Microsoft is the place that grants or refuses it.
  • A few minutes at the screen. The sign-in link Centrus creates expires after 10 minutes. If you leave the Microsoft page and come back later, start again from Connect.

Your own Microsoft account

A work or school account you can sign in to. Each person uses their own. There is no Enable step.

Files on that account

Centrus asks to read and write all files you can access, and to read your profile.

Ten minutes to finish

The sign-in link expires after 10 minutes. Start again from Connect if it does.

Where you sign in: Microsoft’s own page, opened from Connect. Centrus does not ask you to type the password into Centrus.

You do not paste a password, a client secret or an API key into Centrus. Connect sends you to Microsoft, you pick the account, and you accept the permissions. Centrus then stores the sign-in for your user only, with the address Microsoft returns (your mail address, or your user principal name if mail is empty).

Chat and Agent Builder are separate. Connecting on this card does not connect an agent, and connecting an agent does not connect chat. Word on an agent does not fall back to this sign-in. If you build an agent that writes documents, it needs its own Word connection, covered in the Agent Builder article. Excel is a separate card as well. Signing in to Word does not sign you in to Microsoft Excel in chat, even though both are Microsoft accounts.

Connect Microsoft Word

  1. 1Open Integrations from the menu on the left and find the Microsoft Word card. It sits with Microsoft Excel and Microsoft Outlook.
  2. 2Click Connect. Centrus asks Microsoft for a sign-in address and opens it in the same window.
  3. 3On Microsoft's page, pick the account. The request is set so Microsoft shows the account picker rather than skipping it.
  4. 4Accept the permissions. You come back to Integrations. If Microsoft accepted the sign-in, the card reads Connected, with a green line Connected as: and the address.

  2. 2Microsoft's account picker. John Martin is signing in as john.martin@meridianfm.co.uk.
  3. 3The file permission. It covers files you can access, not only documents Centrus creates, so accept it only for an account you are happy to write files in.
  4. 4Accept, which completes the sign-in. Cancel brings you back without connecting.

Centrus does not open a document before saving. It exchanges the code Microsoft returns for a token, reads your address from Microsoft, and saves the connection against your user. The card then shows that address. There is no separate success notice: the badge changing to Connected is the confirmation. The return address can include word_connected=true, and the page does not explain that either.

The page does not show a message for these cases, so check the address bar if you are unsure why nothing changed:

  • word_error=missing_params: Microsoft sent you back without a code, which is what happens if you cancel.
  • word_error=invalid_state or word_error=missing_context: the return could not be tied to your Centrus user. Start again from Connect.
  • word_error=true: the sign-in link had expired (it lasts 10 minutes), the check on it failed, or Microsoft refused the token. Click Connect and accept again.
  • Connect itself does nothing visible if Centrus cannot fetch the Microsoft address. Wait a moment and click it again. There is no notice for that failure.

Word does not have an organisation connection for someone else to enable. The card has two states for you. The address on the card is the OneDrive the documents are written to. It is not a shared drive for the organisation, and it is not Sarah's account. If you need a document in someone else's OneDrive, they sign in on their own card and ask from their own chat, or you share the file from OneDrive after Centrus has created it.

Ask your first questions

Open Chat, start a chat and ask the way you would ask a colleague who can type a Word file for you. Word is available in every chat once the card says Connected for you. How to Use on the card lists the kinds of question the connection is meant for. The examples there talk about a RAMS document and a navy heading. The questions below use a real site.

How to use Microsoft Word with Centrus

Create Documents. Say “Put this in MS Doc” or “Create a Word document for the RAMS”

Structure Content. Headings, paragraphs, bullets, and numbered steps are written into a real .docx

Format When Asked. Ask for bold, italic, underline, alignment, or colours such as “navy heading with white text”

While Centrus works, the panel above the answer names the step. A list is Finding your Word documents. Opening one file's details is Reading the document, which is a misleading name: that step returns the name, the created and modified times, the size and the OneDrive link. It does not return the paragraphs. Creating a file is Creating a document in Word. Adding blocks or replacing text is Updating the document. A formatting request is Formatting the document. Asking it to save is Saving the document. When the answer is ready, the panel folds to Worked with the number of steps.

A list is a search of your OneDrive for .docx files, capped at 50, not a folder you browse. New documents are created in the OneDrive root, not in a folder you name in the question. Carry on in the same chat, with “Add a table of the visit” or “Make the heading navy”, and Centrus can use the document it just created.

What you can ask

Centrus has 7 Word tools in chat, 2 that read file details and 5 that change a document, and it picks from what you ask. You never choose a tool yourself. Every one is listed in the reference. There is no separate connection for listing and for writing.

A new document

“Write a method statement for isolating the boiler at Riverside House.”

“Draft a letter to Northgate Housing about Friday’s visit.”

Files you already have

“What Word documents do I have?”

“Send me the link for the Riverside House method statement.”

Adding and replacing

“Add numbered steps for isolating the boiler.”

“Replace 12 High Street with Riverside House in the letter.”

Formatting, if you ask

“Make the heading navy.”

“Leave the letter as it is unless I ask you to restyle it.”

  • A new document. Describe the method statement or the letter in the chat, including the title, and ask for a Word document. The title should not include .docx. Centrus creates an empty file in the OneDrive root, then appends the headings, paragraphs, bullets, numbered steps and any table you asked for. Give it the facts (the site, the date, the engineer) rather than expecting it to open an existing template and copy the layout. There is no template picker.
  • Files you already have. Ask what documents you have, or ask for the link to one you name. A list returns at most 50 .docx files from a search of your OneDrive, with the name, created time, modified time and link. Asking for one file, once Centrus has its id from that list, returns the same details plus the size. Neither call returns the body.
  • Adding to a document. Ask for more headings, paragraphs, bullets, numbered steps or a table on a document you name. New blocks are appended at the end. They do not replace the paragraphs already there. Consecutive numbered steps stay one list. A heading, a paragraph or a bullet between them starts the next list at 1. A table is rows of text, with an optional header row. It is not a workbook. For a sheet of figures, use Microsoft Excel in chat.
  • Replacing words. Name the document, the words to find, and the words to put in their place. Centrus replaces plain text. Unless you say you want a single match, it replaces every match in that one file. It does not look through your other documents.
  • Formatting, when you ask. Ask for bold, italic, underline, alignment, a font, a size, a colour, or tighter or looser spacing, and say which text. Centrus is told not to format unless you asked. Colours are ordinary names (navy, green) or a hex colour. An unknown colour is skipped. You can ask for a block to be compact or more spread out. Do not expect empty paragraphs to be inserted as gaps.
  • A link you can open. The answer should include the OneDrive link. Open it in Word Online or in Word on the desktop. Further edits you make there are Word's own save. The line in How to Use calls that save native Word.

What you cannot ask for, and expect an answer from the file, is a summary or a clause. “Summarise the Northgate Housing contract” and “Find the access-hours clause in the site survey” need the words inside the document. These tools do not return those words. Centrus can name the file and give you the link. To have the contents searchable, sync the file from Sync OneDrive, or paste the passage into the chat. An agent that downloads a file is a different connection, under OneDrive.

A few shapes of document are out of reach from chat even when you describe them. Centrus cannot add comments, tracked changes, a mail merge, headers, footers, charts, or live co-authoring. It cannot move the new file into a folder. It cannot delete a document. Page numbers, images and a header or footer exist in the document builder used behind the scenes, but the tools offered in chat do not ask for them. If you need a picture in the file, add it in Word after you open the link.

Making changes

Five of the 7 tools change a file: creating a document, inserting blocks, formatting, replacing text, and saving. Creating shows as Creating a document in Word. Inserting and replacing both show as Updating the document. Formatting shows as Formatting the document. Saving shows as Saving the document.

Centrus is not told to wait for a yes before it creates, inserts, replaces, formats or saves. There is no approval button and no draft state. Name the document and the exact words. If the answer already includes the OneDrive link, the file has been written.

A new document is an empty .docx, then the content you asked for is appended and written to OneDrive in the same turn. The title is cleaned before it is used: a trailing .docx is removed, and characters that cannot sit in a file name are replaced with spaces. If you leave the title empty, the file is called Document. If that name already exists in the OneDrive root, Centrus tries the same title with (1), then with (2). If all three names exist, the create fails and no fourth file is made.

  1. 1Creating a document in Word and Updating the document. Both have already run. There is no confirm step in front of them.

Some of these are awkward to undo from chat:

  • Creating puts a file in the OneDrive root. Chat has no delete. Remove it in Word or in OneDrive if it should not be there. Sharing it with a colleague is also done in OneDrive, not from this card.
  • Inserting appends. Asking twice appends twice. Centrus cannot lift those blocks back out. Delete or edit them in Word.
  • Replacing changes every match in that document unless you said you wanted one. If the new words were wrong, ask for the reverse replacement while you still know the old phrase. If the phrase also appeared where you did not mean it, those matches have changed too.
  • Formatting changes the look of the matching text and saves the file. Ask again with the look you actually wanted, or correct it in Word. A colour Centrus does not recognise is left as it was.
  • Saving writes the current file back to OneDrive. Create, insert and format have already done that. Asking to save does not open a Save button. It uploads the bytes again and returns the link. Edits you then make in Word are saved by Word.

There is no tool that updates many documents in one step. “Change the site address in every letter” is one document at a time, and only for files Centrus can see in the list of 50. A long run is a long run of single steps, and a file that did not appear in that list is untouched. For a letter that will go to a customer, open the link and read it before you send it. The chat has already written the file by then.

10:15
Every match in that one file

Replacing is the closest thing chat has to filling in a letter you already keep. If the file contains a phrase you know, such as the old site address, name that phrase and the new one. Centrus does not open the file, show you the sentence, and wait. It downloads the .docx, replaces the plain text, and writes the file back.

Who can use it

Word has no screen for switching individual tools off. The Integrations overview describes that screen for BigChange REST and Simpro. It does not appear for Word, and teams have no Word tool list either. If your card says Connected, every Word tool is available in your chats. A colleague's card is their own sign-in, so they cannot use yours, and they do not see your OneDrive.

Nothing in chat holds a write back for a confirmation. When you ask for a document, a replacement or a format change, Centrus writes it. That is not a button in Settings. If an answer has already given you the OneDrive link, the change has been made. Read the file in Word before it goes to a customer.

Limits

  • The list stops at 50. The default is 50, and a larger number is cut back to 50. Centrus does not fetch a second page. A file that is not in that slice is invisible to the next question. Narrow the question by name if the one you want is missing.
  • The list is a search, not a folder. It searches your OneDrive for .docx and then keeps names that end in .docx. Microsoft decides the order, so do not treat the first row as the newest file, and do not expect a folder you name. Old .doc files are not included.
  • New files go to the OneDrive root. There is no folder field on create. The name is tried as you gave it, then with (1), then with (2). Characters that cannot be in a file name are turned into spaces, and a trailing .docx is removed.
  • Reading a document does not read it. The step is labelled Reading the document. You get the name, times, size and link. You do not get the clause.
  • Insert appends. It does not edit a paragraph in the middle. Replacement is plain text, every match unless you ask for one. Formatting runs only when you asked for it.
  • Create, insert and format already save. A separate save uploads the same file again so the answer can return the link. It is not a Save button in the chat. Opening the link and saving in Word Online or on the desktop is Word's own save, which is what How to Use means by native Word.
  • No delete, no move, no comments, no tracked changes, no mail merge, no headers, no footers, no charts. Add those in Word. Chat will not do them, and it will not undo a write.
  • A chat file can be saved to OneDrive once this card, or the Excel card, says Connected. On the file, the menu includes Save to OneDrive…. The window is Save to OneDrive, with Folder (optional). Leave the folder blank for the OneDrive root. Folders are created if they do not exist. A file with the same name is never overwritten. The limit is 100 MB. If Excel is also connected, that save uses the Excel sign-in first. This is not one of the seven Word tools.
  • The sign-in link lasts 10 minutes. When the stored token is past its expiry, Centrus asks Microsoft to renew it. If that renewal fails, chat fails until you connect again. If the stored sign-in has no expiry time, Centrus keeps using it and does not renew it.
  • The address on the card can disappear after a renewal. The renewed sign-in is saved without the address, so the badge can stay Connected while the green line has gone. Chat can still use Word. Disconnect and Connect if you want the address back on the card.
  • One account. The connected address is the only OneDrive. Centrus does not write into a shared mailbox or into a colleague's drive from your chat.

After Disconnect
  1. 1Disconnect, which removes your connection without asking you to confirm.
  2. 2Connect, to sign in again. The card does not keep the previous address.

Disconnect does not visit Microsoft to withdraw the permission. The grant can remain on the Microsoft account until you remove Centrus there. How to Use says you can revoke access from your Microsoft account settings, under the heading Secure & Private, and that is the step that does it. Until you do, Microsoft can still honour the file permission you accepted.

Other people are not affected. Sarah still has her own sign-in if she connected, and an agent that has its own Word connection keeps that too. Excel on your card is also left as it was. To stop your chat from writing documents, Disconnect is enough. To stop Microsoft from honouring the grant, remove it in the Microsoft account as well. Save to OneDrive… on a chat file stops being available from this sign-in once Word is disconnected, unless Excel is still connected, because that menu uses whichever of those two sign-ins is present.

Troubleshooting

  • Centrus answers as though Word is not connected. Check the card says Connected for you, not only for a colleague. If it says Not Connected, click Connect. If it already says Connected, the tools are on. There is no place in Settings that switches them off one by one.
  • You returned from Microsoft and the card is still Not Connected. Look at the address bar for word_error. Cancel is missing_params. An expired or rejected sign-in is word_error=true. Click Connect and finish within 10 minutes. An Excel connection on the next card does not connect Word.
  • Microsoft Word not connected. The connection row is gone. Connect again from the card.
  • Token refresh failed. The saved sign-in cannot be renewed. Click Disconnect, then Connect, and accept the permissions again, including continued access. Word does not use the Outlook wording for a missing renewal token. The message starts with Token refresh failed.
  • The badge says Connected and the green address has gone. A renewal saves the sign-in without the address. Chat can still write documents. Disconnect and connect again if you need Connected as: back.
  • Failed to save Word document, often because the name already exists. Centrus has already tried the title, the title with (1) and the title with (2). Rename the request, or remove one of those files in OneDrive, and ask again.
  • Failed to list documents, Failed to get document or Failed to download Word document. The file may have been moved or deleted in OneDrive, or the sign-in may have been refused. List again, and connect again if the card is no longer healthy.
  • find is required. A replace was attempted with nothing to find. Name the phrase, and name the document.
  • No blocks to insert. The document was not given any text to add. State the heading or the paragraph. An empty block is dropped.
  • The answer cannot quote the contract. That is the tool, not a failed search. Open the link, or paste the passage. Syncing the file for search is Sync OneDrive.
  • The new file is in the OneDrive root, not in the job folder. Create does not take a folder. Move it in OneDrive, or use Save to OneDrive… on a file that is already attached to the chat if you need a folder. That window's folder can be something like Reports/2026/September, which is the placeholder it shows.
  • Save to OneDrive says OneDrive is not available. Connect Word or Excel on Integrations, then try the file menu again. A missing filename, a name that does not match the download card, or a file over 100 MB fails with its own sentence.
  • You wanted a spreadsheet. A table inside a Word file is text in cells. A workbook is Microsoft Excel in chat.
  • An agent did not pick up this sign-in. It will not. Connect Word on the agent. See Microsoft Word in Agent Builder.

I could not list your Word documents. Microsoft returned Token refresh failed, which means the saved sign-in can no longer be renewed. On Integrations, click Disconnect on Microsoft Word, then Connect and sign in again.

Tools and endpoints reference

There are 7 Word tools in chat: 2 read file details and 5 change a document. None of them return the words inside the file. The names below are short names for the steps you see while Centrus works, such as Creating a document in Word, Finding your Word documents, Reading the document, Updating the document, Formatting the document and Saving the document. Every call goes to Microsoft Graph at https://graph.microsoft.com/v1.0. Where a path contains {id} or {title}, Centrus fills it from the document or the title you named. Insert, format, replace and save download the file first with GET /me/drive/items/{id}/content and then write it back. The table gives that write. Connecting also calls GET /me to read the address for the card. That call is not one of the seven tools. Replacing every match, and every other write, still happens when you ask. Chat is not told to wait.
