Sync Microsoft Teams

Bring the conversations in chosen Microsoft Teams channels into Train, so Centrus can answer from what your team has already discussed. This guide covers connecting Teams, choosing channels, tagging, re-syncing and disconnecting.

Find Microsoft Teams on Train

Channel sync lives on the Integrations tab of Train, on the card called Microsoft Teams. It reads the messages in the Teams channels you choose and saves each channel as a text document in Train. From there it works like any other file: you give it a tag, and Centrus answers from it in chat.

  1. 1Train, in the menu on the left.
  2. 2The Integrations tab, where every drive and channel sync is set up.
  3. 3The Microsoft Teams card. It reads Available until someone connects it.

This is different from asking Centrus questions inside Teams. Channel sync brings Teams conversations into Train as knowledge. To message Centrus from Teams instead, the way you would message a colleague, see Chat on Microsoft Teams. The two are set up separately, and you can use either one without the other.

Anyone with Train access can see the card, but only admins can connect it, list channels and sync them. Anyone else who clicks Connect sees the message Failed to initiate auth. Admins can give Train access to other people from Edit users and roles.

What a channel sync brings in

Each channel you sync becomes one text file, named after the team and the channel, such as Operations - Riverside House.txt. Inside the file, every message takes one line: the time it was posted, the name of the person who posted it, and then the text.

Not included: the PDF, and the two replies

  1. 1A post in the channel. Its text is copied into the file.
  2. 2Replies under a post. Only the opening post of each conversation is read, so these are not included.
  3. 3The text file Train creates, with one line for each post and times shown in UTC.
  • Text only. Files, images and other media posted in a channel are not copied, although any words typed alongside them are. If a document shared in the channel matters, upload it on the Files tab or sync the drive folder it is saved in.
  • Opening posts only. Centrus reads the post that starts each conversation, not the replies underneath it. A channel where the useful detail sits in replies will come through with gaps, so it is worth checking the file after the first sync.
  • Times are in UTC, written in the form 2026-10-07T07:42:18.153Z. During British Summer Time, a message posted at 08:42 appears as 07:42.

Only the channels you tick are read. Centrus does not read private chats or meeting chats through this card.

Read Learn More before you connect

Learn More, beside Connect, opens a short summary called How to use Microsoft Teams with Centrus. It sets out the five stages of a channel sync and makes two points about your data: only the text of messages is extracted, and Centrus only processes the channels you select. Close takes you back to the card.

The summary is only available before Teams is connected. Once it is, the card shows your channels with the Sync Channels and Disconnect buttons in place of Connect and Learn More.

Connect your Microsoft account

  1. 1Open Train, then the Integrations tab, and find the Microsoft Teams card.
  2. 2Click Connect. Centrus takes you to Microsoft's sign-in page.
  3. 3Choose the Microsoft 365 account that belongs to the teams you want to sync. Microsoft asks which account to use even when you are already signed in.
  4. 4Review the permissions Microsoft lists and accept them. You return to the Integrations tab in Train, and the card now reads Connected.

  1. 1Connect takes you to Microsoft to sign in.
  2. 2Back in Train, the card reads Connected and lists the channels your account can see.

Microsoft's permissions screen covers more than channels. The connection asks to read your teams, channels and channel messages, and also files, SharePoint sites and chats, but channel sync only ever reads the channels you tick. Microsoft needs an administrator to approve apps that read channel messages, so if Microsoft says approval is required, ask your Microsoft 365 administrator to approve Centrus, or connect with an account that can.

If the sign-in fails or you cancel it, Train opens again without a message and the card still reads Available. Click Connect to try again.

The connection belongs to the admin who made it. Each admin who wants to sync channels connects their own Microsoft account, and the card lists the channels that account can reach.

Choose channels and sync

Once Teams is connected, the card lists the channels your Microsoft account can see. Each one is shown as the team name, a dash and the channel name, and the list scrolls when there are more than fit. If it says No Channels, Centrus found no channels for that account.

  1. 1Tick each channel you want Centrus to learn from.
  2. 2Click Sync Channels. The button stays faded until at least one channel is ticked.
  3. 3Wait for the message Synced at the top of the screen. Large channels take longer, because every message in them is read.

If something goes wrong, you see Failed to sync teams instead. The usual causes are a storage allowance that is full, which is covered at the end of this guide, or a Microsoft connection that has lapsed. For a lapsed connection, click Disconnect, connect again, and tick your channels before you sync.

Find the synced channels in Files

Each synced channel appears on the Files tab of Train as a text file named Team - Channel.txt. A small purple and blue square with a T, beside the file icon, shows that the file came from Microsoft Teams. The uploader column shows the admin who synced it.

  2. 2The T mark means the file was synced from Microsoft Teams.
  3. 3A newly synced channel has no tag, so Centrus cannot use it yet.

You can rename a channel file like any other, but the next sync that finds new messages in the channel puts the Team - Channel name back, because the name comes from Teams each time.

Tag each channel so Centrus can use it

A synced channel arrives without a tag, just as an upload does. Until it has one, Centrus does not use it in answers and only admins can see it in Train. Tag it the same way as any other file: click Primary tag on its row and choose a tag, or type a new name to create one.

Choose the tag with care. Everyone who chats under that tag can get answers from the whole conversation, including anything said informally in the channel. A re-sync keeps the tags you set.

Give each channel file one tag. When a re-sync replaces a file with newer messages, Centrus only refreshes the copy it searches under the primary tag, so a second or third tag can stop returning answers from that channel.

For how tags decide who can ask about what, see Control who sees what with tags.

Re-sync to pick up new messages

Channels do not update on their own. To bring in messages posted since the last sync, tick the channels again and click Sync Channels. Centrus reads each ticked channel in full and compares it with the file already in Train.

  • A ticked channel with new messages has its file replaced with the latest text. It keeps its name and tags, and its upload date changes to the time of the sync.
  • A ticked channel with nothing new is left exactly as it is.
  • A channel you synced before but have not ticked this time is deleted from Train, along with its tags.

The card does not remember your ticks. Every time you open Train, the channel list starts with nothing ticked, and a sync deletes every channel you synced before but did not tick. Before you click Sync Channels, tick every channel you want to keep, not only the one you want to refresh.

A re-sync only affects the channels you synced yourself. Channels another admin synced through their own connection are left alone. If two admins sync the same channel, Train holds two separate copies of it.

Remove a channel or disconnect

To take one channel out of Train, sync again with that channel unticked and the others you want to keep ticked. You can also delete its file from the Files tab with the bin at the end of its row, but it comes back the next time you sync with that channel ticked.

Disconnect ends the Microsoft connection straight away, without asking you to confirm. It does not remove anything from Train. The channel files stay, keep their tags and go on being used in answers, but they no longer update. To remove them as well, delete them on the Files tab.

To sync again later, click Connect and sign in once more. Your earlier channels are not ticked for you, so tick them again before you sync, or Centrus treats them as removed.

Storage

Channel files count towards your organisation's storage limit in the same way as any other document in Train, and each extra tag counts the file again. Text takes up little room, but a channel's file grows as messages are added, because each sync saves the whole conversation.

Channel files count towards storage

If there is not enough storage left for a new channel file, the sync stops and shows Failed to sync teams. Channels saved before the limit was reached stay in Train. Free up space or add storage, then sync again. Upload files explains how storage is counted, and Add-ons covers extra storage.
