Xero in chat
An administrator signs in to Xero once for the organisation, then everyone else turns it on. You can ask Centrus about invoices, bills, contacts and quotes, or ask it to raise a draft.
Checked against the app on
What it does
Xero connects Centrus chat to one Xero organisation. Once it is set up, you can ask about sales invoices, bills, contacts, quotes and purchase orders in an ordinary chat, and Centrus looks the answer up in Xero while you wait. It can also make changes when you ask, such as raising a draft invoice, recording a payment, or saving a repeating invoice.

An administrator connects Xero once for the whole organisation, by signing in to Xero and choosing the organisation. Everyone else then clicks Enable on the same card. Agents connect to Xero separately, on their own step: see Xero in Agent Builder. Connecting chat does not connect Agent Builder.
Before you start
- An organisation administrator to connect it. On the card, Connect is shown to an administrator. For everyone else it stays greyed out until a connection exists, and then it becomes Enable.
- A Xero user who can access the organisation. The administrator signs in on Xero's own page. There is nothing to copy into Centrus. If that login can see more than one Xero organisation, they choose which one to use when they return.
- Permission, in that sign-in, for the access Centrus asks for. That is contacts, transactions (invoices, bills, quotes, purchase orders, credit notes and payments), organisation settings such as accounts and tax rates (read only), the email address of the person signing in, and permission to stay connected so Centrus can refresh the sign-in. Xero decides what that user may grant. A user who cannot open the organisation will not be able to finish.
A Xero sign-in
An administrator signs in as a Xero user who can access the organisation.
The access requested
Contacts, transactions, and organisation settings (read), plus email and permission to stay connected.
The organisation
If the sign-in covers more than one, choose it on the card and click Continue.
The sign-in belongs to the organisation, not to one person. Everyone who enables Xero works through that same connection, so a change made from chat is made as the Xero user who signed in, whoever in Centrus asked for it. An email Centrus sends from Xero goes out as that user.
Connect Xero
- 1Open Integrations from the menu on the left and scroll to the Xero card.
- 2Click Connect. Centrus sends you to Xero to sign in. The sign-in link is only valid for 10 minutes.
- 3Sign in, and allow the access Centrus has asked for. You can cancel on that page and come back.
- 4Centrus returns you to Integrations. If the sign-in covers one Xero organisation, the card changes to Connected, with a green line reading Connected to and the organisation's name. If it covers more than one, the badge reads Select organisation. Choose the organisation under Choose which Xero organisation to use, then click Continue.
Centrus is asking to connect to a Xero organisation you can access.
- Contacts, including customers and suppliers
- Transactions: invoices, bills, quotes, purchase orders, credit notes and payments
- Organisation settings, read only: accounts, tax rates and currencies
- The email address and profile of the person signing in
- Permission to stay connected, so the sign-in can be refreshed
Connect your organisation’s Xero account. Other users can then Enable it for chat.
Choose which Xero organisation to use
- List and look up sales invoices and bills
- Find contacts, accounts and tax rates
- 1The access Centrus asks Xero for.
- 2Allow access, on the sign-in page.
- 3Choose which Xero organisation to use, back on the Xero card.
- 4Continue, which saves that organisation.
Centrus only keeps organisations from the sign-in. If Xero returns one, it is saved immediately and the card shows Connected to that name. You do not get a separate success message for that path. If Xero returns several, nothing is chosen for you: the list starts on Select organisation, Continue stays off until you pick one, and you then see Connected to followed by the name, or Xero organisation selected if the name does not come back. The sign-in is stored encrypted. A single organisation is enough. Centrus does not connect a second Xero organisation on the same card.
Connect your organisation’s Xero account. Other users can then Enable it for chat.
Choose which Xero organisation to use
- List and look up sales invoices and bills
- Find contacts, accounts and tax rates
If the organisation you pick is not on this sign-in, the card stays on Select organisation so you can choose another. The messages you may see are:
- That Xero organisation is not available on this connection, at the top of the page: the organisation is not on this sign-in. Choose another, or click Disconnect and connect again.
- Failed to select a Xero organisation, at the top of the page: the same step failed for another reason. Try Continue again.
- Failed to start the Xero connection: Centrus could not open the sign-in page. Click Connect again. This one is not always shown as a notice.
- If you return from Xero and the card still reads Not Connected, the sign-in did not finish. That happens if you cancel, if the 10 minutes run out, if Xero returns no organisation, or if the return trip fails. Centrus does not put a message on the page for this. Click Connect and sign in again, and allow access to the organisation you mean.
Enable it for everyone else
Once an administrator has connected and chosen the organisation, everyone else sees Organisation connected by: with that person's name on the card, and the greyed-out Connect becomes Enable. Clicking Enable copies the organisation's connection to your own account, so you never sign in to Xero yourself. You see Xero enabled for chat, and the card shows Connected with Connected to and the organisation's name. If you already have a copy, Enable simply tells you that you are already connected.

Which Xero invoices are overdue?
4 sales invoices were due before today, Friday 09/10/2026, and still have an amount outstanding:
| Invoice | Contact | Due | Amount due | Status |
|---|---|---|---|---|
| INV-1042 | Northgate Housing | 02/10/2026 | £1,240.00 | Authorised |
| INV-1066 | Riverside House | 28/09/2026 | £860.40 | Authorised |
| INV-1071 | Harbour View Apartments | 30/09/2026 | £2,150.00 | Authorised |
| INV-1078 | 12 High Street | 05/10/2026 | £420.00 | Authorised |
INV-1071 is the largest. I can draft a chaser, or download the PDF.
While Centrus works, the panel above the answer names each look-up as it happens, such as Listing invoices in Xero or Finding the contact in Xero. When the answer is ready, the panel folds to Worked with the number of steps. Open it to see exactly what Centrus looked up in Xero before it answered.
Name Xero in the question when you might also mean a job system, for example “Which Xero invoices are overdue?” Carry on in the same chat, with “Download the PDF for INV-1071” or “Record the payment for that one”, and Centrus keeps track of the invoice or contact you were talking about.
What you can ask
Centrus has 54 Xero tools in chat, and picks the right ones from what you ask, so you never choose them yourself. Every tool is listed in the reference. The card itself names invoices, bills, contacts, accounts, tax rates, repeating templates and some PDFs. The tools go further than that list, and the rest of this section follows the tools.
Contacts
“Find the Xero contact for Northgate Housing.”
“Add Northern Supplies as a supplier.”
Sales invoices
“Which Xero invoices are overdue?”
“Raise a draft invoice for Northgate Housing.”
Bills
“Which Xero bills are still unpaid?”
“Raise a draft bill for Northern Supplies.”
Quotes and orders
“List open quotes for Northgate Housing.”
“Raise a purchase order for 22 mm valves.”
Repeating invoices
“Which repeating invoices do we have?”
“Set up a monthly invoice for Riverside House.”
Payments and bank
“What payments came in this week?”
“Record £1,240 against INV-1042.”
Credit notes
“List credit notes for Northgate Housing.”
“Download the PDF for that credit note.”
Accounts and tax
“What tax rates do we have in Xero?”
“Which account is for materials?”
- Contacts. Search or list contacts, open one, and see which contact groups you have (customers and suppliers). Centrus can create a contact, with a name required, and update the name or email on one you already have. It can also read CIS settings for a contact. It cannot add a contact to a group, or delete a contact.
- Sales invoices. List invoices for a contact, a status or a date range, including overdue and still unpaid, and open one invoice. Centrus can create an invoice, update it, email an authorised invoice to the contact, download the PDF, and fetch the online invoice link. A new invoice is a draft unless you ask for it to be authorised. It is not emailed unless you ask.
- Bills. Bills are the supplier side: list them, open one, create a draft, update it, and download the PDF. The same unpaid rule as sales invoices applies when you ask for bills that are still outstanding. There is no tool to email a bill.
- Quotes and purchase orders. List and open quotes and purchase orders, create them, and update them, including status. Centrus can download the PDF of either. A new quote or purchase order is sent with the fields you give. There is no tool to email a quote or a purchase order, and no tool to delete one.
- Repeating invoices. List the templates, open one, and create a template with a contact, the lines and a schedule (how often, when it starts, when it is due). Creating a template does not email anyone, and it does not raise an invoice on the spot. Xero raises the later invoices from the template. Centrus can delete a template. That is the only delete in chat.
- Payments and the bank. List payments and open one. Centrus can record a payment against a sales invoice: it needs the invoice, an amount greater than zero, a date, and an account code or account from the chart of accounts. It does not send a new status on the invoice in that same request. You can list and open bank transactions, overpayments and prepayments. Chat cannot create those, and it cannot delete a payment.
- Credit notes. List credit notes, open one, and download the PDF. Chat cannot create, edit or allocate a credit note.
- Accounts, tax and the organisation. The chart of accounts, one account, tax rates, currencies the organisation has turned on, invoice branding themes, tracking categories, items in the product list, and the connected organisation itself (name, base currency, country). Centrus can also read the organisation's CIS settings. These are lookups. Chat cannot add an account, a tax rate, a currency, a branding theme, a tracking category or an item.
“Unpaid” and “outstanding” have a fixed meaning for sales invoices and bills: the status is authorised or submitted, and the amount due is greater than zero. A draft is left out. A paid invoice is left out. Say the due date when you mean the due date. If you do not, Centrus filters on the invoice date.
You can ask for a relative range, such as this week, the last 30 days, last month, this year, or a week that starts on a named day (Monday to Sunday). You can also give two dates. A contact search can include a search term. For a long list, Centrus keeps what it fetched on the chat and can show the next page when you ask. The limits are in the next sections.

Which sales invoices are still unpaid, and were due before 01/10/2026?
3 invoices were due before 01/10/2026, are authorised or submitted, and still have an amount due. Drafts are not included:
| Invoice | Contact | Due | Amount due |
|---|---|---|---|
| INV-1066 | Riverside House | 28/09/2026 | £860.40 |
| INV-1071 | Harbour View Apartments | 30/09/2026 | £2,150.00 |
| INV-1054 | Northgate Housing | 18/09/2026 | £640.00 |
INV-1071 is the largest of the three.
Making changes
14 of the 54 tools change data in Xero: they create or update a contact, a sales invoice, a bill, a quote or a purchase order, email an invoice, record a payment, or create or delete a repeating invoice. Each change shows as its own step in the panel above the answer, such as Creating an invoice in Xero.
There is no separate approval step. When you ask for a change, Centrus makes it in Xero straight away, and it asks you first only if your request is unclear. Name the contact or the invoice, give the amounts and dates, and check the result in Xero.

Raise a draft invoice for Northgate Housing for the boiler service at Riverside House: labour, £480, due 31/10/2026.
Done. Draft invoice INV-1094 is in Xero for Northgate Housing, dated 09/10/2026 and due 31/10/2026. It has not been emailed.
| Description | Quantity | Amount |
|---|---|---|
| Boiler service, Riverside House | 1 | £480.00 |
Open it in Xero to check it before you authorise it.
A new sales invoice and a new bill are saved as drafts. Ask Centrus to authorise an invoice when you want Xero to treat it as approved, and ask it to email the invoice only after that. The email goes out as the Xero user who connected Centrus. A Xero demo organisation cannot send that email. If Xero refuses it, the answer includes Xero's message.
Some changes cannot be taken back from chat:
- Deleting a repeating invoice removes the template. Centrus sends it as deleted, and there is no tool to restore it. Invoices already raised from it stay in Xero.
- Recording a payment cannot be undone from chat. There is no tool to delete a payment. Reverse it in Xero.
- Emailing an invoice cannot be unsent. Check the invoice is the right one, and that it is authorised, before you ask.
- Authorising a draft, or any other status you set on an invoice, bill, quote or purchase order, has no void or delete tool in chat. Void or delete it in Xero, where Xero allows it.
- A contact, invoice, bill, quote or purchase order you create can be updated from chat. It cannot be deleted from chat.
There is no tool that applies one change to every row of a list. Each create, update, email, payment or deletion is one record. If you want the same sales invoice every month, ask for a repeating invoice instead of editing a list. The template needs the contact, the lines and the schedule. It does not email anyone, and it does not alter invoices that are already there.

Set up a repeating invoice for Northgate Housing: £480 on the first of each month from 01/11/2026, for the Riverside House contract. Do not email it.
The repeating invoice is saved in Xero. It will raise £480 on the first of each month from 01/11/2026. It does not send an email, and it does not change invoices already in Xero.
A list Centrus has already fetched stays on that chat for 24 hours, for the person who asked. You can ask for the next page of it. You cannot point at the whole list and mark every row paid, authorised or deleted in one step. After 24 hours, ask for the list again.
Who can use Xero in chat
Xero has no tool list in Settings, and editing a team does not include Xero tools. The Integrations overview describes the tool screens used by BigChange REST and Simpro. Those screens do not appear for Xero. Anyone who has clicked Enable can use all 54 tools.

What each person can do in Xero is decided by the sign-in the administrator granted, not by a tick against their name in Centrus. Asking for a change does not open an approval screen: the change is made when you ask, as described above.

Organisation connection
An organisation administrator connects Xero once. Other users Enable the same organisation. Disconnect removes only your own access and, when you are the last row, the Xero connection itself.
Limits
- Pages. A long list is fetched 100 rows at a time. Centrus keeps up to 5,000 matching rows on the chat and gives the answer the first 100. Ask for the next page in the same chat. The saved list lasts 24 hours, and it belongs to that chat and that person. After that, or in a new chat, Centrus asks Xero again. A follow-on page whose saved list has expired comes back empty.
- Very large lists. If more than 5,000 rows match, the list stops at 5,000. Narrow the question by date, contact or status.
- Short catalogues. Contact groups, branding themes, tracking categories and currencies are one page of up to 100. They are not held for the 24 hours.
- Dates. With no date field named, Centrus filters on the document date. Due date, delivery date and the other Xero dates are used when you name them. Relative ranges include this week, the last 30 days, last month, this year, and a week running Monday to Sunday or starting on a day you name.
- One organisation. The card holds one Xero organisation. A sign-in that can see several still has to pick one.
- One record at a time. Changes are not applied to a whole list in one step. See Making changes.
- Payments. The amount has to be greater than zero, the date has to be a real date, and Centrus needs an account code or an account. Xero rejects a payment larger than the amount still due, and the answer includes that message.
- PDFs. Invoice, bill, quote, purchase order and credit note PDFs are saved on the chat. The link lasts 7 days.
- Email. Only ask Centrus to email an invoice once it is authorised. The message is sent as the Xero user who connected Centrus. A Xero demo organisation cannot send it.
- Waiting. Each request to Xero waits up to 60 seconds. If it does not answer, ask again.
- Read only. Credit notes, bank transactions, overpayments, prepayments, accounts, tax rates, currencies, items, branding themes, tracking categories, contact groups and CIS settings can be read. Chat cannot create or delete them. CIS is the UK construction scheme, and only the settings are read.

Which sales invoices are still unpaid, and were due before 01/10/2026?
The Working line names the look-up while Centrus is fetching it. When the answer is ready, the line folds into Worked.
Disconnect
Disconnect on the card removes your own connection only. It happens straight away, without asking you to confirm, and you see Xero disconnected. If someone else's connection is still there to copy, the card goes back to Enable (or to Connect, if you are an administrator), so you can turn Xero on again.

- 1Disconnect, which removes your own connection without asking you to confirm.
- 2Enable, to turn Xero back on from the organisation's connection.
Centrus looks for the connection that was marked as the organisation's, and if that row has gone it uses an administrator's remaining copy. People who have already enabled keep working from their own copy. A person who has not enabled yet can still click Enable while one of those copies remains. If the person who connected disconnects and no administrator's copy is left, new people cannot enable until an administrator connects again, even though the people who already enabled still can.
When you are the last person, Centrus also removes the connection inside Xero, so the organisation is no longer linked. The card then reads Not Connected, and an administrator has to sign in again before anyone can enable. If that removal fails, your access in Centrus is still gone. The connection can remain listed in Xero until it is removed there.
Troubleshooting
- Centrus answers as though Xero is not connected. Check that the card says Connected for you, and click Enable if it shows Organisation connected by. If the badge says Select organisation, the sign-in came back but no organisation was chosen: pick one and click Continue, or ask the administrator to. If the card already says Connected, click Disconnect and then Enable, to take a fresh copy.
- Xero is not connected. Please reconnect. The saved sign-in can no longer be refreshed. An administrator connects again, then everyone else clicks Disconnect and Enable.
- Select a Xero organisation before using this integration. Your copy has no organisation on it yet. Choose one on the card, or enable again after the administrator has chosen.
- No Xero connection found. Please ask your administrator to connect first. You clicked Enable, but no connection is left in the organisation to copy. Ask an administrator to connect.
- Xero 401, Xero 403, or another Xero number, followed by Xero's own words. The sign-in reached Xero and Xero refused the request. 401 usually means the sign-in needs renewing. 403 means the Xero user who connected Centrus is not allowed to do what you asked. Reconnect, or change that user's access in Xero, then have everyone Disconnect and Enable.
- That Xero organisation is not available on this connection. The organisation you chose is not on this sign-in. Pick another, or disconnect and sign in with a Xero user who can see it.
- You come back from Xero and nothing has changed. The sign-in was cancelled, timed out after 10 minutes, or Xero returned no organisation. Centrus does not show a notice for that return. Click Connect and try again.
- InvoiceID is required, AccountCode or AccountID is required, Amount must be greater than 0, or Date must be YYYY-MM-DD. A payment was missing a piece. Name the invoice, the bank account, the amount and the date, and ask again.
- Xero rejected the payment, or a message from Xero about the amount. The payment was larger than the amount still due, or Xero refused the account. Check both in Xero.
- A PDF does not appear. Ask again for that invoice, bill, quote, purchase order or credit note. The file is saved on the chat, and the link lasts 7 days.
- The answer stops part way through a long list. Ask Centrus to carry on. It uses the list saved on this chat, for 24 hours.

Sales invoices are Xero type ACCREC and bills are type ACCPAY. Both use /.
