Reports
Reports is where an admin sees how people, files and agents are used, and where chats can be exported. This guide covers each report on the tab, how to read it, and how to ask the Centrus team for one that is not listed.

What reports show
The Reports tab is a set of cards. Each card opens one report. The reports answer different questions, and they do not share one set of numbers.
- Agent Builder Usage is credits used by each agent, split into building the agent and running it. The card is listed when the organisation has Agent Builder, which Small Team and Large Team include.
- User Usage is message credits used by each person, the chats they started, their role, and when they last signed in.
- Document Usage is how often files in Train were cited, and which files were not cited at all.
- Export Chats builds a file of chat transcripts you can already open, with filters for dates, tags and people.
- Contradicting Info reads the documents on one or two tags and lists places where they disagree.
- Request Custom Report sends a description of a report you do not have yet to the Centrus team.
Four of the cards show the line Date range filtering. Contradicting Info does not, because it reads the documents as they are now, not a period of use. The request card is not a report. It is a form.
What a message credit costs, and what an automation credit costs, is set out in Credits and browser minutes and Automation credits. This page is where you see those credits after they have been used. The monthly allowances, and the plans that include Agent Builder, are in Plan and usage.
Only an admin can open Reports. The organisation owner is treated as an admin for this menu, so they can open it too. Anyone else who types the address is sent to Chat.
Find the Reports tab
Open Settings from the menu on the left. The page heading is Settings and the line under it is Update your account details. Along the top, click Reports. The tab sits with Account, Billing, Branding, AI Model, Tags, Lessons, Teams and Organisation. On a narrow screen the tabs scroll sideways.
The heading on the tab is Reports. Under it: Access detailed analytics and insights about your organisation's usage. The cards are in a fixed order. Agent Builder Usage is first when it is shown. Then User Usage, Document Usage, Export Chats and Contradicting Info. Request Custom Report is always last, with a Custom badge and a border in your brand colour.

We're working hard to add more reports. Request a custom report tailored to your specific analytics needs.
- 1The Reports tab. The other Settings tabs stay along the top.
- 2View Report opens that report. Clicking the card does the same.
- 3Date range filtering means the report has a start and end date. Contradicting Info does not show this line.
- 4Submit Request opens the form. The same form opens if you click the card.
Every report has Back to Reports at the top, with an arrow, which returns you to the cards. The report replaces the cards. It does not open a second page in the menu.
Agent Builder Usage
Open View Report on Agent Builder Usage. The title is Agent Builder Usage. The line under it is Credit usage by agent, including Builder chat and runs, for a chosen date range. Export PDF sits on the right.
The card is missing when the organisation does not have Agent Builder. Small Team and Large Team include it. On an older price it is an add-on, covered in Add-ons. If the report is opened without it, the message is This organisation does not have an active Agent Builder Professional subscription.
It opens on Current billing period when the organisation has billing dates. That range starts at the beginning of the period and runs up to the moment you open the report. The other buttons are Last 7 days, Last 30 days and Last 3 months. The date boxes let you type your own start and end. The dates are shown as 11 Sep 2026. You cannot clear them. If there is no billing period, Current billing period is not offered and the report opens on the last 30 days.
Credit usage by agent, including Builder chat and runs, for a chosen date range.
| Agent | Total | Status |
|---|---|---|
| Daily job summary | 1,928 | Published |
| Chase overdue invoices | 1,390 | Published |
| Quote follow-up | 755 | Published |
1-3 of 4 agents
- 1Current billing period is selected when you open the report. The other buttons change the dates.
- 2Total Credits is every settled credit in the range. The other three tiles are beside it.
- 3One row per agent, largest Total first. Click a heading to sort.
- 4Export PDF opens a print view of this report.
The four tiles are Total Credits, Agents with Usage, Top Consuming Agent and Avg Credits/Agent. Agents with Usage is how many agents have any settled credits in the range, including a row called Unassigned when credits are not tied to an agent. Top Consuming Agent is the largest total, with the agent's name beside the number, or None when the range is empty. Avg Credits/Agent divides the total by that count and rounds to a whole number.
The table columns are Agent, Status, Builder Chat, Runs, Total and Last Activity. A Dashboard column is added only when at least one agent has credits that are neither builder chat nor a run. Status is Published in green, Paused in gold, or Draft or Archived in grey. Unassigned and a deleted agent have no status. A deleted agent is named Deleted agent. Last Activity is the latest credit in the range, as 09 Oct 2026. An agent with no date in that cell had no activity to show.
Builder Chat is credits used while someone was building or changing the agent in the builder. Runs is credits used by the agent's runs. The Dashboard column, when it appears, is everything else, including a tile refresh and a voice call. What each kind of step costs is in Automation credits. This report does not reprice them. It adds up credits that have already settled.
The search box says Search agents by name... It filters the table as you type, and it ignores capitals. It does not change the four tiles. Those stay the totals for the whole range. The table starts at 10 rows, with a page size you can change, a jump box, and a line such as 1-3 of 4 agents. The largest total is first until you click another heading.
Click the arrow on a row to open it. You get a small table with Category, Detail and Credits. The categories are Builder chat (for example 8 chat turns) and Runs (for example 27 runs). Dashboard is a third category when that agent has those credits, with a count of events. Open a category for the individual lines.
Chase overdue invoices
| Category | Detail | Credits |
|---|---|---|
| Builder chat | 8 chat turns | 52 |
| Runs | 27 runs | 1,338 |
| Started | Trigger | Status | Credits |

- 1The categories for this agent. Open Builder chat for each turn, or Runs for each run.
- 2One run: when it started, the trigger, the status, and the credits that run used.
A builder chat line has Time, Kind, User, Assistant and Credits. Kind is Turn or Conversation compact. User and Assistant are short extracts of that turn. A run line has Started, Trigger, Status and Credits. The trigger is written out, for example Schedule. The status is Success in green, Error or Crashed in red, Running or Waiting in blue, or Canceled in grey. A dashboard event has Time, Event and Credits. The event is Dashboard refresh, Voice call, or a short name of the same kind. Each of these inner tables shows 10 lines at a time when there are more than 10.
User Usage
Open View Report on User Usage. The title is User Usage Report. The line under it is Detailed view of user message activity and engagement. Export PDF sits on the right. The card description, back on the list, is View message activity by user with detailed statistics and export capabilities.
The range starts as Last 30 days, which is selected. Last 7 days and Last 3 months are beside it. Last 3 months is three months back from today, through today. The date boxes take your own start and end, shown as 11 Sep 2026, and you cannot clear them. The start day and the end day are both included.
Detailed view of user message activity and engagement
| User | Messages | Role |
|---|---|---|
Sarah Price sarah.price@meridianfm.co.uk | 486 | Admin |
Dylan Hughes dylan.hughes@meridianfm.co.uk | 214 | User |
Priya Shah priya.shah@meridianfm.co.uk | 163 | User |
- 1Last 30 days is selected when you open the report. The end day is today.
- 2Top User is the person with the most message credits in the range, here Sarah Price with 486. The name sits beside the number.
- 3The search filters the table only. The four tiles stay the totals for everyone.
Messages is how many message credits that person used between the dates. It is not how many questions they typed. An answer that costs 2 credits adds 2. A WhatsApp answer adds its extra credit as well. What each answer costs is in Credits and browser minutes. The Billing meter Monthly Messages is the same credits for the whole organisation, for the billing month. This report is whatever dates you picked, so the two numbers match only when the dates are the same month and you are looking at everyone.
The tiles are Total Messages, Active Users, Top User and Avg Messages/User. Active Users counts people with at least one message in the range. People with none are still in the table, at the bottom, and they are not in the average. Avg Messages/User divides the total by the active count and rounds to a whole number. Top User shows the largest count and the person's name, or None when nobody sent a message. The name is their first and last name, or their email address if they have no name.
The columns are User, Messages, Threads, Role and Last Login. User is the name, with the email under it. Threads is chats that person started in the range and that are not archived. A message in an older chat still counts under Messages, so messages can be higher than threads. Role is Admin or Owner in blue, or User in grey. Last Login is the last time they signed in, written as 10 Oct 2026, or Never. It is not limited to the dates you picked.
The search box says Search users by name, email, or role... It matches any of those, ignores capitals, and jumps back to the first page. It filters the table and, if you then export, the names in the printout. It does not change the four tiles. The table starts at 10 people, with a page size, a jump box, and a line such as 1-6 of 6 users. The most messages are first until you click another heading.
If the report cannot load, a red line under the table says Failed to load report data. Please try again. Change the dates, or come back to the tab and open it again.
Document Usage
Open View Report on Document Usage. The title is Document Usage Report. There is no line under the title. Export PDF sits on the right. The card description is Track document engagement and usage patterns across your organisation.
The date buttons are the same as User Usage: Last 7 days, Last 30 days (selected), Last 3 months, and your own dates. Both the start day and the end day are included.
Usage Count is how many times a chat that was started in those dates cited the file. A chat started before the range is not included, even if people kept using it. Citing the file means the answer pointed at it. Opening the file in Train does not add to the count.
| Document | Usage Count |
|---|---|
Gas Safe procedures.pdf Engineers | 86 |
Call-out rates 2026.xlsx Call-out | 41 |
Riverside House O&M manual.pdf3 HVAC | 27 |
- 1Active Documents have a usage count above zero. Inactive Documents are the rest. Together they equal Total Documents.
- 2Top Document is the name of the most cited file. The count for it is in the table, not in the tile.
- 3The file name, then its tags. A file can show up to three tags.
The tiles are Total Documents, Active Documents, Inactive Documents and Top Document. Total Documents is every file in the organisation, not only files added in the date range. Active Documents have a usage count above zero. Inactive Documents are the rest. Top Document shows the file name, with its icon, or No documents when nothing was cited. The count for that file is in the table.
The columns are Document, Tags, Usage Count, Size and Created. Tags shows up to three tags in their own colours, or No tags. How tags are applied is in Control who sees what with tags. Size is the file size. Created is when the file was added, as 12 Mar 2026, not when it was last cited. The busiest file is first until you click another heading.
The search box says Search documents... It matches the file name, ignores capitals, and filters the table only. The four tiles stay the totals for every file. The table shows 20 files at a time, with a page size, a jump box, and a line such as 1-20 of 48 documents. On a narrow screen the table scrolls sideways.
If the report cannot load, the page is replaced by Error Loading Report and Failed to load document usage report: followed by a short reason. Back to Reports is still there.
Export Chats
Open View Report on Export Chats. The title is Export Chats. The line under it is Generate filtered exports of chat history by date range, tags, users, and grouping. Generate Export sits on the right. This report does not fill in a table of chats. It builds a file, keeps it in Export History, and you download it.
The file contains chats you can already open in Chat: your own, plus shared chats and team chats when those boxes are ticked. It does not contain another person's private chats. What shared and team chats are is in Share a chat and see team history. Who leads a team is in Teams.
The dates start as the last 30 days. A chat is included when it was last changed on or after the start, and on or before the end you pick. If it has never been changed, the created date is used instead. A chat started inside the range but last changed outside it is left out.
Generate filtered exports of chat history by date range, tags, users, and grouping.
Filters and Export Options
- 1The dates. A chat is included from its last change, not from when it was started.
- 2Group By. None (chronological) keeps one list. Tag or User splits the file.
- 3Export Format. Combined TXT is the readable transcript. CSV and JSON are the other two.
- 4Generate Export builds the file and adds a row to Export History. It does not download it yet.
Under Filters and Export Options:
- Tags. The box says Select tag(s). Leave it empty to keep every tag. A chat matches if either of its tags is one you picked.
- Users. The box says Select user(s). The names are everyone in the organisation. Leave it empty to keep every owner. If you pick people, you only keep chats they own, and only from the chats you can already see.
- Group By. None (chronological), Tag, or User. This changes the headings inside a text file. It does not change which chats are included.
- Sort. Last modified (newest first) is selected. The others are Last modified (oldest first), Created (newest first) and Created (oldest first).
- Export Format. Combined TXT is selected. CSV and JSON are the others.
- Include shared chats and Include team chats both start ticked. Untick one to leave that kind out. Your own chats are always included. There is no box for them.
- 1Set the dates, and any tags, people, grouping, sort and format.
- 2Click Generate Export.
- 3Wait for the notice Export chat report generated.
- 4In Export History, click Download on that row.
If it cannot be built, the notice is Failed to generate export chat report, or a shorter reason under that. Nothing is added to the history.
Export History
| Generated | Counts | Actions |
|---|---|---|
10 Oct 2026 14:22 11/09/2026 -> 10/10/2026 | 18 chats / 142 messages | Download1 2 |
- 1Download saves the file to your computer. It is not sent by email.
- 2The bin deletes this export immediately. There is no confirmation.
Export History is only your exports, newest first. Another admin has their own list. The columns are Generated, Date Range, Filters, Counts and Actions. Generated is the day and the time in 24-hour form, such as 10 Oct 2026 14:22. Date Range is the two dates in day, month, year order. Counts reads like 18 chats / 142 messages. Filters records how many tags and how many people you picked, plus the grouping, the sort and the format. Download saves the file. The bin deletes that row. The notice is Export chat report deleted. There is no confirmation, so the row is gone as soon as you click. If the download fails, the notice is Failed to download export chat report. If the row has already gone, it is Export report not found. If the file itself is missing, it is Export payload is not available for this report.
An empty history says No export chat reports yet. The table shows 10 rows at a time. The page loads your latest 50 exports.
The file name starts with export-chats, then the date and time, and ends in .txt, .csv or .json. A text file is the one to read. It lists each chat with the name, the owner, the type (personal, shared or team), the tags, when it was created, when it was last changed, and then the transcript. Each transcript line starts with the time and User or Assistant. If you grouped by tag, each section is headed with the tag, and a chat with no tag is under Untagged. If you grouped by user, each section is headed with the owner's name. With no grouping, there is one section headed Chats.

- 1The chat heading: name, owner, type, tags and how many messages.
- 2The transcript. Each line is the time, then User or Assistant, then the text.
A CSV file has one row per message, and still has a row for a chat with no messages. The columns cover the chat title, the owner, the type, the two tags, when the chat was created and last changed, and for each message the time, whether it was the user or the assistant, and the text. A JSON file is the same chats and messages in a data file, for someone who will process it rather than read it.
A chat that was last changed on the last day of the range can be missing. Set the end date to the next day and click Generate Export again.
Contradicting Info
Open View Report on Contradicting Info. The title is Contradicting Information Reports. The line under it is Analyse documents for conflicting information and contradictory statements. The card, back on the list, says Analyse documents for conflicting information and contradictory statements across selected tags. There is no date range.
You pick one or two tags. The report reads the documents that carry either tag, in any of the three tag places on a file, and lists statements that disagree. It does not tell you which file is right. You still decide that in Train.
Generating a report uses 1 of the organisation's monthly messages. If you are already at the limit, the notice is You've reached your message limit, and no report is created. If a report fails after it has started, that message has still been used.

- 1One or two tags. A third tag cannot be added. The box says Select 1 or 2 tags.
- 2Generate Report. While it runs, the button reads Analysing Documents...
- 3View opens that saved report. Export and a bin sit on the same row.
- 1Under Select tags to analyse for contradictions: pick one tag, or two. The note under the heading says Choose 1 or 2 tags to compare documents for conflicting information.
- 2Click Generate Report. The button is off until at least one tag is selected.
- 3A notice says the report for those tags has started, and that you can leave the page. The button reads Analysing Documents... until it finishes. The screen does not give a time.
- 4When it finishes, the report is in the list. A notice says Report generated successfully, and another names the tags, for example Report for Engineers & HVAC tags has been generated and is ready to view!
Check the tags have documents before you start. A run with nothing to read fails, the notice is Failed to generate report. Please try again., and the monthly message has still been used. The same notice is used for other failures. Failed to generate report on its own means the same thing. Look at Monthly Messages on Billing before you try again. That meter is explained in Plan and usage.
The list is yours. Another admin does not see your reports, and you do not see theirs. The columns are Tags, Documents, Contradictions, Risk Level, Generated and Actions. Contradictions is a count, red when there is at least one and green when there are none. Risk Level is HIGH, MEDIUM or LOW. Generated is the day and the time, such as 10 Oct 2026 15:04. View opens the report. Export opens a print view. The bin deletes it immediately, with the notice Report deleted successfully, or Failed to delete report if it could not. There is no confirmation. An empty list says No contradicting information reports generated yet. The table shows 10 at a time. Up to 1,000 of your reports are kept on the list.
The opened report is titled Contradicting Information Report. The line under it is Analysis of Engineers & HVAC tags, using the tag names. Export PDF and a second Back to Reports sit on the right. The four tiles are Documents Analysed, Contradictions Found, Overall Risk and Tags Analysed. Overall Risk is High, Medium or Low. Tags Analysed is 1 or 2, with the tags under the number.
Analysis of Engineers & HVAC tags
Analysis Summary
Gas Safe procedures.pdf and Riverside House O&M manual.pdf give different intervals for the boiler room inspection.
Boiler room inspection
HIGHGas Safe procedures.pdf Inspect the boiler room every 6 months.
Riverside House O&M manual.pdf The boiler room is inspected once a year.
- 1Contradictions Found is the number of disagreements. Overall Risk is the single rating for the whole report.
- 2One disagreement: the topic, the severity, and the two statements.
- 3Export PDF opens a print view of this report, including the summary and the table of disagreements.
Analysis Summary is a short paragraph of what was found. Document Overview then lists each file. The intro on that card says the documents were analysed across the selected tags, and that each one contributes to the overall picture. Each file shows its name, how many contradictions it is part of, and Topics addressed: with up to three topics. If there are more, you see +N more. A line under that says how many topics the file covers, and either how many contradictions it contains or that it appears consistent with the other sources. If that detail was not stored, the card says Document details are not available for this report.
When there is at least one contradiction, Detailed Contradictions is a table with Topic, Severity, Description, Documents and Recommendation. Severity is HIGH, MEDIUM or LOW. Documents quotes the conflicting line from each file. Recommendation is a suggested way to resolve it. You apply that yourself, in Train. The report does not edit the files. When nothing disagrees, the card says No contradictions found in the analysed documents.
Request a custom report
The last card is Request Custom Report, with the badge Custom. The text is We're working hard to add more reports. Request a custom report tailored to your specific analytics needs. Submit Request opens a window of the same name. Clicking the card does the same.
The window says Tell us about the custom report you need and we'll work with you to create a tailored analytics solution. The request goes to the Centrus team. It is not built on the page, and there is no status to check afterwards. When it has been received, a notice titled Success says Your custom report request has been submitted! We'll be in touch soon to discuss your requirements. The window then closes.
Tell us about the custom report you need and we'll work with you to create a tailored analytics solution.

Submit Request in the window stays unavailable until name, email, report type and description are filled. Cancel, or the cross, closes the window and clears it. The next time you open it, name, email, company and phone are filled again from your account. If the send fails, a notice titled Error says Failed to send request. Please try again. The window stays open so you can send it again.
Read a report and export it
User Usage, Document Usage and Agent Builder Usage all follow the same shape. Pick the dates, read the four tiles, then use the table for the detail. Click a column heading to sort. The search box filters the table and leaves the tiles alone. The busiest row is first when you open the report.
Export PDF on those three, and on an opened contradicting report, does not save a file by itself. It opens a new browser tab and the print dialog. Choose to print, or save as a PDF from that dialog. The printout is headed with the report name, the day it was generated (as 10/10/2026), and the dates. The four tiles are repeated, then the table. On User Usage and Agent Builder Usage the table follows your search, while the tiles stay the full totals. A line at the bottom of those two says the report was generated from your Centrus organisation. If the new tab does not open, the click does nothing. Allow pop-up windows for Centrus and click Export PDF again.

- 1The period on the printout. It uses the dates you had selected, written out.
- 2The table includes Threads, which the on-screen crop can hide on a narrow window. Sarah Price has 32.
Export Chats is the one that downloads a real file. Use Download on the history row. Contradicting Info on the list has Export, which is the same print path as Export PDF on the opened report. Neither of these is emailed to you. The custom request is the only thing that leaves the page to the Centrus team, and it does not come back as a file on this tab.
The tables are wide. On a small screen, scroll sideways to reach Last Login, Created, Actions or Download. The date buttons wrap onto extra lines. Back to Reports stays at the top.
