Every supplier invoice, matched to its PO.

For a UK field service team, supplier invoices land in the accounts inbox and an agent checks every line against the PO on the job. When it agrees, the cost goes on the job. When it doesn't, the supplier is asked for a credit note.

before and after

The same supplier invoice, two ways.

Wolseley's invoice 88412 for the Kingsway Court pump: £186.00 against £172.00 on PO-2304.

  1. Matching it

Without Centrus: Printed and ticked against the PO by hand

With Centrus: Every line read against the PO on the job

  2. The £14.00

Without Centrus: Paid in the batch and never noticed

With Centrus: Queried with Wolseley the day it arrives

  3. The PO

Without Centrus: Left open, so nobody knows it's in dispute

With Centrus: Marked queried until the credit note lands

  4. The job cost

Without Centrus: Posted late, so the margin looks wrong

With Centrus: Posted to the job once the PO matches

Questions about PO matching

On the job in BigChange, Joblogic or Simpro. The agent reads the PO number on the supplier's invoice, or finds the PO from the job and the supplier, then compares every line: the item, the quantity and the price agreed.

The PO is marked queried and the supplier gets an email from your accounts mailbox naming the line, the price on the PO and the credit note needed. When the credit note arrives, the agent matches it and closes the query.

No. It matches them and posts the cost to the job, so finance pays from a list that already agrees with the POs. Paying stays with finance, in the system you already pay from.

Yes. Say it in the sentence, such as "ignore anything under £2 a line", and the agent matches within that tolerance. Carriage, small price rises or rounding can each be allowed or queried, as you choose.

Any Outlook or Gmail mailbox you connect, such as the accounts inbox suppliers already send to. Queries go from that mailbox, signed by the person you choose, and replies come back to it, so finance sees the whole thread.
