Profile and sign-in

The Account tab is where you set your name, phone number, profile picture, theme and the floating help button, and where you change your password or turn on two-factor authentication. This guide covers what each control does, what is saved straight away, and what you are asked for when you sign in.

Find the Account tab

Everything in this guide is on the Account tab of Settings. Open Settings from the menu on the left. The page title is Settings, with the line Update your account details underneath. Account is the first tab along the top, and it is the only Settings tab everyone can open.

  1. 1Settings, in the menu on the left.
  2. 2Account, the first tab. Everyone who can sign in can open it.
  3. 3The heading Account. Only an admin sees this line. The form below it is the same for everyone.
  4. 4Phone, the number WhatsApp matches to your account.

An admin, including the organisation owner, also sees Billing, Branding, AI Model, Teams, Reports and Organisation. Tags and Lessons are there for admins and for anyone with Train access. If you open a tab you are not allowed to use, Centrus sends you to Chat. The heading Account on the form itself is shown to admins only. Everyone else sees the same form, starting at First name, with no heading above it.

Further down the same tab, Chat history search and Personal AI Settings apply to your account only. They are covered in Personal AI settings.

Your profile picture

Profile Picture sits under your phone number, still inside the same form. The current picture is on the left. Upload new opens a file chooser limited to PNG and JPEG files (.png, .jpeg and .jpg). The picture is saved as soon as you choose it. You do not click Save changes afterwards.

Upload new2
Remove3
  1. 1The picture currently on your account.
  2. 2Upload new replaces it straight away with a PNG or JPEG file.
  3. 3Remove clears the picture. It is only there when a picture is already saved.

When the upload finishes, the page shows Updated and the new picture replaces the old one, including the photo in the menu. Remove is only shown when a picture is already saved. It clears the picture straight away and shows Updated as well. The page does not ask you to confirm, and it does not tell you a maximum file size. If the picture cannot be saved, you see an error instead of Updated, or Failed to update user when the page has no clearer message.

Your name, position and phone

Four boxes sit at the top of the form: First name, Last name, Position and Phone. There is no box for your email address on this tab, and no control here to change it. Names and phone are filled from your account when the page opens. They are not saved until you click Save changes.

  1. 1First name and Last name, as they should appear on your account.
  2. 2Position, your job title. On a fresh visit this box can look empty even when a title is already saved.
  3. 3Phone, in full international form, with no spaces.

Position can open blank even when a title is saved on your account. Leaving it blank and clicking Save changes keeps the saved title. Type in the box only when you want to replace the title. If you type and then delete everything, the next save clears it.

Phone is the mobile number WhatsApp uses to recognise you. Centrus matches it exactly against the number the message comes from. A space, a leading 0 or a missing country code all stop the match. Type a plus sign, the country code, then the rest of the number with no spaces: a UK mobile such as 07700 900456 is +447700900456. The box itself does not show this hint. The full rules, including what happens when an admin sets the number for you, are in WhatsApp.

Each phone number can belong to one account only. If you save a number that is already on someone else, the page shows Phone number already used by another account and your previous number stays as it was. Clearing Phone and clicking Save changes removes the number, and WhatsApp stops recognising you.

An admin can set or clear the number on your behalf from Edit users and roles. The number you type here for two-factor authentication is a separate box, covered below. Changing one does not change the other.

Save or discard

Discard changes and Save changes sit under Personal AI Settings, below the help button. They belong to the form that holds your name, position, phone and the personal AI fields. They do not change your profile picture, your password or two-factor authentication. Those have their own buttons.

Updated3
Discard changes1
Save changes2
  1. 1Discard changes puts the form back to the last details loaded from your account.
  2. 2Save changes writes the form and shows Updated.
  3. 3The message Updated. The same message appears when the theme, the help button or your picture is saved.
  • Save changes writes your first name, last name, position and phone, and it also writes the personal AI fields on the same form. If Personal AI Context has changed, a second message follows: Your AI context has been updated successfully.
  • Discard changes puts the name, position, phone and personal AI fields back to the values loaded when you opened the page, or since the last successful save. It does not undo the theme, the help button or Chat history search, because those are already saved.
  • A failed save shows the reason, such as Phone number already used by another account. If there is no reason to show, the message is Failed to update user.

You can change the theme or the help button and then keep editing your name. The theme is already stored. Save changes sends it again along with the name, so a later save does not put the old theme back.

Choose a theme

Theme is the next block after your profile picture. The line under the heading reads Choose your preferred appearance. This only affects your account. Light is the default until you choose Dark. The choice is stored on your account, so it follows you to another browser or another phone the next time you sign in. It is not kept only on the device you are using.

LightDark2
  1. 1The choice applies to your account only, and it is saved on the click.
  2. 2Light and Dark. Light is selected until you choose Dark.

Clicking Light or Dark saves immediately. The page shows Updated, and the app switches appearance without waiting for Save changes. Discard changes will not switch it back. Click the other option if you want the previous appearance.

The help button

Under Chat history search there is a control with no heading of its own. The only label is Show or hide the floating AI help button. This only affects your account. Visible is the default. Hidden takes the round button off every page. Like the theme, the choice is stored on your account and follows you when you sign in somewhere else, and it is saved on the click.

  1. 1The only label. There is no heading for this control.
  2. 2Visible shows the button. Hidden removes it on every page, for your account.
  3. 3The floating button, at the bottom right of the app.
  4. 4The cross hides the button until you reload the page. It does not change Visible or Hidden.

The button is the round Centrus mark at the bottom right of the app. Clicking it opens the help assistant. The small cross on its corner hides it for this visit only: reload the page, or open Centrus again, and it comes back if the setting is still Visible. To keep it off, choose Hidden on the Account tab. Choosing Visible again brings it back, and the page shows Updated.

Change your password

Password is a separate form under Save changes. The line under the heading reads Set a unique password to protect your account. Choose one you do not use anywhere else, and not your current one. The page checks the three rules below, and that the two new passwords match.

  1. 1Type your current password in Old Password. The placeholder is Enter your current password.
  2. 2Type the new password in New Password. The placeholder is Create a new password. Leave the box selected so you can see the rules.
  3. 3Type it again in Confirm New Password. The placeholder is Confirm your new password.
  4. 4Click Update password. While the save is running, the button reads Updating password...

  1. 1New Password. The eye at the right shows or hides what you typed. The rules appear only while this box is selected and not empty.
  2. 2Two of the three bars are filled. All three must be filled before you can save.
  3. 3At least one special character is not met yet, so the line stays grey.
  4. 4Update password stays unavailable until every rule is met and the two new passwords match.

The rules appear under New Password only while that box is selected and you have typed something. Clicking away hides the list, but the rules still apply. Each met rule turns green, and one bar fills for each rule you have met:

  • At least 8 characters.
  • At least one number.
  • At least one special character. The page counts ! @ # $ % ^ & * ( ) , . ? " : { } | < >. A hyphen, an underscore, a space or an apostrophe does not count, even though the line does not say so.

If Confirm New Password differs from New Password, the line Passwords do not match appears under the confirm box as soon as you type. Update password stays unavailable until all three boxes are filled, every rule is green, and the two new passwords match. If a check still fails on submit, the page shows one of three messages: Please fill in all password fields, New password must meet all requirements, or New passwords do not match.

A wrong current password shows Incorrect old password, and the password is not changed. A successful change shows Password changed, and the three boxes are cleared. The eye on each box shows or hides what you have typed. It does not change the password.

If you cannot sign in, use the sign-in page rather than this form. Type your email address first, then click Send reset email beside Forgot password? If the email box is empty, the page shows Please enter your email address first. Otherwise it shows Password reset email sent. Please check your inbox. and Please also check your junk mail folder. It shows that even when the address is not on an account, so you are not told whether the address was recognised. The email subject is Reset your password for Centrus AI, and the link in it expires after 1 hour. A network failure shows Failed to send reset email. Please try again.

Turn on two-factor authentication

Two-factor authentication is the last block on the tab. The line under the heading reads Ask for a code sent by SMS whenever you sign in. The code is a text message. Turning it on does not change the Phone box higher up the page, and changing Phone does not change the number that receives the sign-in code.

You can only turn it on after your email address has been verified. Until then, the block does not show the mobile number box. It says Second factor enrollment is possible only on a verified email address. Verify and then your email address, first. Click Send verification email. The page shows Verification email sent. Open the link, then reload this page. The Account tab does not update on its own. Reload it after you have opened the link.

  1. 1The reason the number box is hidden: your email address has to be verified first.
  2. 2Send verification email. Open the link in that email, then reload the Account tab.

Once the email is verified, the block asks for a Mobile number. The box starts with whatever is in Phone, and the placeholder is +447700900123. Under it: Include the country code, e.g. +44 for the UK. The number has to be in international form, a plus sign and digits only, with no spaces. Send code stays unavailable until the box has something in it.

After Send code, the mobile number box is locked. Send code changes to Resend code, which texts the same number again. There is no cancel. If you sent the code to the wrong number, reload the page and start again. A successful turn-on shows Two-factor authentication is on.

While it is on, the form is replaced by a card. The title is the number you enrolled, because that number is stored as the name of the sign-in method. If there is no name, the card says Phone. Under it, Enrolled and the date, in the date format of your browser. Remove turns it off straight away, with no extra confirmation, and the page shows Two-factor authentication is off.

Sign in with a code

The sign-in page is headed Welcome back, with Sign in to your Centrus AI account underneath. You enter Email Address (Enter your email) and Password (Enter your password), then click Sign in. While it runs, the button reads Signing in... An empty email box shows Please input email. An empty password box shows Please input password. A wrong email or password shows Invalid Email/Password, and you are not asked for a code.

If the password is right and two-factor authentication is on, the email form is replaced by a code card. Centrus sends the text as soon as the card opens. You do not click a button to request the first code. The card is titled Two-factor authentication, and the line under it reads We sent a 6-digit code to followed by the number you enrolled, or your phone if that number cannot be shown.

  3. 3Verify is available once 6 digits are entered. While it runs, it reads Verifying...
  4. 4Resend asks for another text. While it sends, it reads Sending...
  • Type the 6 digits and click Verify, or press Enter in the box. A wrong code shows That code is not correct. Please try again. An expired code shows That code has expired. Please request a new one.
  • Didn't get a code? then Resend sends another text. If the text cannot be sent, the card shows Could not send the code. Please try again. If the check fails for a reason with no message, it shows Could not verify the code.
  • Back to sign in returns you to the email form. You are not signed in yet, so this does not sign you out of the app.
  • On the main Centrus sign-in page, Don't have an account? offers Sign up. That link is hidden when you are signing in on your organisation's own web address. Under the card, the page also links to the terms and the privacy policy.

A correct code signs you in and opens Chat. If the address you are using belongs to one organisation and your account is not a member of it, you are signed straight back out and shown You are not a member of this organisation. If your account cannot be loaded after sign-in, the page shows Account not found or Could not load your account.

The Account tab on a phone

On a narrow screen the left menu is replaced by a bar at the top: the Centrus mark, your picture, and a menu button. Open the menu and choose Settings. The Account tab is the same form as on a wide screen. The tabs sit in one row that slides sideways, so Billing and the later tabs are off to the right until you slide them into view.
