scheduling

Every site told, a fortnight ahead.

Every Monday at 08:00 an agent reads the next 14 days of PPM from your job system or planner and emails each site contact from your inbox: the date, the engineer, the work and what to have ready. Replies are noted on the job, so access is sorted before the field service visit.

how it runs

Built once, sent every Monday.

Describe the reminders once in Agent Builder, test them on the next fortnight's visits, then let them run every Monday.

Questions about PPM reminders

From the planned visits in BigChange, Joblogic or Simpro, or from your PPM planner if it lives in a spreadsheet. It reads the next 14 days each Monday, or whatever window you set when you describe it.

From your own Outlook or Gmail inbox, in your name, so replies come back to the desk as they do now. Each one gives the date, the engineer, the work and anything the site needs to have ready.

The reply is noted on the visit like any other, so the planner sees it on the job. If you want moves flagged to the planner, ask for it in a sentence and Agent Builder adds a step that emails the planner.

Yes. Add an approval step and each Monday's reminders wait in the Runs panel, or in an email, until someone approves them. Every run is logged with what was sent and to whom.
