What it does

Sage Intacct connects Centrus chat to your organisation's Sage Intacct company. Once it is set up, you can ask about invoices, customers, receipts, bills, vendors and projects in an ordinary chat, and Centrus looks the answer up in Sage Intacct while you wait. It can also make changes when you ask, such as a draft invoice or a draft bill, and it asks you to confirm before it writes anything.

How to Use
  1. 1Integrations, in the menu on the left.
  2. 2The Sage Intacct card. It reads Not Connected until an administrator connects it.
  3. 3Connect, where an organisation administrator enters the Sage Intacct credentials.
  4. 4How to Use, with questions to start with.

An administrator connects Sage Intacct once for the whole organisation, and everyone else then clicks Enable on the same card. Agents connect to Sage Intacct separately, on their own step: see Sage Intacct in Agent Builder. Connecting chat does not connect Agent Builder. Centrus works alongside Sage Intacct. It does not replace it.

Before you start

  • An organisation administrator to connect it. Centrus accepts the credentials only from an administrator. For everyone else, Connect stays greyed out until an administrator has connected.
  • Sage Intacct Web Services credentials: the company ID, a sender ID and sender password from the Web Services developer licence, and a Web Services user ID and password. Entity ID is optional, and only for a company that uses more than one entity.
  • The Web Services subscription turned on in Sage Intacct, the sender ID authorised, and a Web Services user that is allowed to read and change the records you care about. Sage Intacct decides what that user may do. A user set up to read only will turn changes down.

Company ID

Your company in Sage Intacct.

Sender ID

Sender password

Issued with that licence. Stored encrypted.

Web Services user ID

Web Services password

Emailed when that user is created. Stored encrypted.

Entity ID

Optional. Multi-entity companies only.

Where to find them: in Sage Intacct, enable the Web Services subscription, authorise the sender ID under Company, then Security, then Web Services authorizations, and create the user under Company, then Admin, then Web Services users.

In Sage Intacct, enable the Web Services subscription, add the sender ID under Company, then Security, then Web Services authorizations, and create the Web Services user under Company, then Admin, then Web Services users. The sender password is issued by Sage with the licence. The user password is emailed when the user is created.

The form in the next section is the one Centrus shows by default, with Sender ID and Sender password on it. Those two boxes are hidden only when the Centrus server is set up to hold the sender licence itself. In that case the note on the form asks you to authorise Centrus's sender ID under the same Web Services authorizations menu, and Centrus will give you that sender ID. You still enter the company ID, the Web Services user and, if you need it, the entity ID.

The credentials belong to the organisation, not to one person. Everyone who enables Sage Intacct works through the same Web Services user, so a change made from chat is made as that user, whoever asked for it.

Connect Sage Intacct

  1. 1Open Integrations from the menu on the left and find the Sage Intacct card.
  2. 2Click Connect. The Connect Sage Intacct window opens.
  3. 3Enter the Company ID, Sender ID, Sender password, Web Services user ID and Web Services password. Add an Entity ID only if this company uses more than one entity.

You then see Successfully connected to Sage Intacct, and the card changes to Connected, with a green line reading Connected to company and your company ID.

If anything is wrong, the window stays open so you can correct it. The messages you may see are:

  • Could not verify Sage Intacct credentials, shown in the window under Connection Failed and again at the top of the page: Sage Intacct did not accept the sign-in. Check each value for a missing character or a stray space, and check that the Web Services user is still active.
  • Please enter your Intacct company ID, Please enter your Web Services sender ID, Please enter the sender password, Please enter the Web Services user ID or Please enter the Web Services password, under a box: that box is empty. Entity ID can be left empty.
  • Only organisation administrators can connect Sage Intacct. Your account is not an administrator. Ask one to connect.
  • Sage Intacct sender ID is not configured. The form expected Centrus to supply the sender licence, and the server has no sender ID to use. Ask whoever looks after Centrus for your organisation.
  • Missing required Sage Intacct credentials: company ID, Web Services user, and password, or the same sentence for the sender ID and sender password: a required value was blank when Centrus checked it.

Enable it for everyone else

Once an administrator has connected, everyone else sees Organisation connected by: with that person's name on the card, and the greyed-out Connect becomes Enable. Clicking Enable copies that administrator's connection onto your own account, so you never need the credentials yourself. You see Successfully connected to Sage Intacct, and the card shows Connected with the company ID.

Enable copies the administrator's row only. It does not copy from a colleague who has only clicked Enable. Chat then uses your own copy. If the administrator connects again with a new password, your copy does not pick that up by itself: click Disconnect, then Enable, to take a fresh one.

While Centrus works, the panel above the answer names each look-up as it happens, such as Listing invoices in Sage or Getting an invoice from Sage. The name on that line says Sage, which is this connection. When the answer is ready, the panel folds to Worked with the number of steps. Open it to see exactly what Centrus looked up before it answered.

A question with no date still has to fit in one page of results, so name a week, a customer or a state when you can. Carry on in the same chat, with questions like “Which of those are Northgate Housing?” or “Draft a bill for that vendor”, and Centrus keeps track of the invoice or vendor you were talking about.

What you can ask

Centrus has 26 Sage Intacct tools in chat, 12 that read and 14 that change data, and it picks the right ones from what you ask, so you never choose them yourself. Every tool is listed in the reference.

Invoices

“Which invoices are overdue?”

“Show me invoice INV-1042.”

Customers

“List our Sage customers.”

“Look up Northgate Housing.”

AR payments

“What AR payments came in this week?”

“Show me the receipt against INV-1042.”

Bills

“Which bills are unpaid?”

“Open the City Plumbing bill.”

Vendors

“List our Sage vendors.”

“Look up vendor City Plumbing.”

Projects

“What Sage projects are active?”

“Show me the Riverside House project.”

Drafts

“Draft an invoice for Northgate Housing for the October call-out.”

“Draft a bill for City Plumbing, £86.40.”

Schedules

“Set up a monthly recurring invoice for the Riverside House contract.”

“Set up a monthly recurring bill for the maintenance contract.”

  • Invoices. List AR invoices by due date, state or a date window, including ones that are still unpaid, and open one invoice. Centrus can create a draft invoice and update a draft. A new invoice stays a draft unless you ask to post it. Nothing is emailed from chat.
  • Customers. List customers and open one by name or id. Centrus can create a customer and update the name, email, phone or whether the customer is active. It cannot delete a customer.
  • AR payments. List receipts against customer invoices, and open one receipt. Centrus can record a draft receipt. A draft receipt is not posted cash and is not in the bank until you ask to post it.
  • Bills. List AP bills, including ones that are still unpaid, and open one bill. Centrus can create a draft bill and update a draft. A new bill stays a draft unless you ask to post it.
  • Vendors. List vendors and open one. Centrus can create a vendor and update it. It cannot delete a vendor.
  • Projects. List projects and open one, when the Projects module is turned on in Sage Intacct. If it is not, the list comes back empty. Centrus can create a project and update it. The category is one of contract, capitalised, internal non-billable or internal billable. Sage Intacct stores capitalised as capitalized.
  • Drafts. The usual change is a draft invoice or a draft bill. Say the customer or vendor, the date, the amount and the description, and say if you want it left as a draft. Posting is a separate ask.
  • Schedules. Centrus can create a recurring invoice or a recurring bill: daily, weekly, monthly or yearly, from a start date, for a customer or a vendor. A schedule is created straight away. There is no draft state for it.

Opening one record uses Sage Intacct's record key. You do not need to know it. Ask by invoice number, customer name or vendor name, and Centrus lists first, then opens the matching row. Record keys are text, even when they look like numbers, so “show me invoice 1042” means the invoice numbered 1042, not a sum.

When you give a period, invoices and bills are filtered on the due date unless you name another date, such as the invoice date or the date the record was last changed. Receipts are filtered on the date they were created. Customers and vendors are filtered on the date they were last changed. Projects are not filtered by date.

“Unpaid” and “overdue” mean a row that still has an amount due. For an invoice, the state has to be posted, partially paid or selected. For a bill, it can also be submitted or partially approved. A draft is left out. A row with nothing left to pay is left out.

Making changes

14 of the 26 tools change data in Sage Intacct: they create or update an invoice, a bill, a customer, a vendor or a project, record a draft receipt or a draft supplier payment, or create a recurring invoice or a recurring bill. Each change shows as its own step in the panel above the answer, such as Creating an invoice in Sage.

Centrus asks you in the chat before it changes anything. There is no separate approval screen. Say yes, name the customer or vendor, give the amounts and dates, and say whether the document should stay a draft. Then check the result in Sage Intacct.

A new invoice and a new bill are saved as drafts. The same is true of a new receipt and a new supplier payment: a draft receipt is not posted cash, and a draft supplier payment sits in the outbox rather than clearing the bank. Ask Centrus to post only when you want Sage Intacct to submit the document. There is no separate submit button in chat. Posting happens on that same request.

A line on an invoice or a bill needs an amount and a GL account, or an account label. Say the customer by the customer id Sage Intacct already uses, and the vendor by the vendor id, not by the internal record key. If you only know the name, ask Centrus to look it up first.

Some changes cannot be taken back from chat:

  • There is no delete. Centrus cannot delete an invoice, a bill, a customer, a vendor, a project, a payment or a schedule. Remove it in Sage Intacct, where Sage Intacct allows it.
  • Posting a draft has no matching tool to unpost it. Reverse or void it in Sage Intacct.
  • A recurring schedule is created as the schedule itself. There is no draft, and chat cannot delete it.
  • Recording a payment, even as a draft, cannot be deleted from chat.
  • Asking again with the same details does not create a second copy. Sage Intacct treats it as the same request. You may see Sage Intacct already recorded this request. It was not created again. Change a number or a description if you do want another one.

There is no tool that applies one change to every row of a list. Each create or update is one record. If you want the same invoice every month, ask for a recurring invoice instead of editing a list. The schedule needs the customer, the lines, how often it repeats and the start date. It does not change invoices that are already there.

What each person can do in Sage Intacct is decided by the Web Services user the administrator connected, not by a tick against their name in Centrus. The card lists the same seven lines for everyone. The only extra control in chat is the confirm step: Centrus is told to wait until you agree before it creates or updates a draft, records a payment, or creates a schedule.

Organisation connection

An organisation administrator pastes the Web Services credentials once. Other users Enable the same company. Disconnect removes only your own access; the administrator’s connection remains for the rest of the team.

Limits

  • Pages. A list is fetched 100 rows at a time. In one step Centrus can ask for up to 5 pages, which is 500 rows. If you do not name a tight filter, the first look-up is often a single page. If more rows match, the result is marked truncated. Narrow the question by date, customer, vendor or state. There is no saved list to continue tomorrow, and there is no way to start at page 6.
  • Unpaid lists. Unpaid invoices and unpaid bills are picked out after those pages come back. A company with a long history can have unpaid rows past the 500 row cap, and those rows are not in the answer. Give a due date range.
  • Dates. With a period and no date named, invoices and bills filter on the due date. Receipts filter on the created date. Customers and vendors filter on the date they were last changed. You can ask for this week, the last 30 days, last week (Monday to Sunday), a week that starts on a day you name, or a from and to date. Projects are not filtered by date.
  • One company. The card holds one Sage Intacct company, the one on the administrator's connection. Entity ID limits that connection to one entity. A single question can name a different entity, and Centrus will use it for that call if the Web Services user is allowed to.
  • One record at a time. Changes are not applied to a whole list in one step. See Making changes.
  • Drafts and posting. Invoices, bills and payments stay drafts unless you ask to post. A draft payment is not posted cash. A recurring invoice or recurring bill has no draft: the schedule is created when you confirm.
  • The same request twice. An identical create is not written again unless a number or a description changes.
  • Projects. If the Projects module is not subscribed, the list is empty and a request for one project comes back with nothing to show. Create and update still need the module.
  • Waiting. Each request to Sage Intacct waits up to 60 seconds. If it does not answer, you see Sage Intacct request failed. Centrus does not retry that call for you. Ask again.
  • No PDF, and no delete. Chat cannot download an invoice or bill PDF, and it cannot delete or void a record.
  • Permissions. The Web Services user can only do what Sage Intacct allows that user to do. A refusal comes back in Sage Intacct's own words.

How to Use
After Disconnect
  1. 1Disconnect, which removes your own connection without asking you to confirm.
  2. 2Enable, to turn Sage Intacct back on from the administrator's connection.

Centrus looks for the connection that was marked as the organisation's, and if that row has gone it uses an administrator's remaining copy. It will not copy from someone who only clicked Enable. People who have already enabled keep working from their own copy. A person who has not enabled yet can still click Enable while an administrator's connection remains.

If the administrator who connected disconnects, and no other administrator still has a Sage Intacct connection, new people cannot enable until an administrator connects again. The people who already enabled still can, until their own copy stops working. To stop every copy at once, change or retire the Web Services user in Sage Intacct. Copies do not pick up a new password by themselves, so once new credentials are issued, the administrator connects again and everyone else clicks Disconnect, then Enable.

Troubleshooting

  • Centrus answers as though Sage Intacct is not connected. Check that the card says Connected for you, and click Enable if it shows Organisation connected by. If the card already says Connected, click Disconnect, then Enable, to take a fresh copy.
  • Sage Intacct is not connected. Your account has no copy of the connection. Click Enable, or ask an administrator to connect first.
  • Stored Sage Intacct password is invalid. Please reconnect. or Stored Sage Intacct sender password is invalid. Please reconnect. The saved secret can no longer be read. An administrator connects again, then everyone else clicks Disconnect and Enable.
  • Sage Intacct credentials are incomplete. Please reconnect. The saved company ID, user or password is missing. Connect again.
  • No Sage Intacct connection found. Please ask your administrator to connect first. You clicked Enable, but no administrator's connection is left to copy.
  • Could not verify Sage Intacct credentials. Sage Intacct refused the sign-in while connecting. Check the company ID, the sender licence and the Web Services user, including that the sender ID is authorised under Web Services authorizations.
  • Only organisation administrators can connect Sage Intacct. Ask an administrator to use Connect. You use Enable.
  • Sage Intacct sender ID is not configured. The form is the shorter one, without sender boxes, but the server has no sender licence to use. Ask whoever looks after Centrus for your organisation.
  • Sage Intacct request failed, or Sage Intacct HTTP followed by a number. The call did not get a usable answer within 60 seconds, or Sage Intacct returned an error page. Ask again. If Sage Intacct's own description comes back with it, that description is the reason, often a permission on the Web Services user.
  • Sage Intacct already recorded this request. It was not created again. You asked for the same create twice. Change a number or a description if you need another record, or open the one that was saved.
  • A draft did not post. Posting only happens when you ask for it. Say that you want it posted, and confirm when Centrus asks.
  • Projects come back empty. The Projects module is not turned on for this company, or the question had a date on it. Projects are not filtered by date. Check the module in Sage Intacct.
  • An unpaid list looks short. The unpaid filter runs after the pages are fetched, and a step stops at 500 rows. Ask again with a due date range.
  • The answer stops part way through a long list. Ask Centrus to narrow it. It cannot continue past five pages of 100 rows.

Tools and endpoints reference

There are 26 Sage Intacct tools in chat: 12 read from Sage Intacct and 14 change data. Chat does not list them in Settings, so the names below are short names for what each one does. Every tool calls the Sage Intacct XML gateway at https://api.intacct.com/ia/xml/xmlgw.phtml. A list is a query, and opening one record is a read, on the object named in the table. A change is the XML function named in the table. Where a get needs a key, Centrus uses the record key, which it can take from a list if you give an invoice number or a name.
