Teams
A team is a named group of people who share the same tags, with one or more leaders who can read the group's chats. This guide covers the Teams tab: creating a team, choosing leaders and members, and what those choices change.

What a team is for
A team groups people who already have accounts in your organisation. Each person on it is either a Team Leader or a Team Member. The team can hold tags. Everyone on the team receives those tags, leaders and members alike, and those tags are what their chats can search. A leader can also read the chats of the people in the teams they lead. Members cannot read each other's chats unless someone shares one.
Teams do not replace tags, and they do not replace a person's own account. Someone can be on several teams. Taking them off a team does not delete them, and deleting a team does not delete the people. How tags decide what a chat can see is in Control who sees what with tags. How a leader's chat list works is in Share a chat and see team history.
This page is not Microsoft Teams. To let people message Centrus from Microsoft Teams, see Chat on Microsoft Teams. To bring channel conversations into Train, see Sync Microsoft Teams. Neither of those uses the teams you create here.
Only an admin can open Teams. The organisation owner is treated as an admin for the menu, so they can open it too. Everyone else who types the address is sent to Chat.
Find the Teams tab
Open Settings from the menu on the left. The page heading is Settings and the line under it is Update your account details. Along the top of the page, click Teams. The tab sits with Account, Billing, Branding, AI Model, Tags, Lessons, Reports and Organisation. On a narrow screen the tabs scroll sideways.
| Team Name | Description | Members | Created3 | Actions |
|---|---|---|---|---|
| Office | Quotes | 2 | 18/09/2026 | |
| Engineers | Call-outs | 3 | 04/06/2026 | 4 |
| Contracts | Renewals | 2 | 12/03/2026 |
- 1Create Team opens a blank team.
- 2Search teams... matches the name or the description. It waits about half a second after you stop typing, and it ignores capitals.
- 3Newest teams are listed first. Created is the date in day, month, year order.
- 4The eye is View team, the pencil is Edit team, and the bin is Delete team. Hover for the name. The bin is red.
The columns are Team Name, Description, Members, Created and Actions. Members is a people icon and a count. A team with no description shows a dash in that column. A long description is cut off in the cell. The list loads 25 teams at a time, newest first, and more appear as you scroll. There is no separate filter for leaders or tags. Tags are not on this table. Open the team to see them.
On a phone the same page is there: the heading, Create Team, the search box and the rows. The table is wide, so you scroll it sideways to reach Actions. The windows for creating and editing a team are narrow enough to scroll inside.

Teams
| Team Name | Members | Created |
|---|---|---|
| Office | 2 | 18/09/2026 |
| Engineers | 3 | 04/06/2026 |
- 1Create Team stays on the page. The same windows open, and you scroll them.
Create a team
- 1On Teams, click Create Team.
- 2Type a Team Name. It is required, and it can be up to 100 characters. The box says Enter team name.
- 3Optionally type a Description (Optional). It can be up to 500 characters. A counter under the box shows how many you have used, out of 500. The box says Enter team description.
- 4Add people under Team Members, if you already know who is on it. You can leave the team empty and add people later.
- 5Click Create Team. Cancel closes the window without saving.

Team Members
No team members added yet
Use the form above to add team members
- 1Team Name, required, up to 100 characters.
- 2An empty team is allowed. The dashed box is what you see before anyone is added.
- 3Create Team saves the name, the description and whoever is on the list. Cancel discards the window.
If you leave the name empty, the page says Please enter a team name. If the name is longer than the box allows, it says Team name must be less than 100 characters. The description says Description must be less than 500 characters if it is over the limit. The counter stops you typing past 500, so that message is rare. Names are checked ignoring capitals: Office and office count as the same team. If the name is already used, a notice says A team with this name already exists. Please choose a different name.
When it saves, a notice says Team created successfully. The new team appears at the top of the list, because the list is newest first. Tags are not on this window. Add them after the team exists, from Edit team, as described under Tags a team gives its people.
Leaders and members
Under Team Members, choose a person, choose Team Member or Team Leader, and click Add. Team Member is already selected. The people list is everyone in the organisation who is not yet on this team. You can type to search it. Each line is the person's name and their email address. If they have no name, you see the email. If they have neither, the line says Unknown User.
Team Members
- 1Select a user. People already on the team are not in this list.
- 2The role you add them as: Team Member or Team Leader.
- 3On the row, the smaller list says Member or Leader. The bin removes them from this list. Neither change is saved until you click Create Team or Update Team.
Once someone is on the list, their row shows their name, a blue Team Leader badge or a grey Team Member badge, and their email. The smaller list on the right says Member or Leader, which is the same choice in shorter words. The bin is Remove member. It takes them off this list only. It does not ask you to confirm, and it does not delete their account.
- If everyone is already on the team, the people list says All users are already team members and Add stays off.
- If the search finds nobody, the list says No matching users. If there is nobody left to add, it says No users available.
- If you click Add with nobody selected, nothing is added. The button stays off until a person is chosen.
- The same person cannot be added twice. A team can have several leaders, and it can have none.
- While the list says No team members added yet, the line under it is Use the form above to add team members.
These edits stay in the window until you click Create Team or Update Team. Closing the window, or clicking Cancel, drops them. That is different from tags, and different from Edit users, where adding or removing a team applies straight away. See Edit users and roles, under the team memberships on a person. You can also put teams on people when you import a spreadsheet. The team has to exist first.
A leader and a member receive the same tags from the team. They do not receive different documents. The difference is what the leader can open:
- Chats. A leader sees a Team tab with the chats of everyone in the teams they lead, including other leaders of those teams, and not their own chats. WhatsApp conversations are included. Microsoft Teams conversations are not. Members do not get that tab. The detail is in Share a chat and see team history.
- Skills. A leader can edit, accept and delete skills that apply to their team. A member can use those skills in chat. See Skills.
- Agents. Sharing an agent with a team gives every person on the team the same level, whether they are a leader or a member. Being a leader does not add approval rights. If the team was given Use, a leader can run the agent and cannot approve a waiting run. See Share an agent.
Dylan Hughes
Team Leader- Reads the team's chats
- Can edit skills for Engineers
- Same tags as the rest of the team
- Same agent access as the team was given
Liam Carter
Team Member- His own chats stay his
- Uses Engineers skills, cannot edit them
- Same tags as Dylan
- Same agent access as Dylan
Switching someone from Leader to Member takes that team's chats off their Team tab, and they can no longer edit that team's skills. It does not take away tags, and it does not change agent access. The other way around, promoting a member, adds the chat tab and the skill editing for that team only. Save the change with Update Team, or change it on the person in Edit users, where it applies at once.
Tags a team gives its people
Team Tags appears only when you are editing a team that already exists. It is not on Create New Team. Save the team first, then open Edit team.
Choose a tag and click Add. That saves immediately. You do not need Update Team for a tag. Every person who is already saved on the team receives the tag, leaders and members. On the tag's Assignments tab, those people show a green badge, Team: and then the team name. A tag given on Edit users, or with Assign Users, shows a blue Direct badge instead. See Control who sees what with tags.
Team Tags
- 1The tag you are about to add. The list hides tags the team already has. You can type to search.
- 2Add gives that tag to the team straight away, and to everyone already saved on it.
- 3The bin is Remove tag from team. It takes the team's copy of that tag off each person. A tag they also hold directly stays.
If the team has no tags, the box says No tags assigned to this team, and under it Use the form above to assign tags. If there are no tags left to add, the list says No tags available. If your search matches nothing, it says No matching tags. Add stays off until a tag is selected.
Adding and removing a tag does not show a success notice. The pills update when it has worked. There is no separate confirm. A few rules decide whether a person keeps the tag:
- Someone who joins later receives the team's tags when their membership is saved. On this page, that is Update Team. From Edit users, it is the moment you add them.
- Someone who leaves loses only the tags that came from this team. A Direct copy of the same tag stays, and so does a copy that came from a different team.
- If they already held the tag another way, joining does not add a second team copy. Leaving then does not remove the copy they already had.
- Taking the tag off the team removes the team's copy from everyone, including people you have not yet removed. That happens when you click the bin, even if you have not clicked Update Team.
- People you have added in the window, but not saved, are not on the team yet. A tag you add before Update Team does not include them until you save the member list, which then gives them the team's tags.
Put the tag on the documents, and put the same tag on the team if everyone on the team should be able to ask about those documents. You do not also need to put it on each person. A tag on the person as well is a direct copy, and it stays if they leave the team.
Limit what a team can do in a connected system
Some organisations see an extra block on Edit Team, under the tags, when an administrator has connected Simpro or Joblogic for the organisation. The heading is Team Simpro Tools or Team JobLogic Tools, and an organisation with both connected sees both. The two work the same way, and the example below is Simpro. They are not on Create New Team, and they are not on the Teams list. If you do not see one, your organisation does not have that connection, and the rest of this page still works as described.
The block has its own switch and its own save button. Update Team does not save it. The switch only affects this block.
Team Simpro Tools
- 1The switch. While it is off, the table is hidden and this team does not apply its own limits.
- 2Save Team Simpro Tools. It stays off until you change the switch or a tick. A notice then says Team Simpro Tools saved. If the save fails, it says Failed to save Team Simpro Tools.
- 3Filter tools... narrows the columns. Each column is one action. A tick means people on the team may use it in chat. New actions start ticked. The names on your page are that system's own.
Turn the switch on to set limits for this team. The table is one row of ticks, and it scrolls sideways when there are many actions. A help icon sits beside each name. Untick an action to stop the team using it, then click Save Team Simpro Tools, or Save Team JobLogic Tools in the Joblogic block. While the switch is off, those ticks are not applied, even if you saved them earlier.
- If a person has their own saved setting for an action, that setting is used instead of the team's.
- If they are on two teams, and either team has the action unticked with its switch on, the action stays off.
- With the switch off, or with no saved tick either way, the action stays available.
Leaders and members are treated the same here. The limit follows the team, not the badge.
View a team
The eye icon, View team, opens Team Details. It is read only. You cannot change the name, the people or the tags from here. Use the pencil for that.
Team Tags (2)
Team Members (3)
- 1Team Tags and the count. If there are none, the box says No tags assigned to this team.
- 2Team Members and the count. Each row is a photo or a plain circle, the name, the email, and Team Leader or Team Member. If there is nobody, it says No team members.
- 3Close leaves the window. The description is hidden when the team has none.
Created uses the same day, month, year date as the table. The member count is the number of people returned for the team. The tag count is the number of tags on it. While the details are loading, the window shows a spinner instead of the fields.
Edit a team
The pencil, Edit team, opens Edit Team. It is the same window as Create New Team, with three differences: the button says Update Team, Team Tags is included, and a connected system may add its own block under the tags. The name and description are filled in. The people already on the team are listed.
- 1The row's own list: Member or Leader. Changing it does not save on its own.
- 2Update Team writes the name, the description and the whole people list. Cancel drops those edits. Tags you already added with Add stay added.
Update Team replaces the people on the team with the list in the window. Anyone you removed loses the team's tags and loses access that came only through this team, including a shared agent and a team skill. Anyone you added receives the team's tags. A notice says Team updated successfully. Changing only the name or the description does not rebuild the people list's tags, but the button still sends the people who are in the window.
Renaming uses the same rules as creating. A name already used by another team is refused with A team with this name already exists. Please choose a different name. The team you are editing is allowed to keep its own name. While the window is saving, Cancel and the close icon stay off.
If you are the organisation owner, and you are not yourself a member of the team, the tag list on Edit Team and on Team Details can say No tags assigned to this team even when the team has tags. An admin who is not the owner does not hit this. Add and remove still work for an admin.
Delete a team
The bin, Delete team, opens Delete Team. The text names the team:
This will permanently delete the team, then the name in quotes, and remove all team memberships. Team members will not be deleted from the organisation. Under that, Do you want to proceed?
This will permanently delete the team "Engineers" and remove all team memberships. Team members will not be deleted from the organisation.
1Do you want to proceed?
- 1The warning. People stay in the organisation. Their membership of this team does not.
- 2Delete removes the team. Cancel, the close icon, or clicking outside, leaves it in place. While the delete is running, those ways of closing are switched off.
When it finishes, a notice says Team deleted successfully. and the row leaves the list. People can still sign in. They are no longer leaders or members of that team, so a leader loses that team's chats from the Team tab, and skills or agents that were shared only with the team no longer apply through it.
Deleting the team does not, by itself, run the step that takes the team's tags off people. That step runs when you remove a person and save, or when you take the tag off the team. If you want those tags gone, remove them on Edit Team before you delete the team. A tag someone holds directly is not affected either way.
Where else a team is used
Creating the team on this page is what makes it available everywhere else. The other pages do not create the team for you, apart from New Team on a person's memberships, which only brings you here.

- 1A leader's Team tab. See Share a chat and see team history.
- 2On a tag, Assignments shows Team: and the team name for people who have the tag because of the team. See Control who sees what with tags.
- 3A skill can apply to a team, and a leader of that team can edit it. See Skills.
- 4An agent shared with a team follows the membership. Leaders and members get the same level. See Share an agent.
Joining or leaving, once it is saved, updates those four together. The person gains or loses the team's tags, the agent's access, and the skill's access. The chat tab follows the leader badge on its own, the next time they open Chat. Edit users can make the same membership change one person at a time. See Edit users and roles.
A team rule on a skill or an agent does not make that person a leader, and a leader badge does not raise the access level. If Engineers has Use on an agent, Dylan can run it and Liam can run it. Neither can edit it unless the team was given Edit, or they have Edit some other way.

Who can do what
Teams is an admin page. The owner can open it, because the menu treats the owner as an admin. A user cannot. What a leader can do is about chats and skills, not about this page. A user who is a leader still cannot open Teams.
