Cin7 Core in chat

Connect Cin7 Core once for the organisation, then ask Centrus about products, stock, customers, sales and purchases. Chat can look them up. It does not create sales orders.

What it does

Cin7 Core connects Centrus chat to your organisation's Cin7 Core account. Once it is set up, you can ask about products, stock, customers, sales and purchases in an ordinary chat, and Centrus looks the answer up in Cin7 Core while you wait. The card says chat can read those records. It does not create sales orders, and none of the chat tools change Cin7 Core.

  4. 4The three lines on the card. Cin7 Core has no How to Use button. These lines are the guide.

An administrator connects Cin7 Core once for the whole organisation, and everyone else then clicks Enable on the same card. The card's own wording is about chat. Connecting this card connects chat only. Agents connect to Cin7 Core separately, on their own step: see Cin7 Core in Agent Builder.

Before you start

  • An organisation administrator to connect it. Centrus accepts the Account ID and the Application Key only from an administrator. Until an administrator has connected, other people still see a working Connect button. If they use it, Cin7 Core is not connected, and they see Only organisation administrators can connect Cin7 Core.
  • The Cin7 Core Account ID and the Application Key, from the Cin7 Core API page. The window says one key covers the company. Everyone who enables Cin7 Core works through that same key.
  • Chat and Agent Builder are separate. Connecting this card does not connect an agent, and connecting an agent does not turn the card on. The second line on the card says so.

Cin7 Account ID

From the Cin7 Core API page. The card later shows only the last four characters.

Cin7 Application Key

From the same page. Centrus stores it encrypted. One key covers the company.

Checked before saving: Centrus asks Cin7 Core for the company name with these details. Nothing is saved if Cin7 Core refuses them.

The window does not name a menu inside Cin7 Core. It says to paste the Account ID and the Application Key from the Cin7 Core API page. Copy them as that page shows them. One key covers the company, so a question asked by Sarah Price uses the same key as a question asked by John Martin.

Connect Cin7 Core

  1. 1Open Integrations from the menu on the left and find the Cin7 Core card. It sits with Fixflo and Xero.
  2. 2Click Connect. The Connect Cin7 Core window opens. Anyone can open it. Only an administrator can finish.
  3. 3Enter Cin7 Account ID and Cin7 Application Key. Both are required. The key is hidden as you type. Click the eye to check it.
  4. 4Click Connect.

For Meridian FM the line shows that company name, which Cin7 Core returned, and an Account ID ending in 7f3a. The currency from the same check is stored and is not shown on the card.

Available at Riverside warehouse is 14. That is not On hand minus Allocated.

08:12

While Centrus works, the panel above the answer names each look-up as it happens. A product list shows as Listing products in Cin7. Stock shows as Getting stock from Cin7. The panel says Cin7, which is the same connection as the Cin7 Core card. When the answer is ready, the panel folds to Worked with the number of steps. Open it to see exactly what Centrus looked up before it answered.

Stock is quoted from the Available figure Cin7 Core returns. Do not treat Available as On hand minus Allocated: at Riverside warehouse those numbers are 16 on hand and 1 allocated, and Available is 14. Carry on in the same chat, with questions like “What about Main stores only?” or “Who is the customer Northgate Housing?”, and Centrus keeps track of the product or customer you were talking about.

What you can ask

Centrus has 9 Cin7 Core tools in chat, and picks the right ones from what you ask, so you never choose them yourself. Every tool is listed in the reference. All 9 read from Cin7 Core. None of them change it.

Products and brands

“Find the product with SKU VAL-22.”

“Which brands start with Dray?”

Stock

“What stock do we have of VAL-22?”

“What is available at Riverside warehouse for VAL-22?”

Customers

“List customers whose names start with Northgate.”

“Find the customer Northgate Housing.”

Sales

“Which sales mention Northgate Housing?”

“Open the sale for order SO-10482.”

Purchases

“Which purchases mention City Plumbing?”

“Which purchases were updated after 01/10/2026?”

  • Products and brands. List brands, optionally by the start of the name. List products by the start of the SKU or the start of the name, one page at a time. Open one product by its Cin7 Core product ID or by an exact SKU. A brand is not sent as a filter on the product list, so a question such as “products in the Drayton brand” is not filtered that way. Ask for the brand list, or name the SKU.
  • Stock. Ask for one SKU. You can add a location, such as Riverside warehouse. The answer is one row per SKU, location and batch, and the figure to quote is Available. There is no list of everything in a location. Without a SKU, Centrus cannot dump the warehouse.
  • Customers. List customers by the start of the name, or open the page that contains a customer ID. A word in the middle of a name is not a search Cin7 Core accepts here: that search filter is ignored, and the customer list is not kept for a later question.
  • Sales. List sales by a word that appears in the order number, status, customer, invoice number, customer reference or credit note number. You can also bound the list by created after, updated after, updated until, and a status. The list is a summary. To see the lines, ask Centrus to open the sale. That needs the sale ID from the list. An order number such as SO-10482 is enough for Centrus to find the row, then open it.
  • Purchases. List purchases by a word in the order number, status, supplier, invoice number or credit note number, and by updated after, updated until, or a status. There is no created-after filter on this list, and there is no tool that opens one purchase. The list is the detail chat can show.
  • Attachments. Ask for the attachments on a product after the product itself has been opened, because the call needs the product ID, not the SKU. The result is every attachment, with its type, its download address and whether it is the default. The panel names this step Getting a product image from Cin7, even when the file is not an image. The file is not saved into the chat. Use the address, or open the product in Cin7 Core.

Some questions Cin7 Core can answer from one list, such as customers whose names start with Northgate, or sales that mention an order number. Others need more work. A product name matches the start of the name, so “isolation valve” does not find “22 mm isolation valve”. A sale list has no lines, so “which Northgate Housing sales include VAL-22” means Centrus lists the matching sales, opens each one, and keeps the sales whose lines include that SKU. Name the customer and the SKU, so that Centrus does not open more sales than it needs.

Making changes

None of the 9 tools change data in Cin7 Core. They list or open products, brands, stock, customers, sales and purchases. Centrus is told that the connected tools read those records and that they do not create sales orders. A question that asks for a change does not gain a write step in the panel above the answer.

There is no confirm-before-change step, because nothing is written. The prompt does not ask Centrus to wait for a yes before it updates Cin7 Core. It tells Centrus the tools do not create sales orders. If you ask for a sales order, a purchase, a new customer, a price change or a stock adjustment, Centrus should look up what it can and leave Cin7 Core as it is. Check the record in Cin7 Core if you need it changed.

Chat cannot do any of these, and there is no tool that undoes them because they are never sent:

  • Creating a sales order, or changing a sale, its status or its lines. The third line on the card says chat does not create sales orders. Opening a sale is a read.
  • Creating or changing a purchase, including its supplier, its status or its lines. Chat can list purchases. It cannot open one purchase and it cannot save one.
  • Creating or changing a product, a price, a brand or a customer. List and get are the whole of those areas.
  • Changing stock. Available, On hand and Allocated are quoted from Cin7 Core. Chat cannot set them.
  • Deleting a product, a customer, a sale, a purchase or an attachment. There is no delete tool.

There is no Cin7 Core tool that applies one change to every row of a list. If you name two products and ask for a price change on both, Centrus still has nothing to write, and agreeing in the chat does not add a tool. A list you asked for earlier is not kept for 24 hours. The next question asks Cin7 Core again.

Who can use Cin7 Core in chat

Cin7 Core has no tool list in Settings, and editing a team does not include Cin7 Core tools. The Integrations overview describes the tool screens used by BigChange REST and Simpro. Those screens do not appear for Cin7 Core. Anyone who has clicked Enable, and the administrator who connected, can use all 9 tools. All 9 read. None of them change Cin7 Core, so there is no per-person switch for a write.

Limits

  • Page size. Products, customers, sales, purchases and stock use a page size of 100 unless a smaller size is asked for. The maximum is 100. A size outside 1 to 100 is refused with Limit must be between 1 and 100.
  • Several pages. Products, customers, sales and purchases come back one page at a time. If more than one page is requested together, Cin7 Core is asked for at most 5 pages, and anything past that is left out even when Cin7 Core reports more rows. Ask for the next page in the same chat. Nothing is saved for 24 hours, so a new chat asks Cin7 Core again.
  • Brands. The brand list is a single request: page 1, limit 1,000. A name matches the start of the brand name. There is no second page in this tool.
  • Product name and SKU. On the product list, both match the start of the value, not a word in the middle. Brand is not sent. Opening a product by SKU keeps the row only when the SKU matches exactly, ignoring letter case. A shorter SKU that only matches the start of a longer one comes back as no product.
  • Customers. A name matches the start of the customer name. A general search is ignored. The list is not cached.
  • Sales dates. Created since and updated since mean after that time. An end date is updated until, not updated since. Search matches across order number, status, customer, invoice number, customer reference and credit note number. The list has no lines. Get sale needs the sale ID.
  • Purchases. There is no created-since filter. An end date is updated until. Search covers order number, status, supplier, invoice number and credit note number. There is no get-purchase tool.
  • Stock. A SKU is required. Location is optional. Quote Available. One row is one SKU, one location and one batch, on a page of up to 100.
  • Attachments. The call needs the product ID from the product, not the SKU. You receive the download address. The file is not brought into the chat.
  • When Cin7 Core is busy. If Cin7 Core returns 429, Centrus waits and tries again, up to 3 further times. It waits for the time Cin7 Core asks for, or 1.1 seconds, then 2.2, then 3.3. Each request itself waits at most 30 seconds.
  • One company. The card holds one Account ID. Connected as Meridian FM is the company name from the check at connect, followed by the Account ID with only the last four characters showing.

  2. 2Enable, to turn Cin7 Core back on from a connection that is still in the organisation.

When an administrator disconnects, only the administrator's own connection goes. Everyone who has already enabled Cin7 Core keeps working, because each person holds their own copy of the Account ID and the Application Key. Someone who has not enabled yet cannot enable from those copies. The card goes back to Connect until an administrator connects again. The card still does not say whose connection that will be.

To stop all access from Centrus at once, withdraw or change the Application Key in Cin7 Core, and every copy stops working. Copies do not pick up a new key by themselves, so once a new key is issued, an administrator connects again and everyone else clicks Disconnect, then Enable.

Troubleshooting

  • Centrus answers as though Cin7 Core is not connected. Check that the card says Connected for you, and click Enable if it shows the sentence about an administrator having connected. If you are not an administrator and the button is still Connect, nobody has connected yet. Ask an administrator to connect. Clicking Connect yourself opens the window, and then you see Only organisation administrators can connect Cin7 Core.
  • No Cin7 Core connection found. Please ask your administrator to connect first. You clicked Enable, but no organisation connection is left to copy. Ask an administrator to connect.
  • Cin7 rejected the credentials (401)., or the same sentence with 403, in the answer. Cin7 Core no longer accepts the Account ID or the Application Key, usually because the key was changed or withdrawn. The administrator connects again with the current key, then everyone else clicks Disconnect and Enable.
  • Stored Cin7 credentials are incomplete. Please reconnect. Your copy is missing the Account ID or the Application Key. Click Disconnect, then Enable, to take a fresh copy. If you are the administrator, click Connect and paste the details again.
  • Cin7 Core is not connected. The question ran without your own connection. Enable the card, then ask again.
  • Could not verify Cin7 credentials while connecting. The Account ID or the Application Key was refused. The window stays open. Correct the box and click Connect again.
  • No product with that exact SKU. The SKU you gave matched the start of a different product, and that row was dropped. Ask with the full SKU, or ask Centrus to list products by the start of the name.
  • A product name you know is missing. The product list matches the start of the name. Ask with the words the name starts with, or with the SKU.
  • The answer describes a sale but not its lines. The sale list is a summary. Ask Centrus to open that sale in the same chat.
  • A purchase will not open. Chat can list purchases. It cannot open one purchase. Read the list, or open the purchase in Cin7 Core.
  • Cin7 request failed with status 429. Cin7 Core was busy, and the retries did not get through. Ask again in a minute.
