Lessons

The Lessons tab is the list of every fact and rule Centrus has been told to remember. This guide covers the list, the filters, review, personal lessons, and which lessons reach which chats.

What the Lessons tab is for

A lesson is one or two sentences that Centrus keeps and applies in later chats. It might be a correction, such as the battery size for a panel at Riverside House, a house rule, such as quoting prices excluding VAT, or a personal preference, such as starting the day from the Leeds depot. Once a lesson is accepted, Centrus reads it with the chats it applies to.

Lessons are made in three ways: from the thumbs under an answer, by asking Centrus to remember something in the chat, or by hand on this tab. Making one from a chat, including on WhatsApp and in Microsoft Teams, is covered in Teach Centrus from a chat. This guide is the Settings page itself: how to read the list, filter it, review what is waiting, and see who each lesson is for.

There is no separate personal lessons page. A personal lesson is a row on this tab whose Applied to column says User. In the feedback window in chat, the same choice is labelled Personal. Both names mean one person.

Lessons are not documents and they are not skills. A document in Train is searched when a question matches it. A skill is used when you ask Centrus to make a file. A lesson is short on purpose, because it is read with the chats it applies to. For documents see Upload files. For skills see Skills.

Open Lessons

Open Settings from the menu on the left. The page heading is Settings and the line under it is Update your account details, on every Settings tab. Along the top, click Lessons. Admins see it with Account, Billing, Branding, AI Model, Tags, Teams, Reports and Organisation. The organisation owner is treated as an admin for this menu.

Lessons

Facts and preferences Centrus remembers in chat and WhatsApp. Add one here, or ask chat to remember something.

Create lesson2
  1. 1The Lessons tab. Tags is the tab before it.
  2. 2Create lesson, for adding one by hand.

Anyone with Train access can open Lessons too. They do not see the admin tabs. Their row is Account, Tags and Lessons. Someone without Train access does not get the tab. If they open the address anyway, Centrus sends them to Chat. Train access is given from Edit users and roles.

On a narrow screen the tabs sit in one row that slides sideways, so Lessons may be off to the right until you slide it into view. The same slide reaches Organisation for an admin.

Read the list

The card is headed Lessons, with the line Facts and preferences Centrus remembers in chat and WhatsApp. Add one here, or ask chat to remember something. The table under it is newest first. Saved on is the day the lesson was created, in day, month, year order, such as 09/10/2026. Accepting a lesson, or editing it, does not change that date, so the row stays where it is.

  1. 1pending, in orange. accepted is green. Centrus does not use a pending lesson.
  2. 2Sentiment is positive or negative when the lesson came from thumbs up or thumbs down. Other rows have no tag here.

The figure shows the first four columns. Source, Saved on and Actions continue to the right. Slide the table sideways on a narrow screen to reach them.

  • Lesson name is the title, up to 120 characters. Names are unique across the organisation, ignoring capitals, including lessons that are not on your own list.
  • Status is accepted or pending. Only an accepted lesson is used in chat. Pending means it is waiting for review.
  • Applied to is User, Organisation, or the tag as a coloured chip. User is a personal lesson. The chip is the tag's own colours, the same as on the Tags tab.
  • Source is Chat feedback for a lesson made with thumbs up or down, Chat for one saved from a conversation, and Manual for one created on this tab. A lesson with no source recorded shows as Chat feedback.
  • Sentiment is positive in green or negative in red, and only for Chat feedback. For every other lesson the cell shows a dash.
  • Saved on is the created date. The newest row is at the top.

What you see depends on who you are. An admin sees every lesson in the organisation. Someone with Train access who is not an admin sees two groups only: personal lessons they created themselves, and lessons for tags they hold. They do not see organisation lessons, including any they submitted. They do not see a personal lesson that someone else created for them. They do not see a tag lesson for a tag they do not hold.

  1. 1An admin sees every lesson, including ones still pending and ones for the whole organisation.
  2. 2With Train access, Dylan sees lessons for tags he holds, and personal lessons he created. Organisation lessons are not listed for him.

The list loads in batches as you scroll, with the newest at the top. Under the table, a full width line reads Create a lesson, then or tell chat to remember something and it will offer to save it as a lesson. Clicking it opens the same window as Create lesson.

Above the table, Search lessons looks through each lesson's name and its content. The list updates shortly after you stop typing. It applies on top of whichever filter is selected, so a search for riverside while Tag is selected only returns tag lessons that mention Riverside.

  1. 1Search lessons matches the name or the content.
  2. 2One filter at a time: All, Pending, Accepted, Personal, Tag or Organisation.
  • All is the full list you are allowed to see.
  • Pending is lessons waiting for review, of every scope on your list.
  • Accepted is lessons already in use.
  • Personal is lessons with Applied to set to User. The column still says User, not Personal.
  • Tag is every tag lesson on your list, not one tag at a time. To find a single tag, search for its name.
  • Organisation is lessons for the whole organisation. Only an admin sees any rows here.

You cannot combine two filters. Pending and Personal are separate buttons, not a pair. Personal lessons are accepted as soon as they are created, so they show under Personal and under Accepted, not under Pending. If nothing matches, the table has no rows and shows No data. Clear the search, or click All, to come back.

On a phone the filter buttons do not wrap. They run off the right edge of the card. Slide that row sideways to reach Tag and Organisation.

Review a lesson that is waiting

A pending lesson is not used in any chat until someone accepts it. Whether a new lesson waits at all depends on who creates it and who it applies to. Personal lessons go live straight away, for everyone. Tag lessons go live straight away when an admin or someone with Train access creates them. Organisation lessons go live straight away only when an admin creates them. The same rules apply however the lesson was made. The full matrix, including someone with no Train access saving from a chat, is in Teach Centrus from a chat.

On this tab, pending rows have Review, Accept and Delete. Accepted rows have View, Edit and Delete instead.

Review1

Opens Review lesson. Read it, change it if you need to, then accept or reject it.

Accept2

On the list, Accept puts the lesson live as it stands, without opening it.

Reject3

Inside Review lesson, Reject removes the lesson straight away.

  1. 1Review opens the lesson before you decide.
  2. 2Accept on the row puts it live as submitted.
  3. 3Reject, inside Review lesson, removes it. It does not ask you to confirm.
  1. 1Click Pending so the list is only what is waiting.
  2. 2Click Review. The window is titled Review lesson.
  3. 3Check Lesson name, Lesson content and Applies to. Change them if the wording or the scope is wrong. Select tag or Select user appears when you need it.
  4. 4Click Accept to save those changes and put the lesson live. Click Save if you want to keep the edits but leave it pending. Click Reject to remove it. Click Close to leave it untouched.

The window also shows Status, Submitted by, Applies to and Source. A lesson that came from thumbs up or down also shows Feedback title and Feedback description, which is what the person wrote at the time. Accept on the table does not open any of this. Use it only when you have already read the lesson. Reject deletes the lesson immediately. Delete on the row is the one that asks you to confirm.

Admins can review any pending lesson. Someone with Train access can review pending lessons that appear on their list, which are tag lessons for tags they hold. A pending organisation lesson is visible to admins only, so only an admin can accept it. The person who submitted it, if they are not an admin, does not see that row.

Create a lesson on this tab

Use Create lesson, or the Create a lesson line under the table, when the rule did not start from a chat. The window is titled Create Lesson.

  1. 1Type a Lesson name of up to 120 characters. The line under the box says Short and specific, e.g. "Quotes are ex VAT". The counter shows how many characters you have used.
  2. 2Write Lesson content, up to 600 characters. The line under the box says One or two plain sentences that make sense in any future chat. This is added to the AI's instructions as written. Centrus is given the text as you write it, so do not refer to "this chat" or "the message above".
  3. 3Choose Applies to. It starts on User, and Select user starts on you.
  4. 4Click Create. You see Lesson created, and the row appears at the top of the list.

  1. 1Applies to starts on User. Tag and Organisation are the other two.
  2. 2Select user appears for User, and starts on you. Here it is Dylan Hughes.
  3. 3Create saves the lesson. Cancel closes the window without saving.

Lesson name and Lesson content sit above Applies to, with the counters. Both are required. An empty name says Enter a lesson name. Empty content says Enter lesson content. Leaving Applies to unset says Choose who this applies to. For a tag, Select tag is required and says Select a tag if you leave it empty. For a user, the message is Select a user.

The name has to be different from every other lesson name in the organisation, ignoring capitals. That includes lessons you cannot see, such as a colleague's personal lesson or, if you are not an admin, an organisation lesson. If the name is taken, the notice says A lesson with this name already exists. Please choose a different name. The window stays open. Change the name and click Create again.

The approval rules are the same as everywhere else. An organisation lesson created here by someone who is not an admin is pending, and it does not appear on their own list. An admin has to open Pending and accept it. The steps for building the same lesson from an answer, instead of typing it here, are in Teach Centrus from a chat.

Choose who a lesson applies to

Applies to has three choices on this tab: User, Tag and Organisation. Pick the narrowest one that is true. A rule about one contract belongs on the tag that contract's chats use, not on the whole organisation.

  • User is a personal lesson. Select user lists people in the organisation, and it starts on you. The lesson is used in that person's chats, on the web, on WhatsApp and in Microsoft Teams, whatever tags those chats have.
  • Tag adds Select tag. The lesson is used in chats that use that tag. On the web, that is the tags chosen for the chat. On WhatsApp and in Microsoft Teams, it is the tag chosen for the conversation. How tags work is in Control who sees what with tags.
  • Organisation is used in every chat, by everyone. There is no second list to pick.

There is no team choice. A team does not have lessons of its own. If a team gives its people a tag, chats that use that tag pick up the tag's lessons in the usual way. Teams are set up in Teams.

Riverside House, tagged Engineers

Dylan Hughes is the person in the chat. Up to 50 lessons of each kind below.

OrganisationEvery accepted organisation lesson, in every chat. Quotes are ex VAT is one of them.
1
This chat's tagsAccepted lessons for Engineers. Riverside House attendance is included. Office lessons are not, because Office is not on this chat.
2

3
  1. 1Organisation lessons reach every chat.
  2. 2Tag lessons reach this chat only when the chat uses that tag. Office is not on this chat, so Office lessons stay out.
  3. 3Personal lessons reach the person who is chatting, in all of their chats.

Select tag on this tab lists the organisation's tags, not only the tags you hold. If you have Train access and you pick a tag you do not hold, the lesson is still saved, and because you have Train access it is accepted straight away. It will not appear on your Lessons list afterwards, because that list only shows tag lessons for tags you hold. An admin can see it. Pick a tag you hold if you need to find the lesson again yourself.

In the chat feedback window the first choice is labelled Personal rather than User, and Select tag there only lists tags you hold, unless you are an admin. The three scopes mean the same thing. That window is covered in Teach Centrus from a chat.

Personal lessons

A personal lesson belongs to one person. On this tab you find them by clicking Personal, or by reading User in Applied to. The table does not show the person's name. Open the lesson with View and the Applies to line under the form shows the name, for example Dylan Hughes.

Userpositive
  1. 1Personal filters the list to lessons whose Applied to value is User.
  2. 2A personal lesson is accepted. It does not wait for review.

Personal lessons are accepted at the moment they are created, whether an admin, someone with Train access, or someone saving from a chat creates them. Centrus uses them from the next message. They are not a way to publish a rule for the office. If the rule is for everyone on a tag, choose Tag. If it is for the whole of Meridian FM, choose Organisation and, unless you are an admin, wait for review.

Admins and people with Train access can set Select user to someone else. The lesson is then used in that person's chats, not in yours, unless you also are that person. It stays on the creator's list, under Personal. The person it is for does not see it on their own Lessons tab, even if they have Train access, because that tab lists personal lessons they created, not personal lessons created for them. An admin sees it, and can open View to confirm the name. If you need them to read the wording, tell them, or ask an admin to check it.

People without Train access, such as Sarah Price if she has not been given it, have no Lessons tab. A personal lesson they save from a chat is still used in their chats, and it is still accepted straight away. They cannot see it, change it or delete it afterwards. An admin does that for them on this tab. Giving them Train access, so they can manage their own rows, is in Edit users and roles.

On a phone, Personal is on the filter row that slides sideways. The table shows Lesson name, Status and the start of Applied to before the rest of the columns run off the screen. Slide the table to reach Source, Sentiment, Saved on and Actions. Someone with Train access sees three tabs. An admin sees the full row, also sliding.

Edit opens Edit Lesson. You can change the name, the content and Applies to. The help lines under the boxes are only on Create Lesson. The counters are still there. Cancel discards the edit. Save keeps it. The window closes, and the row shows the new wording. There is no separate saved notice. Centrus uses the new wording from the next message. The lesson keeps its status: an accepted lesson stays accepted, including if you change it from Tag to Organisation or from User to Tag.

There is no switch to pause a lesson. To stop Centrus using one, delete it, or edit the content so that it says what you want now. Delete opens Delete Lesson and asks Are you sure you want to delete this lesson? Cancel leaves it. Delete removes it for everyone it applied to, and chats stop using it from the next message. It cannot be put back.

Admins can view, edit and delete any lesson. People with Train access can view, edit and delete the lessons on their list. Changing Applies to keeps the lesson's status, so an accepted lesson stays live for its new audience. Read it again before you widen it to Organisation.

Feedback on a lesson

Thumbs up and thumbs down in web chat are how a lesson from an answer starts. The window there is Submit feedback and create a lesson, and the steps are in Teach Centrus from a chat. What this tab keeps from that moment is the sentiment and, when you open the lesson, the feedback text.

Sentiment on the table is positive when the person clicked thumbs up, and negative when they clicked thumbs down. Lessons created on this tab, and lessons saved from a conversation without the thumbs, have no sentiment. The cell then shows a dash, not a tag. Source for a thumbs lesson is Chat feedback.

  2. 2Feedback title, the question that was on the feedback window.
  3. 3Feedback description, what the person wrote about the answer.

On View lesson, Feedback title and Feedback description appear under Submitted by when the lesson has them. They are text, not boxes. On Edit Lesson, the same two become boxes, and only if the lesson has a sentiment. You can correct the record of what was said. Feedback title stops at 140 characters. Feedback description has no counter. Changing this text does not by itself change Lesson content. The content is what Centrus reads. If the lesson itself is wrong, edit Lesson content.

Review lesson shows the same feedback, so you can read what the person objected to before you accept a pending Chat feedback lesson. Pending Chat feedback lessons are the ones someone without Train access saved for a tag or for the organisation.

How lessons are used in answers

Before it answers, Centrus reads the accepted lessons that apply to that chat. Pending lessons are left out. A lesson you create, edit or accept is used from the next message, in web chat, on WhatsApp and in Microsoft Teams.

  • Every accepted organisation lesson.
  • Accepted lessons for the tags on that chat. On the web, those are the chat's tags. On WhatsApp and in Microsoft Teams, it is the tag chosen for the conversation. Lessons for other tags are not included.
  • Accepted personal lessons for the person who is chatting. A personal lesson for Dylan is used when Dylan chats, and not when Sarah chats.

Each of those three is capped. Centrus reads up to 50 organisation lessons, up to 50 lessons for the tags on that chat, counted together if the chat has more than one tag, and up to 50 personal lessons for that person. If you have fewer than 50 of a kind, every accepted lesson of that kind that applies is read. If you have more than 50, not every lesson of that kind is read. Delete lessons that no longer apply, so the ones you still rely on stay within the 50.

An answer does not add the lesson to Sources. Sources lists documents. If a lesson seems to be ignored, check three things: the status is accepted, the chat's tags include the lesson's tag, and you have not gone past 50 of that kind.

Lessons sit alongside the longer background you write for the organisation and for a tag. Those are organisation context and tag context, not extra lessons. Use them for how the business works, or for what a tag's documents cover, and keep lessons for single facts and rules. See AI Model and Tag context.

Opening the tab and seeing a row are different. Admins, including the organisation owner, see and change every lesson. People with Train access see a shorter list, and they can change the rows on it. Everyone else still has their lessons used in chat. They just cannot open the tab.
